17 Recruiting Advanced Analytics

You can leverage data about career sites that drive traffic to your Career Site Builder career site to understand
which sites result in the best quality candidates using SAP SuccessFactors Advanced Analytics.

Who Uses Advanced Analytics

Typically, Talent Acquisition Leaders, HRIS Administrators, or business analysts use Advanced Analytics to evaluate
trends in source performance over time. You can get insight into which sources produce the best candidates, so
that you can adjust your media spend.

Advanced Analytics provides prebuilt reporting so that you can drill into specific recruiting information across
sources, locations, dates, job categories, and more.

 Recommendation

We recommend that you synchronize your Applicant Tracking System (ATS) data daily because Advanced
Analytics allows you to capture data in source performance.

Generating Reports

There are three types of reports that sit within three different tabs in Advanced Analytics:

• Browser allows you to drill down into candidate details such as which candidates came to Career Site Builder
from other sources.
• Detail Query Tool allows you to report on specific or multiple statuses for specific source types to pull candidate
and job level data without drilling down to details.
• Applicant Conversion Report provides you with a view of conversion rates by source type that also summarizes
drop-off information.

You can view averages for all Advanced Analytics statuses, which can be turned on by selecting Show averages
action under Display option. When you turn on Show averages, you view the averages per hire:

• Visits
• Applications Started
• Application Completed
• Qualified applications
• Interviews
• Offers
• Hires

17.1 Recruiting Advanced Analytics Configuration

Recruiting Advanced Analytics is configured from the Analytics Admin option within Command Center.

Using Command Center

All configuration settings for Advanced Analytics require provisioning access and Command Center. You can
configure Advanced Analytics from Command Center Analytics Analytics Admin .

 Note

As a customer, you don’t have access to Command Center or Provisioning. To complete tasks in Command
Center or Provisioning, contact your implementation partner or your Account Executive. For any non-
implementation tasks, contact Product Support.

Before You Start

Advanced Analytics integrates source data from Career Site Builder with SAP SuccessFactors Recruiting applicant
data status. Advanced Analytics is implemented right after Career Site Builder is in production.

There are a number of steps required before you can populate data into Advanced Analytics, that require additional
integration steps between Career Site Builder and SAP SuccessFactors Recruiting. Advanced Analytics can be
configured in a preview or stage environment to test populating your data. Don't use actual candidate data in your
preview or stage environment.

Since Advanced Analytics is designed to report data trends over extended periods of time, the longer data
accumulates, the more insightful the trends, and reports become.

 Note

Only SAP Cloud Support can import source and cost data to Advanced Analytics that requires that customers
open up a ticket.

The labels the customer sees in Recruiting Advanced Analytics and the field names in Recruiting Marketing
aren't identical. You can customize the label names in the Recruiting Advanced Analytics when customers
want the labels to represent the field data more accurately in their reports.

If the customer would like to change their status mappings, if data was loaded in error, or if their jobs were
patched incorrectly, you can purge the relevant data and start again from scratch.

Customers can use a job patch to add data associated with requisitions that is not otherwise available in
Recruiting Advanced Analytics. For example, a job patch file can pull in Recruiter or Hiring Manager data

Convert a customer from an existing SFTP integration to the OData integration method by disabling the
scheduled SFTP job in Provisioning.

17.1.1 Setting Up Prerequisites for Advanced Analytics

Enable specific prerequisite settings in Provisioning and grant role-based permissions so that you can use
Advanced Analytics.

• Recruiting and Career Site Builder are integrated.


• There's existing Recruiting and Career Site Builder job data.
• Single Sign-On is configured.

 Remember

As a customer, you don't have access to Provisioning. To complete tasks in Provisioning, contact your
implementation partner or Account Executive. For any non-implementation tasks, contact Product Support.

Procedure

1. Go to Provisioning Company Settings .


2. Go to Recruiting Marketing and select the following options:

• Recruiting Marketing
• Enable Job Marketing
• Enable Career Site Builder

Advanced Analytics

Advanced Analytics Recruiting uses OData to integrate source data from Career Site Builder with applicant status
data from SAP SuccessFactors Recruiting.

Prerequisites

• SAP SuccessFactors Recruiting and Career Site Builder are integrated with job data.
• Recruiter single sign-on turned on in Command Center.
• Command Center

 Note

As a customer, you don’t have access to Command Center. To complete tasks in Command Center, contact
your implementation partner or your Account Executive. For any non-implementation tasks, contact
Product Support.

Procedure

1. Go to the Recruiting Command Center's Site List page and select  from the Recruiting Advanced Analytics
column for the site.
2. Select Integration Settings.

Confirm that the default OData option is selected when the Integration Settings screen loads.

3. Go to Notify field and enter the email address of the individual who's going to monitor the data.

Use the consultant email address during implementation, but the customer administrator's email address at
go-live.

 Remember

Use a semicolon to separate multiple email addresses. Emails are sent out for status-mapping email
notifications. All unmapped statuses must be mapped before data loads into Advanced Analytics. Emails
aren't validated.

4. Go to Frequency to select any of the following choices:

Day Data processes daily.

 Recommendation
Since data can take time to synchronize, select Day for
the frequency that you want to retrieve the applicant
status information from Recruiting Management.

Week When selected, you can choose which day of the week to
process the applicant status information.

Select which day of the week you'd like your data to syn-
chronize from the On dropdown list.

Month When selected, you can select which day of the month you
want your data to synchronize.

 Example
Days are indicated as Day 1, Day 6.

 Recommendation
Consider implementing different customers on different
days to avoid a long processing time on certain days.

5. Select the checkbox in the Get Data field when you want to enable the integration.
6. Select the checkbox in the Process Data field when you want to enable data processing once loaded in
Advanced Analytics.
7. Select Save to finish.

 Note

Data is synchronized at 12:00 p.m. regardless of which dates you choose. Be sure you add one more day to
your end date.

The data is retrieved at 12:00 p.m. and processed at 1:00 p.m. in the data center’s local time on the scheduled
date. Each subsequent time the process runs, it retrieves data going back to the end of the last run date.

8. Optional: Add data for a specified date period by configuring the Get Data One Time option if you don't want to
wait until the next synchronization date.
a. Go to Get Data One Time and select the start date from the Begin dropdown list.
b. Select the end date from the End dropdown list.

You've completed the OData integration settings for Recruiting Advanced Analytics.

17.1.3 Career Site Builder Status Mappings in Advanced


Analytics

You map your candidate status from SAP SuccessFactors Recruiting with the correct Career Site Builder statuses
for Recruiting Advanced Analytics integration.

Five standard statuses are displayed within Advanced Analytics; all are mapped to these statuses:

• Apply Completed
• Qualified
• Interviewed
• Offer Made
• Hired
• ATS Capture – used to map statuses you want to keep hidden.

 Note

There's a 50-character limit for candidate status names in Advanced Analytics

All statuses must be mapped. When there are multiple not hired statuses, all of them must be mapped to a status;
usually reports.

You can have more candidate statuses in ATS Capture. However, when you've used prescreening questions to
disqualify candidates, map Auto Disqualified status in Recruiting with Apply Completed.

When statuses aren't mapped when integration with Advanced Analytics runs, the synchronization can fail.

Status mappings are done when there's candidate data associated with each status in Applicant Management.
Depending on how your status sets are defined, there are multiple candidate statuses that map to a single Career
Site Builder status in Advanced Analytics.

You have to take a new requisition with a new candidate through every single status in the recruiting process
before you can start the mapping process. Advanced Analytics generates incomplete reports when candidates
don't go through every single status in the recruiting management process that results in missed statuses. We
recommend putting through combination of candidates who pass through recruiting statuses that line up with
Career Site Builder.

Applicant data in a Recruiting Advanced Analytics report can have one of six possible statuses, coming from the
SAP SuccessFactors Recruiting system. Map them to ensure that the correct status appears.

Prerequisites

• SAP SuccessFactors Recruiting and Career Site Builder are integrated.


• Implemented both Recruiting and Career Site Builder Job Data.
• Requisitions with candidates are mapped through every status in Recruiting.
• Configured Recruiter Single Sign-On.
• Command Center

Context

 Caution

You can't edit a status after you've selected Save. The only way to remap a status is to purge completely and
reload all the status data.

 Tip

Requisitions with candidates must go through every single status in the recruiting process before you can
map in Advanced Analytics. You miss statuses if you don't do this, which results in Advanced Analytics
generating reports using incomplete data. You don't need to have separate candidates residing in every status,
but you need a combination of candidates who have passed through every status in the system. You need
multiple candidates because a single candidate can't pass through all statuses (for example, a candidate who's
automatically disqualified can't then be hired). Make sure that all statuses in all status sets are mapped.

Procedure

1. From the Recruiting Command Center's Site List page, select  from the Recruiting Advanced Analytics
column for the site that takes you to the Advanced Analytics Admin page, then select Status Mapping .

The Unmapped Status section displays, and you see the customer statuses that were automatically pulled
from Recruiting Management.
2. Go to the RMK Status column to select the appropriate status to map with the customer status that you want.
3. Select Save to finish.

 Note

Consult with your customer to move each unique unmapped status to the Mapped Status section.
For recommended mappings, refer to related links for more information. Recruiting Advanced Analytics
doesn't work until you move all unmapped statuses into the Mapped Status section.

The customer statuses are now mapped to one of the Recruiting Advanced Analytics status options.

17.1.3.4 Running Application Status Audit Trail Report to Verify
Mapped Statuses

You can very your mapped statuses by running an App Status Audit Trail report using Report Center

Prerequisites

• Report Center enabled.


• All Report Center role-based permission.

 Note

You can find relevant permission under Admin Permissions Manage Dashboards or User Permissions
Reports Permission . Refer to related link for more information about Report Center role based permissions.

Context

 Note

This topic doesn't cover how to use Classic View Reports.

For more information on reports and the Report Center, refer to Implementing Report Center (which includes
role-based permissions), Using Report Center, and Table Reports.

Procedure

1. Go to Start Menu Reporting that opens up Report Center.


2. Select New.

The New dialog box opens.


3. Select Report - Table template.
4. Select Single Domain.
5. Go to What data would you like to start with? menu and choose Recruiting V2.
6. In the General Info tab, enter the name of your report and the priority.
7. Go to Columns tab and select Select Columns.

When selected, the Select Columns button opens a dialog where you can add columns that you want.

When selected, Candidate Type opens up the Define Candidate Type Filter dialog.

13. Go to the By Rule Add Rule .

When selected, the Add Rule button opens up the conditions line.

14. Select Equal to External .


15. Select Done to save your filter.
16. Select Done again when you're directed back to the Select Filter dialog box.
17. Select Preview to review the report.
18. Choose Save to save your report without running it.
19. Choose Generate.

When selected, the Generate opens the your report.

• Become familiar with the customer's existing field names and job mapping under Admin Center Manage
Recruiting Setup Recruiting Marketing Job Field Mapping .

Context

 Note

Changing a field label for Recruiting Advanced Analytics is cosmetic, and doesn't alter any of your data or the
field names in the database.

Procedure

1. From the Recruiting Command Center's Site List page, select  from the Recruiting Advanced Analytics
column for the site, then select Field Label Customization.
2. Enter the new field name for any of the fields on the screen, and save when you’re done.

Only those fields that appear on the Field Label Customization screen are available for new labels. You can’t add
or remove fields from this screen.

 Note

Leave the field label blank for fields that doesn't contain data or isn't relevant for Recruiting Advanced
Analytics. Leaving a field label blank or deleting an existing label keeps that data from being seen in the
customer facing reports.

17.1.5 Purging Data from Recruiting Advanced Analytics

If the customer would like to change their status mappings, if data was loaded in error, or if their jobs were patched
incorrectly, you can purge the relevant data and start again from scratch.

Prerequisites

• Recruiting Management and Career Site Builder are integrated.


• Implemented both Recruiting Management and Career Site Builder Job Data.
• Configured Recruiter Single Sign-On.
• Command Center access.

 Note

As a customer, you don’t have access to Command Center. To complete tasks in Command Center, contact
your implementation partner or your Account Executive. For any non-implementation tasks, contact
Product Support.

Context

Here are some things to keep in mind:

• Only use the Data Purge option if something major has gone wrong, as all purged data must be completely
reloaded.
• The purge cannot be reversed and data must be reloaded.
• Purging data will only affect Recruiting Advanced Analytics and does not impact Recruiting Marketing or
Recruiting Management.
• The data purge process can delete Recruiting Management/Applicant Tracking Systems data, job patch data,
or both from Recruiting Advanced Analytics. Recruiting Management/Applicant Tracking Systems data can be
deleted from a specified date forward. For instance, if data before September 1, 2016 was correct, enter that
date to purge any data after that point. Data cannot be purged if you include a specific end date.
• To change or remap a status, you need to carry out a full history Recruiting Management purge in order to
unmap the status first.

Procedure

1. From the Recruiting Command Center's Site List page, select  from the Recruiting Advanced Analytics
column for the site, then select Data Purge.
2. Select a Purge Type:

Option Description

Job Patch data Purges data entered into a bad Job Patch load.

ATS data Purges Recruiting Management/Applicant Tracking Systems data if status mapping occurred in error.

3. If you chose to purge ATS data, choose when to purge the data.

Option Description

Purge all data Deletes all of the Recruiting Management/Applicant Tracking Systems data imported into Re-
cruiting Advanced Analytics. Select this option to purge an incorrectly mapped status.

Purge only data loaded Deletes only data from a certain date forward, retaining data loaded before that date. Do not
from a specified data choose this option if a status was mapped in error.

4. Choose Begin Purge to delete the selected data. This process may take several minutes to complete.

 Remember

A data purge is not related to the day selected in the Integration Settings screen. When data is purged, the
system reloads the data at noon in the timezone of the data center, which means data is reloaded within
24 hours. If there is a significant amount of data being loaded, the data may take longer than 24 hours
to completely reload. You must manually reload the job patch data, although Recruiting Management/
Applicant Tracking Systems data will reload automatically.

17.1.6 Uploading Job Patch Files for Recruiting Advanced
Analytics

Customers can use a job patch to add data associated with requisitions that is not otherwise available in Recruiting
Advanced Analytics. For example, a job patch file can pull in Recruiter or Hiring Manager data that is not available in
Recruiting Marketing.

Prerequisites

• Recruiting Management and Career Site Builder are integrated.


• Implemented both Recruiting Management and Career Site Builder Job Data.
• Configured Recruiter Single Sign-On.
• You have access to Provisioning.

 Remember

As a customer, you don't have access to Provisioning. To complete tasks in Provisioning, contact
your implementation partner or Account Executive. For any non-implementation tasks, contact Product
Support.

• Met all the requirements for uploading job patch files.

Procedure

1. Open the Microsoft Excel file you've prepared with all the job patch data.
2. Access the job patch Excel add-in, and select the customer-specific job patch.

 Note

Recruiting Marketing Professional Services must either provide this add-in or perform the procedure
themselves.

3. Save the file as a tab-delimited text (.txt) file using the following naming convention:

4. Open the text file in a text editor. Ensure that none of the values are enclosed with quotation marks by doing a
find and replace, replacing any double quotes with NULL.
5. From the Recruiting Command Center's Site List page, select  from the Recruiting Advanced Analytics
column for the site, then select Job Patch.
6. Select Browse.. to upload your text file.
7. Preview the data in the Job Patch window to ensure that the data is properly aligned with the header columns.

17.1.7 Changing an Integration From Ad Hoc Report and SFTP


Method to OData Method

Convert a customer from an existing SFTP integration to the OData integration method by disabling the scheduled
SFTP job in Provisioning.

Prerequisites

• You have access to Provisioning.

 Remember

As a customer, you don't have access to Provisioning. To complete tasks in Provisioning, contact
your implementation partner or Account Executive. For any non-implementation tasks, contact Product
Support.

• Configure the Integration Settings.

Procedure

1. Log in to Provisioning and select the customer from your List of Companies.
2. Select Manage Scheduled Jobs from the list.
3. Find RMK Analytics Monthly Feed in the list of jobs.
4. From the Actions dropdown, select Disable.

17.1.8 Configuring the SFTP Integration

Use SFTP integration configuration method when you don’t want to use OData integration setup for Recruiting
Advanced Analytics.

Prerequisites

• You have access to Provisioning.

 Remember

As a customer, you don't have access to Provisioning. To complete tasks in Provisioning, contact
your implementation partner or Account Executive. For any non-implementation tasks, contact Product
Support.

• You have configured Recruiter SSO.


• You have a working integrated instance between Recruiting Management and the career site.

Context

 Caution

This information is deprecated, and is provided for reference purposes for customers who have an existing
Advanced Analytics configuration using SFTP, and who aren’t yet ready to integrate using OData.

Using SFTP requires access to log on to the SuccessFactors instance, Provisioning, and the SuccessFactors SFTP
instance. Only configure the SFTP integration, if the customer requires a custom header row.

Procedure

1. From the Recruiting Command Center's Site List page, select  from the Recruiting Advanced Analytics
column for the site, then select Integration Settings.

 Note

If an error message occurs, your instance isn’t configured correctly. Troubleshoot the error message to
resolve the issue.

2. Ensure SFTP is selected when the Integration Settings screen loads.

 Note

If the OData option for Integration Type is selected, the customer isn’t a legacy customer as OData was
configured and is working. If this is a new Recruiting Marketing Advanced Analytics implementation, stop
and follow the process for configuring OData integration.

If the SFTP option for Integration Type is selected, there’s already an SFTP integration configured. In this case,
don’t to break the existing integration.
3. Complete the Integration Settings, then click Save:

Config Site Name System-generated; don’t change.

System Name System-generated; don’t change.

Header Row System-generated; don’t change.

SFTP Credentials Enter the SFTP logon ID and password of the customer into SFTP Credentials. These credentials are
for the SFTP account where the data can be found after it was extracted from Recruiting Marketing
through a scheduled job. These should be the same credentials that were entered into the scheduled job
in Provisioning.

Remote Directory Make sure that the default value is set to /RMK/To_RMK/, and don't change it. This is the directory
where the files are stored for Recruiting Advanced Analytics processing. This value is only modified in
custom configuration scenarios.

Notify Enter e-mail addresses for anyone who anyone wants to monitor the data, such as the implementation
consultant, as well as the customer.

Everyone added in Notify receives daily notification emails if a status is unmapped. The emails stop once
the status becomes mapped or the Process Data box isn’t selected.

Separate multiple e-mail addresses with semicolons. There’s no way to validate an e-mail, so enter it
carefully and correctly.

Get Data Select to enable the integration.

Process Data Select the checkbox.

 Recommendation
If you don't select this option, unmapped statuses may go unnoticed because nobody gets daily
e-mail notifications.

Results

Once the form has been saved, the integration is configured.

The data is retrieved at 12:00 PM and processed at 1 AM in the data center’s local time on the scheduled date. If it’s
a new integration, the first time the integration runs, it retrieves available data from 1/1/2010 to the present. Each
subsequent time the process runs, it retrieves data going back to the beginning of the last run date.

SuccessFactors HCM suite

Add reports to the SuccessFactors instance to configure SFTP integration, so that you can set up an Ad-hoc Report
and schedule job in Recruiting Management to complete SFTP integration.

Prerequisites

Engage with Professional Services to get the report.

Procedure

1. Place the report report_RMK_Analytics.sfr on your system from where you can find it for later use.
2. Log on to the SAP SuccessFactors instance of the customer.

3. Go to Analytics Reporting Ad Hoc Reports .


4. Click Upload Report.
5. Enter RMK Analytics - do not modify in the Report Name field.

6. Click Save Back to Ad Hoc Reports OK after the report loads.


7. Find the RMK Analytics - do not modify report in the list, and click the report name to run it.
8. Click Generate Report.

Results

All the cells are populated in the generated report. Blank cells might mean that the Recruiting module in the
customer instance is not live yet and the configuration does not work.

Advanced Analytics Data Export

Recruiting Advanced Analytics is a combination of career site and Applicant Status Tracking (ATS) data. This
ATS can be Recruiting Management or another third-party ATS. To use Recruiting Management with Recruiting
Advanced Analytics, set up an Ad-hoc Report and scheduled job in Recruiting Management to transfer data from
one product to another.

Procedure

1. Go to Provisioning Managing Job Scheduler Manage Scheduled Jobs Create New Job .
2. Enter the required job information in the Job Definition section.

9. Change the start date parameter by selecting RMK Analytics Monthly Feed from the list of available jobs, then
selecting Actions Edit . Enter the expression ${startOfPreviousMonth} and click OK.

10. Select Update Job Submit Now from the bottom of the screen.

17.2 Advanced Analytics Administration

The charts and graphs in the Advanced Analytics tool allows you to measure candidate sourcing trends. They allow
you to view data by measure and give you the ability to cut your data across various dimensions to reveal specific
data trends.

Use this tool to see how effective your sourcing strategies are, from visit to hire, over a period of time. By
dynamically capturing career site and application status data, advanced analytics can help you to determine the
cost of hiring a candidate and which tools generate the best return on your investment.

When you open Advanced Analytics, the default view displays your sourcing data in an unfilered, or at the most
general state. The columns in your data set table represent measures that you can use to analyze your data and the
rows represents a data dimension of data that you can use to narrow your set of candidate sourcing data. You can
customize your view of the data set table by selecting the settings icon and defining the columns that you want to
use to analyze your data. In the Time Period area you can determine the period of time for the data that you want to
display.

In addition to viewing these data measures by source type, you can view their averages by selecting Display
options Show averages . This provides you with averages for each column, rather than by source type, and lets
you see the average number of visits per hire, application starts per hire, application completions per hire, qualified
persons per hire, interviews per hire, offers per hire, and hires per hire. Knowing what these averages look like is
important because not all sources are created equal, and the average column shows you the averages.

17.2.3 Using Advanced Analytics Filters

You can use a combination of filters and subfilters that allow you to drill down sourcing data to define the
information you want to view in Advanced Analytics.

Procedure

1. In the SAP SuccessFactors system, go to Recruiting Advanced Analytics .


2. In the Time Period section, select the time period that of data that you want to measure.
3. Click the down arrow next to Source Type and choose the dimension of sourcing data that you wish to view. The
following example displays the list of possible measures. Your dimension names differ if you've modified them
during configuration.

Selecting additional dimensions adds to your drill path, allowing you to narrow your data set and retrieve more
and more specific data. Each dimension you select, displays in real time and in the order that you chose them.
Additionally, you can select a new dimension from the drill path by clicking the arrow for any of your selected
dimensions. The following example shows three selected dimensions: Quarter, department, and source engine.

The information in the table updates dynamically or in real time to reflect the data set you defined.
4. [Optional] Change the sort order of the data set when you choose the down arrow for any source type and
selecting a different type.

17.2.4 Visualizing Data with Graphs in Advanced Analytics

The graphical component in Advanced Analytics displays trend lines that can help you visualize sourcing data
trends over period of time.

Procedure

1. In the Advanced Analytics browser window, define the Time Period.


2. Select a measure from the Source Type area.

The sourcing data for the measure you've chosen displays.


3. To visualize the row of data, click the graph icon.

Visual graphs appear vertically on the right of the data set table for all columns with a value for your selected
month. You can compare data in the graph by selecting multiple rows of data. Each column in the data table
has a corresponding graph and represents the time period you defined for your data set.
4. Customize your display with additional actions and your actions display on the graphic in real-time:
