Planning a presentation
• A few points to keep in mind:
– Consider the purpose of the presentation.
• Inform
• Persuade
• Entertain
– Think about the audience
• Superiors
• Co-workers

Starting Microsoft Powerpoint 2013
• Insert – to insert tables, clip art, pictures, links, headers and footers.
• Design - to change page setup, slide orientation, fonts and styles.
• Transitions - to add and effects to a slide.
• Animations - to add animation to text in a slide and to manage the order.
• Slide Show - tab to finalise the slide show details and timings. Review - tab to
check spelling.
• View - access the different presentation views, to show and hide the ruler. Ribbon
The Status Bar
• The Status Bar is located at the bottom of the window and
shows basic information about your presentation and lets
you change your view settings.
• Slide number - shows the slide number.
• Notes pane button – shows the notes pane view.
• Comments pane button – shows the comments pane view.
• View controls - changes the view from normal, slide sorter,
reading, and slide show.
• Zoom control - you can zoom in or out to make the
presentation bigger or smaller on the Status bar
Selecting a Slide Layout
• When you start a new presentation or add a new
slide, Microsoft PowerPoint 2013 adds a slide with
the default layout. If the layout isn’t the one you
want, you can change to another one of the built-in
layouts. To select a slide layout:
• From the HOME tab, in the Slides group, click Layout.
A gallery opens showing the layouts that can be
selected.
• Click on the desired layout to apply the format to the
current slide. Home Layout
Adding Text
• Click in the text box.
• When you click in the text box, it becomes
active and the cursor indicates where to enter
your text.
• Make sure the cursor is located inside the
textbox and begin typing your text. Text box
Editing Text
• Use your mouse to select the text you want to
change.
• Press Delete
• Type your new text.
Formatting Text
• The commands commonly used to format text are
included in the Font group on the Home tab:
• Font - choose selected fonts.
• Font size - change the size of your text.
• Bold - bold your text.
• Italic - italicise your text.
• Underline - underline your text.
• Strikethrough - strike through your text.
• Font Colour - change the colour of your text. Font
Adding, Deleting or Moving a Slide
• Adding a Slide
• If you have lots of slides in your presentation, click on the thumbnail of the slide
you want to insert the new slide after.
• In the home tab, in the Slides group, click New slide to reveal a gallery of slide
layouts.
• In the layout gallery, click the layout for the new slide. A blank slide of the
specified layout is added to the presentation.
• Deleting a Slide
• To delete a slide, select the slide in the slides pane, right-click it, and select
Delete Slide.
• Moving a Slide
• To change the order of slides in a presentation:
• In the slides tab, click and drag the thumbnail of a slide to its new position.
Home Layout
Transitions
• A transition is the animation (change) from one slide to the next.
• Ribbon/Animations/ Transition to This Slide
• Transition types
– Fades and Dissolves
– Wipes
– Push and Cover
– Strips and Bars
– Random
• The “?” will give you one of the 57 transitions. (Not a good option for formal
presentations.
Hover the cursor over the transition image to see a preview and
the name.
Transitions
• Set the options before clicking on a transition.
• Sound – If you are not entertaining, it is not needed.
– Other Sound – Lets you choose your own sound.
– Loop Until Next Sound – Very annoying unless you choose some kind of music as the sound.
• Transition Speed
– Only use a slow transition if it is needed.
• Advance slide
– You should really only use Automatically After if the presentation will run unattended. And
then you should rehearse the timings to make sure everything can be read.
• Apply To All
– It is a good idea to use the same transition throughout a presentation.
– Another option would be to use a different transition only for important slides.
– A third option might be to use alternating similar transitions.
• Always remember – Don’t distract from the message.
Animations
• To add object animation, select an object place
holder and choose a simple animation from the list.
• Or choose Custom Animation to open the Custom
Animation pane.
– If you are new to PowerPoint, it might be easier to
choose a built in animation and then edit it with Custom
Animation.
Different object types have different animation
options.
Custom Animation
• Custom animations can get very complicated very quickly. If you are not
entertaining …
– Click the object and choose Custom Animation
– Add an effect (one event)
– Modify the effect
• Start
– On Click – Needs click before anything happens
– With Previous – The same time as another event
– After Previous – After the previous event finishes
• Property
• Speed
– Play – To see all the events
– Slide Show – To see the events with any necessary clicks
– Click an event in the animation pane, or a number next to the object to modify or
remove the event.
– Right click the event in the animation pane for even more options
Custom Animation
• Bulleted lists and SmartArt have additional
options. One animation effect can actually include
several events.

Custom Animation
More options …
• Motion Paths – The object moves from green to red. The path is an
object. It can be scaled, rotated, and moved.
– Unlocked – The path is not “locked” to the slide. Move the object and the path
moves with it. When Locked, the path is stuck to the slide even if the object
moves.
– Right-click the path to reverse it, close it (make the object return to the start) or
to edit the individual points of the path.
• Draw Custom Path
– Line – Click and drag to the end point.
– Curve – Click to start, click to create a point to curve around, double click to end.
– Freeform – Click to start, click to create a straight line point, click and hold to
scribble, double click to end.
– Scribble – Click and hold to draw freely.
Action Buttons
• Action buttons allow you to move between
slides/presentations, play sounds, or run other
programs by clicking on a shape/object.
• Ribbon/Insert/Shapes/Action Buttons insert
and then choose the Action Settings
• You can also select an object and give it an
action with Ribbon/Insert/Action

Saving a Document
• The first time you save a Microsoft PowerPoint
2013 presentation, you need to give it a name
and location. To do this:
• From the File menu, select Save As.
• Now, select a location to save your document.
• Type in the name for the file.
• Click Save.
Closing a Presentation
• To close a Microsoft PowerPoint 2013
presentation you can:
• click the "X" in the red box in the upper right
corner or
• from the FILE menu, select Close.
• When you close your presentation, you will be
asked to save if you have made any changes
since the last time you saved.
