Planning and delivering a project creates a

A project manager must manage this

A project manager can use IT tools to help
What is a project
 A project is a combination of set objectives to be accomplished
within a fixed period. They are an excellent opportunity to organize
your business and non-business goals efficiently. The changes made
in the project completion process are expected to perform better.

 All kinds of organization and individuals work in a project, when


people work on a project it means they have a specific goals and
doing a set of tasks to reach the goal
 PROJECT AND BUSINESS AS USUAL
 Projects are different to BAU activities because they are
1. Temporary: a project has a start and end date. It must achieve its
objectives
2. Cross-functional: a project usually involves a team of people with
different roles, responsibilities and skills
3. Unique: each Project is different. Each project aims to solve a particular
problem
4. Uncertain: a project often involves more uncertainty and risks than BAU
activities
The project life cycle
You can divide a project in to stages to help you
manage it. The most common way of dividing a
project in to stages is called the project life
cycle
The project life cycle has four stages
1.Plan
a. identify the problem, decide on a problem
2. Do
a. create a solution
3. Act
a. fix any problems you find in tests and feedback
4. Check
a. test the solution works , get feedback from users
All projects start with planning stage. Once a
plan has been agreed, project teams move on the
DO, CHECK, and ACT stages. These are grouped
together in a cycle one after another

The Project manager


 The project manager role is to control the project in each of the
project stages.

 The project manager monitors this issues:-


 Coast- project manager has certain amounts of money to spend on

the project, this is called the budget


 Time scale- Project should always have a fixed start and end date.
Project manager must make sure that the project reaches its goal in
the time available
 Quality –Project manager must check that the project team are
meeting the quality standards set by the project
continued

Scope –Project manager must know


exactly what the project needs to deliver
to achieve its goals this is called the
scope
Risks – All project have some risks,
Project manager must understand the
risks and help the project team to avoid
them
Benefits – Project must have benefits.
Something in the organization must
change and become better as a result of
the project

Business sponsor – the person who controls the
money that the project gets
Business visionary – a senior user of the
product or service that the project is working.

Technical coordinator - makes sure the project
delivers a product delivers a product or service
that will work with the organizations IT system
Project manager – makes sure the project
keeps to its budget and timescale
The solution development team
Business analyst – makes sure the project
delivers the right services or product for the
organization
Solution development and tester – the people
who build the product or services
Business ambassador – someone who will be a
user of the product or services. They can look at
the solution as it is being developed and make
suggestion and how to improve it
Team leader – the solution development team
often has a team leader. This person organize the
work of the solution development team
Planning a Project
The planning stage of the project life cycle is
often called discovery phase. this is an
important part of a project. Everything else
depends on the outcome of the discovery

The purpose of the discovery phase is to


understand what the project needs to achieve
The project team will do research
The project goals and objectives – the
project goals need to be divided in to
objectives
The requirement – these are the
instruction for the solution
development team
The user or audience of the projects
product or services – if you understand
your users, you can make sure your
product or service work for them
Creating ideas
When you create your project,
you might not have a very clear
understanding of what you need
to deliver. You can use a mind
map to create and record ideas
of things to research

Multimedia is a form of communication

interaction between users. Popular examples of
multimedia include video podcasts, audio
slideshows and animated videos.

which help to better express the presenter’s
ideas. They can integrate video, audio and
hyperlinks into the presentation, providing a
great vehicle for a successful meeting.
