Task Management Checklist

What is this worksheet?


Use this worksheet to pair your time-management skills with effective task-
management. Effective time-management needs to be paired with task-
management to ensure you are getting the most important and meaningful tasks
done to achieve your goals.

STEP 1: PRIORITISE LONG-TERM TASKS


Not all tasks are the same and all tasks should not be treated the same. Some tasks
are more important than others. You can determine the importance of a task based
on the consequence of the task. The higher the consequence of failure, the more
important the task is.

Below is a comparison between a long-term task and a short-term task.

Long-term task = Increasing your learning efficiency.


Consequence of failing = Never increasing learning efficiency, leading to
more time spent on learning less. Can end up in not achieving learning goals
and gaining entry into dream schools, dream courses or dream jobs.

Short-term task = Finishing your assigned homework due in a few days.


Consequence of failing = 5% off of final grade.

Although the consequence of the short-term task is losing 5% off of the final grade,
the hours you would’ve spent on homework is now spent on improving your
learning skills. So if you were to lose 5% by not doing your homework, you may be
able to increase your marks by 15% by working on your learning skills, leading to a
net gain of 10% in total marks.

Many long-term tasks get pushed away and never completed due to the fact that
students can become trapped into constantly doing short-term tasks. This is called
urgency trapping.

On the next page, there is an actionable list you can use to determine your long-
term tasks.

STEP 2: DETERMINE YOUR LONG-TERM TASKS
Think about your end goal.
What is your end goal? This is a big question and establishing a general direction
can help you understand what you need to work on most. Before you know what
tasks you will be working on for the day or week, you must first decide on what you
want to achieve!

Instead of saying “I want to get better at Mathematics”, say, “Each month, I want to
make sure that I’m increasing my average mark in Mathematics by at least 2%. And
by the end of the year, I want to rank at least top 3 in my class”

By defining your end goal, you will need to generally know what you need to do to
achieve your goal!

Think about the skills and attributes needed to achieve that goal.
Once you’ve established your end goal, you need to think about the skills and
attributes to achieve this goal.

Map out how you would learn a topic from start to finish.
Highlight the parts of your system that needs the most improvement (Not sure

Determine the tasks you need to work on to improve your skills / acquire
attributes

Allocate time to work on the long-term tasks in your schedule.


Once you have determined what tasks you need to work on to develop certain skills
and attributes, schedule these tasks in early in the day or have regular time devoted
for developing these skills.
