Independent pubs, bars, restaurants and cafés that need to manage staff rotas, shift cover, swaps, attendance, holidays, payroll-ready hours and labour costs
About Swapste
Swapste is affordable workforce and rota software built for independent hospitality businesses, including pubs, bars, restaurants and cafés. It brings weekly rotas, shift cover, direct swaps, holidays, GPS-assisted clock-in/out, attendance, payroll-ready reporting and labour-cost planning into one simple system.
Managers can organise staff shifts, approve cover and swaps, manage time off, resolve attendance issues and export confirmed hours for payroll. Smart Labour helps compare scheduled wage costs with expected sales, then actual wage costs with actual sales as the week progresses.
Swapste costs £24.99 per venue per month with unlimited staff, includes a 30-day free trial, and has no long-term contract. Initial rota setup and training are included. It is designed for hospitality teams that want more control than spreadsheets and messaging apps without enterprise complexity or per-user pricing.

"Exactly what we needed" Posted 2026-09-22
Pros: Labour planning helped me control costs better without guess, Swapste took away the headache of constant messaging, easy to use rota for managers and staff. Made payroll much easier at the end of the week. Visibility of staff and shift issues after the rota had been distributed
Cons: With Swapste being so young, there is extras which I would like to have, like payroll integration, although I have been told this is on the roadmap for Swapste,
Overall: Swapste has massively streamlined many aspects of our back of house process. It’s allowed us to see analytical data we previously wouldn’t have had access to efficiently. Enabling us to cut costs and focus our finances more efficiently.
