File Management
■ File management helps you to organize and keep track of your files in the computer.

■ There are thousand of file in the computer , very file has a name called filename.

■ File management mane files by their

– Name

– Format

– Size

– Data
Files
■ All the work that we do in computer is stored in the form of file.
■ File is a collection of data and information.
■ A file can be document file when you write in it.
■ A file can be picture file when you draw and colour in it
■ Every file has its own unique name. No two file with same name can be saved at same location in the
computer.
■ Computer represents files with icons.
■ Types of files:
– Document file
– Spreadsheet files
– Image files
– Audio/Video files
Folders
■ Files may be organized into folders.

■ A similar group of files saved together under a common name is called a folder.

■ Folder have its unique name.

■ There can not be two folder with same name at one location.
Subfolders
■ Folders contain files, but some folders contain additional folders, which we call

subfolders.

■ Subfolder is a folder within another folder.


Parts of a Folder
■ To see what is in the folder we have to double-click on it.
■ When you open folder, it opens in a window.
■ A window is a rectangular area used to display the contents of an folder.

Understanding Disks and Drives
■ Hard disk is called a non-removable disk, because we can not take it out from
computer.
■ Other disk are removable media like pen drive, CDs and DVDs.
■ Files and folder can be stored on hard disk in your computer.
■ Hard disk can be divided into logical drives which are name with letter then colon(:)
– A: the floppy drive
– C: hard drive, if you have one hard drive
– D: CD and DVD drive (if you have only one hard disk)
■ A path is a route the user must follow to reach a particular folder or file in the drive
■ A path always start with a drive letter. Ex c:\windows\calculator.exe
File Explorer
■ The File Explorer plays a key part in Windows 10 experience.

■ Used for viewing files and folders in Hierarchical order.

■ It is helpful to organize files and folders that are stored in hard disk of computer.

■ We can move, rename and delete files in File Explorer.

■ The main function of file explorer is to browse, open and manage the files and

folders store on your computer.

File Explorer
■ Top of the explorer window is the ribbon, just below it there is address bar.

■ Address bar indicates the location on your hard drive that is currently being viewed.

■ Left hand side there is a navigation pane. This can be used as a way of quickly
jumping between your libraries and favorite folders.

■ The right pane displays the content of the folder that is selected.

■ There are two signs, expand [>] and collapse[ v ], in front of a disk drive or folder
name.
File Explorer
■ A [>] indicates that the folder contains
subfolders. When we click [>], it
shows the sub folders inside and the
same time the [>] sign changes to [V]
sign.

■ This process is called expanding of


folder.

■ When we click[V] sign the expanded


subfolders collapse back.
Viewing Files and Folders
■ We can view files that we create as well as those we
download and copy to our computer.

■ There are main five folders in windows 10, in


which files are saved by default
– Documents : when we create and save
document file it get stored here
– Pictures: when we save any picture from
digital camera or scanner it get stored here
– Music: when we save any music file it store
here
– Videos: when we save any Video file it store
here
– Downloads: When we download any file from
internet it gets stored here
Changing The View of File and Folders
■ We can arrange files and folder according to our choice.

■ Large Icons or extra Large Icons: The images on folder icon are displayed in
Thumbnail view. It enables the users to identify the contents of the folder quickly.

■ Medium sized icon view: display file and folder as small icons. The file name is
displayed under the icon.

■ Small icons view: display more information about the file.

■ List view: display content as list of file or folders name preceded by small icon

■ Detail view or content view: give us detail information about files including name ,
type size, and modified date.
Selecting File and Folders
■ When you want to work with any file we have select that file.

■ Selected files appear highlighted on screen.

■ To select single file we just have click on that file

■ If we want to select multiple file first select one file and Press and hold down the
Ctrl key and click each file you want to select.

■ We can select a group of files by drag the mouse pointer.

■ We can also select all files by pressing Ctrl + A


Creating a New File/Folder
■ Steps to create new file:
1. Open a folder in which you want to create a file.
2. Click on Home tab.
3. Click on New Item.
4. Click the type of file you want to create.
5. Type a name for new file and press Enter key
■ Steps to create new folder on desktop:
1. Right-click the mouse ( A menu will appear)
2. Click on New. (A sub-menu will appear)
3. Click on Folder.
4. Type the name for new folder and press Enter key
Renaming a File/Folder
■ Renaming a file can help us in locating the file in future.
■ You can rename folders in same way you rename files.
■ We should rename only those files which we have created.
■ Steps:
1. Click the file you want to rename.
2. Click on Home tab.
3. Click on rename. ( we can press F2 key form keyboard)
4. Type a new name for the file and press Enter key.
■ A file name can not contain / \ ? “ < > or ! Character.
■ If we change mind while typing a new file name, we can press ESC key to return to
the original file name.
Copying Or Moving a File/Folder
■ We can copy or move a file on a pen drive, memory card or to new folder on computer.
■ When we copy a file, the file will remain in its original location and also appear in the
new location.
■ When we move a file, the file will get removed from its original location and appear in
the new location.
■ Same steps to copy or move folder.
1. Select the file/folder.
2. Click on Home tab.
3. Click on copy or cut. (short cut for Copy Ctrl + C and for Cut Ctrl + X)
4. Navigate the folder where we want our file to be pasted.
5. Click on Home tab.
6. Click on Paste (Short cut for paste Ctrl + V)
Opening a File With A Different Program
■ We can open a file with different program.
■ This enable you to use the features of other program to work on the file.
■ When we click on picture file it will open in some Photos app. If we want to open it
in MS-Paint or in Photoshop so that we can edit the picture.
■ Steps:
1. Open the folder
2. Click on the file.
3. Click on Home tab.
4. Click the arrow of Open.
5. Click on the program you want to use.
■ Or you can right click on that file and select Open with option and select from there
Deleting a File/Folder
■ We can delete the file/folders that is no longer required.

■ When we delete any file/folder, it goes into Recycle Bin. So if we want to delete file
permanently you have to delete it from Recycle Bin.

■ Do not delete any Windows 10 System files otherwise computer may develop a problem.

■ Steps:

1. Click on the file you want to delete.

2. Click on Home tab.

3. Click on Delete.

■ Or you can press Delete button from Keyboard after selecting that file
Restoring A Deleted File
■ File that we delete goes into Recycle Bin, where the files stays for a few days or a
few weeks, depending on how often you empty the bin or how full the folder is.

■ We can restore file that is there in Recycle Bin to its original location.

■ Steps:

1. Double click Recycle Bin icon.

2. Click on the file you want to restore.

3. Click on Manage Tab.

4. Click on Restore the selected items.


Empty the Recycle Bin
■ After delete file form Recycle Bin we cannot restore again.
1. Double click Recycle Bin icon
2. Click on Empty Recycle Bin button
3. Click on Yes

Searching the Files


■ Windows 10 search option searches not only the document but also e-mail messages,
contents, internet explorer favorites, application and more.
■ Steps:
1. Open folder click on search box.
2. Type text that we want to search.
3. If you spot folder double click on it
