PROCEDURE FOR COORDINATION MEETINGS
Schools are expected to participate in two different forms of coordination meetings.
Internal coordination meetings: These will be conducted between the teachers and the school
head/academic coordinators as part of the planning phase of teaching and learning.
The school Head/ coordinator is expected to make a coordination meeting schedule at the start of every
term based on the free slots available to the teachers as per the timetable. The coordination meetings
must at least be FORTNIGHTLY (held every other week), although weekly meetings are also suggested.
At the prescribed time, every subject teacher is expected to bring lesson plans with detailed inscriptions
about resource materials and texts etc. A complete log of the coordination meeting must be maintained
in the school’s office for reference. Formats for coordination meetings are attached herewith.
Some considerations with regards to these meetings are as follows.
It is important that the meeting be held in a quiet area with comfortable seating to facilitate
interactive discussion.
Attending teachers are required to bring 5 student notebooks as evidence for work per grade. If
the school has multiple sections, then they must be from different sections.
A coordination meeting register/file should be maintained by the School Head/ Coordinator
Attendance, key issues emerging from previous week's lessons and main takeaways from the
meeting should be noted in the register/file by School Head/ Coordinator
Curriculum documents (attainment targets, scheme of work, lesson plans) should be present for
reference and discussion.
Further planning for each subject should be done together, respecting and considering
everyone’s views and suggestions. The School Head/ Coordinator should ensure that the
views/opinions of all participants are appreciated, and that no one teacher dominates the
discussion.
The objectives set out in the meeting should be realistic.
Teaching and learning strategies should be in line with the expected learning outcomes.
The breakdown of lessons should be discussed to ensure that all sections cover the same topics
at the same time and that appropriate use is made of the allotted class time.
Photocopiable resources should be submitted to the School Head/ Coordinator two days after
the meeting.
The School Head/ Coordinator should ensure that the teaching methodologies settled upon are
in line with the discussions and mutually agreed content.
It is the responsibility of the School Head/ Coordinator to have all the resources photocopied
and delivered to the concerned teachers by Friday.
Teachers need to make a note of any difficulties they face while implementing the lessons and
be flexible in making changes on the spot. These must be noted down as part of the lesson
evaluation printed at the end of each lesson plan. These points should then be brought up for
discussion in the next meeting.
Both Assessment for learning as well as of learning should be discussed with reference to every
learning objective set so as to improve the teaching and learning standards.
Note: Teachers who are absent during the meeting should through the points noted in the
coordination meeting register.
External Coordination Meetings: The purpose of coordination meetings at the Academic Head Office is
to compare the progress made on scheme of studies in different schools and to remove any
major differences
to ensure that all schools teach a similar core scheme of studies, thereby enabling the schools to
appear in centralized exams
to share good teaching practices.
All teachers attending coordination meetings must be carefully selected and must come to
coordination meetings with
their own scheme of studies
problems they wish to discuss
their best ideas.
Minutes of the coordination meetings will carry suggestions as well as any decisions that can be made.
Major decisions will be communicated to School Heads via appropriate memos/directives/standing
orders. All teachers must get a copy of the minutes of coordination meetings.
