Internship Overview

An internship is an educational employment position that allows students the opportunity to practice what they have
learned in their academic classes. It gives students an opportunity to evaluate the individual companies for whom they
work and, more importantly, the career paths they are considering. For many students, deciding on a career is
challenging. An internship can clarify any ambivalence a student may feel about his or her major because it offers him or
her a glimpse into a potential career path that a classroom cannot provide.

Internship Information

Internship enrollment is compulsory to all undergraduate majors and counts for 3 credit hours toward the
undergraduate degree. Students are encouraged to find their own internship opportunities, however, the Career
Services Centre (CSC) has relationships with a number of employers and can assist in finding placements as well.
Students can NOT start their internship without a signed approval from the designated Internship Professor.

International Internship

If the student intends to conduct an internship abroad he/she will have to produce sufficient evidence about the proper
qualifications of the company and the internship. Awarding internship abroad is a privilege, not a right. The school may
refuse a request for internship abroad due to insufficient evidence or concerns about the qualifications of the company.

For approval of International Internship, please contact your assigned Internship Professor.

Internship Duration

It is imperative that the students complete training outside the classroom where he/she will be exposed to real life
environments in order to apply the skills acquired in the classroom. The internship course has both an experiential and
academic component. The internship student, therefore, has the responsibility to conduct him or herself in a
professional manner throughout the internship process, and to document his or her experience through submission of
written reports and assignments to the Internship Professor. It is expected that the experiential component will involve a
total of 160 hours of supervised work experience.

Internship Procedure
1. Confirm Eligibility

Eligibility for the Internship Course will depend upon program requirements. The Faculty of Management has the
following requirements:

 90 credit hours toward completion of the degree


 CGPA not less than 2.0
 Internship Professor Approval

2. Register with Career Services

Students must register with Career Services during the semester prior to the internship course. Career Services will
assist students with ensuring they meet the requirements of the internship course and help to find a suitable
internship placement. If students do not register with Career Services they will not be able to avail of workshops
and guidance to ensure a successful internship.

In addition, an internship workshop will be held during the semester to review the internship requirements and
answer any questions.

3. Attend Workshops

Career Services will arrange workshops to help students prepare for their Internship Course. The following
workshops are offered each semester, usually after mid-term exams and a schedule of upcoming workshops can be
found in the Student Affairs office (B1-14):

 Job Searching
 Mock Interviews

Students must sign up for workshops in advance with the Career Services office. A certificate will be awarded upon
completion of a workshop.

4. Collect Internship Package:

Career Services provides students with their Internship Package which contains the following:
 Student Guidelines for Internship (this document)
The following must be completed and submitted before the internship can begin
 Document Checklist (See Annex 1)
 Application Form (See Annex 2)
 Learning Contract (See Annex 3)

The following must be completed and submitted at the end of the internship:
 Field Supervisor Evaluation Form (See Annex 5)
 Exit Interview Form (Annex 6)
 Self-evaluation of Organization Form (See Annex 7)
 Final report Overview (See Annex 8)

5. Find Internship Placement:
Students can contact companies on their own or receive support from Career Services. Internship placements must
be related to the student’s field of study and approved by the Internship Professor BEFORE the start of work.

6. Internship Invitation Letter

Many employers will require a letter from the university confirming that the student is working to complete their
internship requirements for their university program. Requests for the Internship Invitation Letter must be made
with the Internship Office.

7. Submit Documents

Before the start of the internship, students must schedule a meeting with their assigned internship professor. The
purpose of the meeting is to review the job description and course syllabus, discuss the reporting schedule, and
define the final report requirements. The following documents must be completed and submitted at this meeting:

8. Reporting Schedule

Students must report to their Internship Professor on a regular basis. The frequency and format of this report must
be discussed and defined with the Internship Professor BEFORE the start of the internship.

9. Site Visits

During the internship period a site visit may take place with either the Internship Professor or a member of Career
Services. The purpose of the site visit is to observe, first-hand, the working conditions and collect feedback from
both student and field supervisor on the internship itself. The site visit will consist of a 30 minute meeting with each
of the student and the field supervisor. The student will be required to assist with scheduling of the site visit.

10. Evaluation Process

At the end of the internship, the Field Supervisor must complete a student evaluation (Annex 5) to assess the
performance of the student. The evaluation should be reviewed with the student to allow for clear feedback on
their performance.

After completion of the internship the Student schedules an appointment with the assigned Internship Professor
and hands in the following completed documents:

 Field Supervisor Evaluation Form (Annex 5)

 Exit Interview Form (Annex 6)

 Intern Self- Evaluation of Organization Form (Annex 7)

 Final Report (see Annex 8 for guidelines).

A Pass/Fail grade will be assigned to the internship course by the Internship Professor as defined in the course
syllabus.

Learning Contract

General Internship Agreement
Purpose
At the Canadian University of Dubai (CUD) an internship is a structured and monitored work experience
providing students with the opportunity to apply knowledge acquired in his or her program of study in a real
working environment. Internships provide students with a valuable opportunity to learn and experience how
class work is applied in a real working environment. Canadian University of Dubai (CUD) and
_____________________ (Company) have agreed to cooperate to offer CUD internships onsite. This
agreement outlines the responsibilities and duties of CUD and Company regarding the offering of these
internships.

Canadian University Of Dubai undertakes to ensure that:


1. Students sent to complete an internship at Company will have been briefed regarding the hours and
conditions of work that will be expected.

2. Students sent to complete an internship at Company will have completed all of the CUD entrance
requirements prior to the commencement of the internship.

3. The CUD Internship Professor responsible for the internship course will communicate with the student
and with the Company assigned Field Supervisor to discuss and prepare the Learning Contract that all
of the three aforementioned individuals will sign. This Learning Contract outlines the major activities
that the student will be expected to participate in and the major opportunities for learning involved in
these activities.

4. The Company is properly informed as to CUD expectations regarding all aspects of the internship.

5. The Internship Professor responsible for the internship course will communicate with the Field
Supervisor and establish an effective line of communication between the two.

6. The field supervisor is provided with an evaluation form to complete, which assess the work completed
by the intern.

7. After the internship CUD will communicate with the field supervisor regarding any suggestions that
have been raised to improve future internship experiences.
The Company undertakes to ensure that:
1. A safe and secure work environment is provided to the intern.

2. A qualified field supervisor is assigned to the intern to direct and monitor the intern’s work activities.

3. The field supervisor discusses with the intern and the Internship Professor the work activities and
expected learning outcomes associated with the internship. These are to be summarized in a Learning
Contract to be signed by the student, the Internship Professor, and the field supervisor prior to the
commencement of the internship.

4. The intern is assigned tasks that provide the intern with the learning opportunities outlined in the
Learning Contract.

5. The field supervisor communicates on an ongoing basis with the Internship Professor regarding the
progress of the intern.

6. The field supervisor completes the Canadian University of Dubai provided evaluation form that allows
the field supervisor to assess the work activities of the intern.

7. Field supervisor reports unaccounted absences of the intern to the Internship Professor.

Student’s Internship Final Report (Overview)

Internship Final Report: Structure & Content

The final report consists of the following four sections:

 Company Description
 Job Description
 Self-Evaluation Assessment of Student’s Job Performance
 Student Evaluation of the Training Organization
 Exit Interview
Company Description: A brief description of the company in which the student was placed for internship. This should include
the nature of business, organization structure, management and communication systems, resources, target markets and its
market offering.

Job Description: The job description should be written in third person as if the student, acting as a manager, were writing it for
a new employee/associate. It should be written in outline form, except for the job summary section. Headings should be used to
identify each of the job description sections.

Personal Assessment (Self Evaluation): This section of the report provides a student the opportunity to reflect on the entire
internship experience and think about both the positive and negative aspects of the job performed, and the internship
experience. This section should address the following questions and issues.

Personal Assessment Questions

 To what extent has (s)he learned new disciplines for learning and managing his/her time?
 Have career goals been reinforced or has he/she decided to alter his/her original goals?
 What new skills has (s)he acquired and what present skills have been reinforced? Consider the full range of skills:
leadership; technical; communication; artistic; social; political and others?
 What specific techniques from the textbook has (s)he learned which will improve his/her interpersonal skills? How will
these improve his/her ability to be a successful manager?
 How could his internship experience have been more beneficial? What were the most positive and negative aspects of
the experience?
 What suggestions would he make for improving this internship experience?

Written Reports

In general, preparation of written reports and papers required by the respective school is not to be included as part of the work;
however, organization visitations, special project development, evaluation conferences, etc., should be included within the 160
hours.

Further, a student is responsible to:

 Understand and meet all course requirements


 Choose and contract fieldwork experience that will contribute significantly to his/her professional growth
 Attend all related meetings and keep appointments with his/her faculty and organization advisers
 Represent the university in a professional manner

Follow-Up Evaluation and Grading

Trainees will be jointly-supervised by the company’s (field supervisor) and the university Internship Professor.

The evaluation of the internship shall consist of the following components:

1. Field Supervisor Assessment: The field supervisor is asked to complete a final evaluation in which (s)he gives his/her
assessment of the trainee’s performance during the training period. See Supervisor Evaluation of Student Performance
form

2. Final Report: Each trainee is required to submit a final report summarizing his/her training experience as mentioned
above. See Student’s Internship Report -Internship Final Report: Structure & Content Sheet

3. Attendance: Trainees must observe and adhere to the working hours at the training organization. Frequent
absenteeism and/or late reporting to work may result in failing the practical training course. In case of emergencies, the
student must inform both the field supervisor as well as the Internship Professor before (s)he leaves the training site

4. Exit Interview with your Internship Professor before the end of the semester (here you submit your final report and
your supervisor’s report to earn your grade).
