The SAP Business Partner Application


•SAP Business Partner is the central component for entering and managing general,
and business specific partner data.
•SAP Business Partner enables you to create and manage business partners centrally.
This is particularly useful when a partner plays several different roles for a company
(such as borrower and account holder).
•SAP Business Partner is designed to give users practical advantages, such as
minimized data redundancy and improved data integrity. It also places a stronger focus
on managing customer relationships and new customer acquisitions.

Scope of Function
•You can create a business partner with different business partner roles and assign
new roles in the course of the business relationship. When you do so, you do not need
to re-enter data each time, which eliminates redundant data entry and data
maintenance as well as the risk of inconsistencies.
•With SAP Business Partner you can bring together partner data that may be
distributed out over several systems and identify potential customers for new contracts
from within your existing customer base.
•When you enter data, the component seamlessly integrates central data in SAP
Business Partner and application-specific data on one processing screen.
•You can also integrate customer-specific data without making modifications,
regardless of release changes.

You can choose from the following business partner categories:

● Person: A natural person (such as an individual, realtor, or employee)

● Organization: A legal entity or part of a legal entity (such as a company,


association, institution, or department)

● Group: A group comprised of several persons and/or organizations (such


as a married couple, community of heirs, or corporate group)

•For each business category there are specific data fields available for you to choose from:
− Person: Title, First Name, Last Name, Birth Date, additional name components (such as
Name affix, Name supplement and Academic titles), gender, etc.
− Organization: Title, Name, Legal form, Industry, Legal entity, etc.
− Groups: Title, 2 name fields, Partner group categories (marriage, shared apartment), etc.
•You cannot create any other business partner categories.
•Nor can you make subsequent changes to a business partner category.

Role Categories for Business Partners


A business partner role classifies a business partner according to business criteria.
● Example:

● The system has fixed, predefined role categories for business partners. These role categories
also appear in other closely related SAP modules.
•"General Business Partner" is the default BP role category.
•Different data is required for each process.
•The role concept supports this since each role represents a particular view of the data.

BP Roles
•Standard and central BP role concept
•You can define as many BP roles as you wish in the SAP Business Partner
•A business partner can have several BP roles
•A BP can adopt each BP role exactly once
o Uniform usage of the new concept for business partner roles in all SAP applications and
all UIs
•Different attributes are relevant for each BP role
o You can limit the periods for which the assignment of roles to business partners is valid.
•Deleting a BP role is possible

Time-dependency of BP role
•Each BP role is time-dependent
•A business partner can have several roles at the same time
•The advantage of using time-dependency for the business partner roles is that you can define
that a role is terminated at a certain time.

Business Partner: Grouping

BP Role Grouping
•The business partner role grouping allows you to group together several BP roles for selection in
the dialog.
•This simplifies the data maintenance:
o You can assign as many BP roles you wish to the role grouping.
o Defining the screen structure and screen sequence for each BP role grouping is
possible.
o You can specify how you access business partner maintenance by defining application
transaction to which you assign BP roles and BP role groupings.

•A business partner relationship shows business-relevant connections between two business


partners.
•The BP category and BP role determine the relationship categories that you can choose from
•The following relationship categories are some of the predefined in the standard system:
o Is contact person for

o Is activity partner for

data set.

 Several records exist at the same time in different periods (time segments). The
“Date to” is found in the object’s key. This may be necessary if an object can be
active at different times, for example.

• The standard address is managed by means of a corresponding address usage and is
thus completely time-dependent.
• You can always change the validity period of an address usage.
• Available functions:
oMove
oThe information about when a change becomes valid is stored in an own table.
Relevant processes (e.g. data exchange) can be triggered via that table.

• Identification Number:
o Several identification types can be set in Customizing, for example: commercial register
number, ID card number, student card.
o Identification number can be used for any external keys
o The identification type can be unique
• Occupation:
o Several occupation types can be defined and then assigned to the business partner, for
example student or consultant.

resources, for example boycott lists or do not call lists. There are several search
helps or events available.

Functions: Total Commitment

Basic Functions:
•Navigation: if you double-click on an entry, the system will lead you directly to the operative
system.
•Authorization Check: it gives permission to certain users to start total commitment. It is not
possible to exclude entries from the total commitment view. But when a user double-clicks on an
entry, the authorization check will control if the user is allowed to see the application.
•Currency Translation: the contracts of a business partner can have different currencies, therefore
you can define in which currency the total commitment will calculate the total sum.

Functions: Archiving

•Archiving or deletion of business partners in order to:


o Clean up the data positions
o Improve system performance
•The archiving run takes account of the use of the business partner in the different processes
(account, card, PLM document, and so on)
•Access to the archive is possible at any time
•It is possible to have the archiving flag set automatically
•You can reload archived business partners from the archive system back into the operational
system

Easy Enhancement Workbench (EEW)

•EEW is used to enhance the existing business partner data model.


•This wizard-based tool allows to enhance the BP with new attributes and tables.
•It generates automatically: Data Dictionary (DDIC) enhancements, dialog screens, function
modules, APIs, Customizing tables, connection of the archiving engine and enhancement of
external interfaces.
•With EEW simply prototyping is possible, no need of experts (ABAP/DDIC, BDT).
