CHAPTER I

THE PROBLEM AND ITS BACKGROUND

This chapter presents the problem and its background, statement of the problem,

general and specific objectives, scope and limitations, significance of the study, definition

of terms and the conceptual framework of the study.

Introduction

Nowadays, most of the leading aesthetic clinics provide their products and

services through computer systems. Computer systems makes work easier and less hassle

for people with busy schedules. The programmers program the system, customize them,

maintain the operating system, and upgrade or update services that is on the system.

Technology makes it easy for people who have small or huge business to

communicate with each other. No matter what size of your business is, technology still

has benefits that will help the owner of the business make money and at the same time

serve their customers.

Today almost all of us use the internet in buying things. It requires less effort and

it just uses your credit card. To keep up with the competition and the technology today
like other clinics and so that they can also compete head to head with other clinics, they

will

need to upgrade and have a system that will be able to compete with their rivals and a

system that will be simpler and a lot easier to use than the others that are available to us

today.

Electronic commerce or ecommerce is a term for any type of business, or

commercial transaction, that involves the transfer of information across the Internet. It

covers a range of different types of businesses, from consumer-based retail sites, through

auction or music sites, to business exchanges trading goods and services between

corporations. It is currently one of the most important aspects of the Internet to emerge.

Different components of the electronic commerce will help customers reserve their

appointments and at the same time the employee can manage the stocks and sales of their

products. Using a system is way much better than using pen and paper because it helps

keep track of record orderly.

Statement of the Problem

Skin Essentials Aesthetic Dermatology Clinic now has a growing number of

patient due to the new demand of this generation. They have an existing Facebook

account that is not reliable enough that their patients can only view some of their services
and promos but not the products that the clinic is selling. They still use clear book that

contains their printed products and services.

The employee will have to really be organized so that the hand-written

transactions will be organized enough to avoid misplaced documents and to keep track of

its daily operations. It is very hard for them to still have a pen and paper method because

if there will be a lot of patients in a specific day, they will not be able to manage it well.

The company will need a system that will help the staff manage their clinic and their

patient’s demands.

The study sought to answer the following questions:

1. How can the business implement an easy method of reserving appointment

schedules?

2. How would the system be able to help the company in managing and

updating the sales and inventory of the company’s products?

3. How would this system help in increase their clients and sales of the

company?

Objectives of the Study

The main purpose of this study is to design and implement a Reservation and

Sales System for Skin Essentials Aesthetic Dermatology Clinic so that it will lessen the
use of pen and paper in their company and to adapt the business to a more technological

aspect.

Specifically, the study aims to:

1. Design a user-friendly system the following characteristics:

a.) Promotes the company’s products and services;

b.) Manage the appointment schedules and sales of the clinic.;

c.) Customer can reserve appointment with their preferred schedule;

and

d.) Customer can have an option to buy the company’s products.

2. Create the system using the following programs:

a.) HTML, PHP and CSS for coding the functions and designing the

interface of the system;

b.) XAMPP and MySQL that will serve as the system’s database.

3. Implement and test the system;

4. Evaluate the performance according to the following criteria:

a.) Functionality, which enables the system to serve its purpose;

b.) Usability, which acts the individual assessment of such use by a stated

or implied set of users;

c.) Reliability, which maintain its level of performance

Significance of the Study

This study will be a significant improvement not just on Skin Essentials Aesthetic

Dermatology Clinic but to the other companies as well. This study will also help in the
advancement of the company’s management especially in their inventory of their

products. This will help their potential clients to view or inquire their preferred schedule

of appointment. Also, for the people interested in their products or services, they can also

view the clinic’s products or services and what it can offer for them. This study will be

beneficial to the company because it will help them adapt to modern day technology and

be able to compete with other similar kinds of businesses that use the same kind of

technology on their own companies.

The study will be a great advantage in developing a system and a database for the

said clinic and it will benefit both the clinic and its patients. It will lessen problems of

time and waiting in line for a long time. It will help the clinic keep track of everything

that is done and every customer that comes in every single day because they will have

their very own database. Looking for records will be as easy as ever and records will not

get lost. The staff will have an easier time operating the computer which will not just be a

price list but will also include databases and a system that is very user-friendly.

Scope and Limitations of the Study

The study involves the clients and potential clients of Skin Essentials Aesthetic

Dermatology Clinic in BF Paranaque to help manage and reserve easily. The study will

help patients to save and manage their time. The study will focus on the reservation and

sales so that it will be easier for them to keep track scheduled appointments and manage

their stocks and records.

This study does not include the computation of the total income Skin Essentials

Aesthetic Dermatology Clinic, the salary of the employees, and the patients’ history and

records. For the payments term, only payment through the clinic will be available. As for

the reservation of schedules, there will be an allotted time for customers without a

scheduled appointment.

Operational Definition of Terms

1. Aesthetic Clinics – these are clinics that focus on the skin and of course

the facial appearance of a person, they treat skin problems or make our

skin better.

2. Reservation System – this is the modern way of taking the reservations of

your customers and it is a lot more convenient and it will make it easier

for you to record and arrange reservations.

3. Management System – this manages your business’ records and keeps

them safe and this can also organize them.

4. SKU- means Stock Keeping Unit; used when pertaining about inventory

management.

5. E-Commerce - also known as electronic commerce or internet commerce,

the act buying and selling of goods or services using the internet. It is
often used to refer to the sale of physical products online, but it can also

describe any kind of commercial transaction through the internet.

Transitioning from a manual to a computerized system can significantly impact staff productivity in aesthetic clinics by automating routine tasks, reducing the likelihood of errors, and freeing up time for more complex duties . A computerized system streamlines appointment scheduling, inventory management, and sales tracking, minimizing the administrative burden on staff . This allows employees to focus more on customer service and quality of care rather than manual data management, potentially leading to enhanced job satisfaction and performance. By providing easy access to organized data, staff can make more informed decisions quickly, further improving productivity .

The new system designed for Skin Essentials Aesthetic Dermatology Clinic enhances client engagement and sales by simplifying appointment scheduling and product purchasing . It provides a user-friendly interface that allows clients to easily book appointments at their preferred times and buy products online, making services more accessible . This convenience is likely to lead to higher client satisfaction and repeat business. Additionally, by promoting products and services through the system, the clinic can effectively reach a broader audience, thereby driving more traffic to the clinic and increasing sales .

The new reservation and sales system improves operational management by providing a streamlined platform for scheduling, sales, and inventory management . It reduces the dependency on manual record-keeping, minimizing errors and organizational inefficiencies . The system's user-friendly design enables easier tracking of appointments and sales, allowing staff to prioritize service delivery . The integrated database helps maintain comprehensive records, enhancing decision-making processes and ensuring that all client interactions are efficiently managed, thus supporting overall clinic productivity and service quality .

Traditional pen and paper methods pose several challenges for clinic operations, including the risk of disorganized records, lost documents, and difficulties in managing high patient volumes . These methods are time-consuming and can lead to inefficiencies in scheduling and inventory management . A digital system addresses these issues by providing a centralized database that organizes patient appointments and sales records efficiently . It simplifies processes, reduces the potential for human error, and enables real-time data access, thus enhancing overall clinic management and customer service .

A computerized reservation and sales system is beneficial for aesthetic clinics as it helps streamline operations and improve service delivery. It allows clinics to manage appointments more efficiently by reducing reliance on pen and paper methods . The system facilitates better inventory management, helping staff keep track of stock and sales, which is essential for business productivity . Additionally, such systems enhance customer satisfaction by providing easy access to scheduling options and purchasing products, which can lead to increased client engagement and sales . This shift towards technology not only increases operational efficiency but also enables clinics to compete effectively in the market .

System evaluation plays a critical role in ensuring the effectiveness of the newly developed clinic management system. It involves assessing the system's functionality, usability, reliability, efficiency, and portability to determine whether it meets the intended requirements and performs as expected in a real-world setting . The evaluation results provide insights into areas where the system excels and aspects that may require improvement, thereby guiding necessary adjustments to enhance performance and user satisfaction . An "Outstanding" rating from a diverse group of users corroborates the system's capability to support clinic operations effectively .

HTML, PHP, and MySQL play integral roles in developing a reservation and sales system. HTML structures the system's web pages, allowing for the creation of user interfaces where users interact with the system . PHP serves as the server-side scripting language that processes user inputs and handles the logic required for dynamic content generation and transaction processing . MySQL is used as the database management system to store and retrieve data efficiently, such as user information, appointments, and inventory details . Together, these technologies work to create a robust, user-friendly, and efficient system for managing clinic operations.

The specific objectives outlined for designing and implementing the reservation and sales system for Skin Essentials Aesthetic Dermatology Clinic include creating a user-friendly system that promotes the clinic's products and services, manages appointment schedules and sales, allows customers to reserve appointments and purchase products, and utilizes HTML, PHP, CSS, XAMPP, and MySQL for system development . These objectives aim to enhance operational efficiency, improve customer service, and adapt the business to modern technological standards .

The study's scope is limited in several key areas: it excludes the computation of total income, employee salaries, and patients' historical records . These omissions could affect the clinic's comprehensive financial management and staff-related administrative functions, necessitating additional systems or manual processes for these purposes . Furthermore, the reservation system only accommodates payments made directly at the clinic, which may limit customer convenience and reduce potential sales from clients preferring online payment options . While the current system addresses essential operational needs, these limitations suggest areas for future enhancement to fully integrate business operations.

The performance evaluation results, which describe the system as 'Outstanding' with an overall mean score of 4.29, suggest that similar systems should focus on achieving high standards in functionality, usability, reliability, efficiency, and portability . These aspects were critical to the system's success, indicating that future developments should prioritize user-centric designs and robust performance metrics. Emphasizing thorough testing and incorporating feedback from diverse user groups can ensure the system addresses real-world needs effectively. These results also underscore the importance of continuous improvement and adaptation to technological advances to maintain competitiveness and effectiveness in business environments .
