No, never. SubDoc is 100% free for your vendors and their brokers. They receive a secure, zero-login link where they can upload their Certificate of Insurance (ACORD 25/28), endorsements, or W-9 in seconds.
Yes. The same plans cover property managers, facilities, and procurement teams tracking certificates from service vendors (janitorial, HVAC, landscaping, security) and tenants. You set coverage requirements per vendor type, vendors upload through the same free link, and SubDoc sends renewal reminders before each certificate expires. Vendor limits are the same for every industry: 3 on Free, 100 on Pro, unlimited on Advanced.
When an ACORD certificate or endorsement is uploaded, our specialized insurance AI model reads the PDF in under 3 seconds. It extracts policy numbers, effective/expiration dates, coverage limits (General Liability, Auto, Umbrella, Workers Comp), and verifies required endorsements like Additional Insured and Waiver of Subrogation.
Yes. You can send a subcontract or any agreement for signature from SubDoc. Signers sign from an email link with no account, and the signed copy is filed on the vendor's checklist automatically. Starter includes 3 signing requests to try it, Pro includes 50 a month, and Advanced includes 250 a month.
On the Pro and Advanced plans, SubDoc connects compliance status directly to your accounts payable workflow. If a subcontractor has an expired policy or missing endorsement, SubDoc flags their invoices with a payment hold and generates an accounting-ready export for QuickBooks or Sage.
Yes. Project managers or admins approve invoices, Accounting schedules them (or declines one back to the approver with a note), and the Treasury role marks them paid. Each role only gets the emails for its own step, and the Owner can set an approval limit per role.
Yes. Each company is its own workspace, and the Owner chooses which workspaces each person can open. Someone without access to a workspace cannot see that it exists, or any of its vendors. People who pay for several companies can work one Accounts Payable list across all of them.
Yes. You can change your plan or cancel your subscription at any time directly from the in-app Billing page or via the Paddle Customer Portal. When you upgrade, changes take effect immediately with prorated billing.
