Document Collection for Bookkeepers, Built for Month-End Close.
What month-end usually looks like
Statements arrive in pieces
One client sends a bank statement by email, another texts a receipt photo, and a third uploads half the credit card batch to a shared folder. Your close checklist becomes detective work.
Client folders drift out of order
Shared folders are useful once files are clean. They are weak at intake: no clear missing-file status, no replacement flow, and no easy way to show clients exactly what is still needed.
Wrong period, wrong file, same follow-up
A client uploads last month, a partial export, or a screenshot instead of the statement you requested. You start another thread and repeat the same instruction.
How bookkeepers use DokuTrak
Month-end templates for recurring clients
Build templates for bank statements, credit card statements, receipt batches, payroll reports, loan statements, and sales tax files. Reuse the same request every month without rebuilding the list.
Automated reminders without inbox pressure
DokuTrak follows up on the missing items in a consistent tone. Clients see the exact checklist, and your team can stop sending status emails from memory.
One-click reject with a clear replacement note
If the uploaded statement is incomplete or for the wrong month, reject that slot, add a short note, and DokuTrak asks for the corrected file through the same link.
Client-by-client close visibility
See which clients are waiting on documents, which files are ready for review, and which requests are complete. Your weekly close meeting can start from one dashboard.

Why bookkeepers specifically
Bookkeeping document collection is repetitive, deadline-driven, and easy to derail. The same client can send bank statements, receipts, payroll files, and loan records through different channels unless the request gives them one clear place to upload.
Generic storage is not enough because storage starts after the file is already in the right place. DokuTrak handles the intake step: what was requested, what arrived, what needs review, and what should be replaced.
The secure upload link matters for small business clients. They should not need to remember a portal password to send a receipt batch. They click the link, upload the requested files, and move on.
A month-end request in DokuTrak is a checklist: the operating account statement, the credit card statement, the receipt batch, the payroll report. Save it once as a template, then send it to every client the day the month closes. Bulk send takes up to 100 clients at a time from a CSV file, and each client gets their own link and their own reminders, 2, 5, 10 and 14 days after the request by default.
As files arrive, the request shows which items are in and which are still missing, client by client. If a workspace admin switches on theoptional AI first pass, a screenshot of a balance or a receipt uploaded in place of the bank statement is flagged as the wrong document, and a statement whose account holder or dates cannot be read is flagged as incomplete. Someone on your team accepts each file or marks it for re-upload with a one-line note, and the client uploads the fix through the same link. The free bank statement checker runs the same first pass on a single statement.
What DokuTrak does not do: it has no bank feed and no QuickBooks or Xero integration, and it does not post anything to the ledger. It gets the source documents in, complete and readable, and you download them for the work itself. For a PDF statement you need as rows, our free bank statement converter turns it into a CSV, and the missing bank statement tracker shows which months are still missing for each account. Taking on a new client? The bookkeeping client onboarding checklist lists the documents and access to ask for on day one.
DokuTrak plans start at $79/month for Solo, with Team and Agency tiers for firms managing more clients and reviewers. No plan limits the number of clients or requests.

Bookkeeping practice FAQs
Does DokuTrak replace QuickBooks, Xero, or my bookkeeping app?
No. DokuTrak sits before your bookkeeping system. Clients upload documents through DokuTrak; your team reviews them, downloads clean files, and posts the work in QuickBooks, Xero, or your existing workflow.
Can I send the same monthly request to repeat clients?
Yes. Build a reusable monthly bookkeeping template once, then send it to each client when the next close cycle starts. You can tailor document names and instructions per client.
Do clients need an account?
No. Clients receive a secure upload link by email. They open the checklist and upload files without creating a password or entering a portal.
Can my team review files together?
Yes. Team and Agency plans support multiple reviewers. Each request keeps document status, notes, and audit history together so another team member can pick up the work without searching old threads.
Can I send the month-end request to all my clients at once?
Yes. Bulk send takes one template and sends it to up to 100 clients at a time, imported from a CSV file. Each client gets a separate request with its own link, reminders and status, so one late client never holds up the others.
Does DokuTrak check that a bank statement is the right one?
If a workspace admin switches on the optional AI first pass, each upload is read against the document you asked for. A balance screenshot or a receipt sent instead of a statement is flagged as the wrong document, and a statement whose account holder or period cannot be read is flagged as incomplete. The first pass only flags: a person on your team accepts the file or marks it for re-upload.
Can I use DokuTrak for tax-season requests too?
Yes. Many bookkeeping firms also collect tax-season documents. You can keep monthly bookkeeping templates and annual tax templates side by side.
