Introduction
• What is Microsoft Word (MS Word)?
MS Word is the most popular word processing software used today. A
word processor is essentially a computerized version of the standard
typewriter. However, the computer adds features, typewriters never
dreamed of having like spell check, the ability to save and store
documents, copy and paste functions, and the ability to add images and
shapes to documents, and many more. When attached to an Email,
electronic documents, created by MS Word can be delivered in seconds.
Another benefit is that it helps the user to type faster and more accurate.
Introduction
• What is Microsoft Word (MS Word)?
Microsoft Word (often called Word) is a graphical word processing
component of the Microsoft Office Suite that users can type with.

It is used primarily to enter, edit, format, save, retrieve and print


documents
The Quick Access toolbar provides access to common commands such as undo,
redo, save, and start from the beginning. This access bar can be customized to fit
your personnel needs by clicking on the customizing Quick Access bar button at the
end of the toolbar.

Title Bar - This displays the name of the current open document, when opening a
new file is always displays Document1 (or 2, 3, 4 etc.) until you save and name the
file.
Ruler - There are horizontal and vertical rulers that display when you are in Print
Layout View. The horizontal ruler shows the placement of margins, indents, and
tabs. You can also show and hide these rulers by using the View Ruler button.
Text Area - This is where your text, images, etc will be displayed.
Scroll Bars - Use these with your mouse to move up, down, right or left within the
document.
Status Bar - This displays the page number, page count, document view buttons,
and zoom control. It will also display current mode of operation and can be
customized to include other functions.
View Buttons - This is used to switch between views such as Print Layout, Full
Screen Reading, Web Layout, Outline, and Draft View

Info - Obtain information about your documents

New - Create a new document from a blank or pre-formatted


template
Open - Open a document

Save - Save the document to keep your edits


Save As - Resave a saved document as a different filename or file
type
Print - Print documents and see a preview of your document

Close - Close the document


Printing a Document
• If your computer is connected to a printer, you will
be able to print your document to share a
hard copy with others.
1. Click the File tab.
2. In the Backstage View, click Print
Printing a Document
3. From Print you can choose
the following options:
a. Copies - Set the number
of copies you want to print
b. Printer - Select a printer
Note: Your list of available
printers will be determined by
the printers you have
installed on your computer.
c. Settings - Configure how
and what you want to print
4. Click the Print button
Saving a Document
Saving your document will create a
file that will allow you to access the
document at a later time for
editing. You can also save your
work to share the file with others.
1. Click the File tab.
2. In the Backstage View, click
Save
3. Click This PC
4. Click Desktop
5. In the Save dialog box, type a
File name for your document
6. Click the Save button

Open, close, resize the MS Word Window
• Create a new document (Highlight template option)
• Navigate around the MS Word Window
• Become familiar with the Microsoft Button menu
• Review formatting and other tools on the ribbon
• Becoming familiar with text formatting tools
• (Font, bold, italic, underline, size, & justification)
• highlighting, ‘copy’, ‘cut’, & ‘paste’
• Understand difference between ‘delete’ and ‘back space’
• Change ‘justification’, ‘line spacing’, and ‘margins’
• Use ‘tab’, ‘indent icon’, and ‘bullets’ to indent text
• Add images, pictures, headers, or footers using ‘Insert’
