 Word is a tool that helps to create documents quickly with a

professional look.

 Follow four steps to produce quality documents:


 Plan and create
 Edit
 Format
 Print
 You will create documents most efficiently if you plan the content
before you enter any text.
 Know what you want to tell your audience. State the information

clearly and organize your material logically.


Components of MS Word

 Word consists of many components that help you use its features.

 Some of these components, such as the menu bar,tabs, title bar,

toolbar, and status bar, are common to all Windows screens.

 To check the name of a Word toolbar button, position the mouse

pointer over the button (without clicking) to display a ScreenTip.

Title Bar
Displays the document name followed by a program name.

Menu Bar
Contains a list of options to manage and customize documents.

Standard Toolbar
Contains shortcut buttons for the most popular commands.

Formatting Toolbar
Contains buttons used for formatting.

Ruler
Used to set margins, indents, and tabs.
Environment
Scroll bars
Used to view parts of the document.

Status Bar
Displays position of the insertion point and working mode buttons.

Task Pane
Provides easy access to commonly used menus, buttons and tools.

View Buttons
Changes the layout view of the document to Normal View,
Web Layout View, Reading Layout View,
Print Layout View, or Outline View.
Environment
Different Views of MS Word

 Normal view is best used for typing, editing, formatting and


proof-reading. It provides a maximum amount of space without
rulers or page numbers cluttering your view.

 Web Layout view shows you what your text will look like on a

web page.

 Reading Layout view is best for documents that you do not


need to edit. The goal of this view is to increase legibility so that the
user can read the document easily.
Different Views of MS Word

 Print Layout view shows you what your document will look like
when it is printed. Under Print Layout view you can see all elements of
the page. Print Preview shows you this as well.

 Outline view is used to create and edit outlines. Outline view only
shows the headings in a document. This view is particularly handy when

making notes.

 Full Screen view displays ONLY the document that you are working
on. All the other pieces of the Word window are removed except for one
button that allows you to Close View Screen.
Selecting Print Layout View
 You can use the View buttons in the lower-right corner of the Word
window to change the way your document is displayed
Opening a New Document

 Click the Office Button in the upper-left corner of the Word window

and view the menu of commands that opens

 Click New

 Verify that the Blank document option is selected (that is,

highlighted in orange), and then click the Create button at the

bottom of the dialog box

 Shortcut Key is Ctrl+N

Saving a Document for the
First Time

 Click the Save button on the Quick Access Toolbar

 Type a name in the File name text box

 Click the Save in list arrow, and then select the location where you

want to save the file

 Click the Save button at the bottom of the Save As Dialog box

 Shortcut Key Ctrl+S


Displaying the Rulers
 Click the View tab
 In the Show/Hide group, click the Ruler check box to display a
checkmark
Checking the Zoom Setting
 Zoom level controls the document’s on-screen magnification
 Setting the Zoom level to Page Width shows the entire width of the
document on your screen
Using the Undo and Redo
Commands

 To undo (or reverse) the last thing you did in a document, you can

click the Undo button on the Quick Access Toolbar

 If you want to restore your original change, the Redo button

reverses the action of the Undo button (or redoes the undo)
Checking the Font and Font
Size

 The term font refers to the shape of the characters in a document

 Font size refers to the size of the characters


Previewing and Printing a
Document
 To avoid wasting paper and time, you should first display your
document in the Print Preview window
 Click the Office Button , point to Print, and then click Print

 To print your document, click the Office Button , and then click
Print
 Verify settings in the Print dialog box, and then click the OK
button

Cut & Paste Features

 The Cut feature allows you to remove selected text from the
document and temporarily place it on the Office Clipboard.
 The Clipboard is a temporary storage file in your computer's
memory. Items placed on the Clipboard will remain there until you
exit Word.
 The Paste feature allows you to get text from the Clipboard and
place it in the same or even another document.
 For applying Cut use shortcut key ctrl+X
 For Paste feature use shortcut key ctrl+V
Copy & Paste Features

 The Copy feature allows you to copy selected text from the

document and temporarily place it on the Clipboard.

 The Paste feature allows you to get text from the Clipboard and

place it in the same or even another document.

 You can Copy information from many different sources including

Websites, Emails and other Office applications.

 For applying Copy use shortcut key ctrl+C


Activity # 01

Write a simple letter to your friends about the family day that

include:

 The title

 The sender

 The content

 The receiver

 Use "14" for the font size and (black or blue) color for font

color.
Activity # 02

Create document about any Country and follow these steps:

 Open New Word Document.

 Write at least 12-15 lines comprising of two paragraphs about

the country

 Use Font Color to change the color of text (Select Blue

Color)

 Use Font Size to change the Font Size of text (Select 14)

 From Office Button, select Save As.

 Choose (C\) to saving your file.

 Name your file in the File name.

 Click Save.
