1. Introduction
1.1 Purpose
This document specifies the functional requirements for the Researcher
Profiling System (RPS), a WordPress-based platform designed to
centralize academic profiles, publications, and collaborations while
enhancing research visibility and networking opportunities.

1.2 Background
Academic institutions lack centralized systems to track researchers'
work, leading to inefficiencies in collaboration and visibility.
This system will:
✔Automate profile creation and updates.
✔Facilitate networking and interdisciplinary collaboration.
✔Integrate with publication databases (e.g., ORCID, Google Scholar).

1.3 Scope
In Scope:
The system will include:
✔Researcher profile management.
✔Publication import/export.
✔Collaboration tools (messaging, co-author networks).
✔Advanced search and analytics.
✔Integration with academic databases.

Out of Scope:
✔Institutional HR/payroll systems.
✔Grant management modules.
✔Peer-review workflow tools.
2. Functional Requirements
2.1 User Management
RPS-UM-001: Role-Based Access Control:
The system shall implement three distinct user roles with the following
permissions:
✔Researchers: Can create/edit their profiles, manage publications, and
connect with peers
✔Administrators: Can approve profiles, moderate content, and
configure system settings
✔Visitors: Can view public profiles and search the database without
editing capabilities

RPS-UM-002: ORCID Integration


The system shall:
✔Allow user authentication via ORCID credentials
✔ Automatically populate publication data from verified ORCID profiles
✔Provide synchronization options for ongoing profile updates

RPS-UM-003: Profile Completion Wizard


The system shall guide new users through a multi-step profile creation
process with:
✔Mandatory fields (name, institutional affiliation, research expertise)
✔Optional fields (CV upload, social media links, research projects)
✔ Progress indicators and save/resume functionality

2.2 Profile Management


RPS-PM-001: Comprehensive Profile Structure
Each researcher profile shall maintain:
✔Personal information (name, contact details, photo)
✔Academic background (degrees, institutions, years)
✔Research expertise (keywords, skills, methodologies)
✔Professional history (current and past positions)

RPS-PM-002: CV/Resume Processing


The system shall:
✔Accept PDF and DOCX format uploads
✔Extract metadata including publications, education history, and skills
✔Suggest profile updates based on extracted content
✔Store processed documents in the researcher's private repository

RPS-PM-003: Visibility Controls


Researchers shall be able to:
- Set different visibility levels (public, private, institutional-only) for each
profile section
- Manage what information appears in search results
- Control which connections can view specific content

2.3 Publication Management


RPS-PUB-001: Automated Publication Import
The system shall:
- Connect to ORCID, Google Scholar, and PubMed/Crossref via API
- Allow scheduled or on-demand synchronization
- Handle bulk imports of publication records
- Detect and flag potential duplicates

RPS-PUB-002: Manual Publication Entry


Researchers shall be able to:
- Add publications manually with complete bibliographic data
- Upload supporting documents (preprints, supplementary materials)
- Group related publications into research collections
- Correct metadata for imported publications

RPS-PUB-003: Citation Analytics


The system shall:
- Calculate and display citation metrics (h-index, i10-index)
- Show citation trends over time with visualizations
- Compare citation performance with discipline benchmarks
- Generate downloadable reports in multiple formats

2.4 Collaboration Tools


RPS-CT-001: Connection Management
The system shall enable:
