ANALYSIS OF THE
CURRENT SYSTEM
MS. MASARRAH
Learning objectives
1) Describe how a current system is analyzed and recorded
• Existing/current
system is looked at and figure out
what changes need to be made.
• If
there is no current system, analysis will look at the
requirement of the proposed new system
Basic Step in Analysis Phase
Current System
1.Research and collect data.
2.Describe the process involved.
3.Identify problems.
New System
4.Identify processes
5.Identify requirements
6.Producing cost-benefit analysis (feasibility study)
7.Produce a Data Flow Diagram (DFD)

Questionnaires
Observation
Definition: Closely watching something
• Involve system analyst sits and watches somebody using the current system.
• Analyst can make notes about:
• How things are done
• The relationships between different people’s work.
• What are the inputs, processes and outputs?
• What goes well?
• What need to be improved?
Advantages Disadvantages
Allow the systems analyst to gather first-hand, real- People tend not to work in a normal way if they know

all questions.
Questionnaires
Definition: a set of questions with a choice of answer to
carry out a survey.
Advantages Disadvantages
Questions can be answered quickly. People often do not complete or return the
questionnaire.
Less time consuming than interviews Unclear questions cannot be explained as people are
left to answers the questions alone.
Can be done online and automatically marked and You may get incorrect data if people have
analysed. misunderstood a question.
Fairly cheap method of gathering data It is hard to ask very technical or specific questions on
a questionnaire.
Existing Documents
Definition: written or printed information such as a web
page, presentation, spreadsheet, report or database.
Existing Documents
Advantages Disadvantages
Easy way to find comprehensive information on the Documents do not always reveal all of the processes
system and procedures about a system
Finds all of the inputs and outputs of the system Documentation is difficult to understand for someone
who is outside organisation, need someone to explain
it.
Could save time as there may be copies of previous Very expensive as the analyst will need to be paid for
analysis. time spent looking at documentation.
Data Flow Diagram (DFD)
DFD used to Describe:
System Specification
• At the end of analysis stage, various specifications for the new
system are written:
4) Performance indicators such as the time it should take for a user to carry out
a particular task.
Types of Specification
Requirements
Specification
• A document listing all of the functions the system is expected to perform, and the
data flow needed.
System Specification
• A list of all of the software and hardware required by the new system.
