HELP Document – Maintaining your data in Builder

There are three primary tools available to manage and maintain your data within the Builder
Application.

1. The Tables function allows you to edit the data in various master tables directly.
2. The Substitution Tables allow you to change data values in repeatable manner.
3. The Utilities allow you to update large amounts of data using external data sources or
specific update criteria. See our HELP document “Builder Utilities”

Tables
You can access and edit any of the data in the master tables for Business Group, Coded Note, Cost
Center, Family, Labor, Manufacturer, Master Part, Miscellaneous, Model, Part Sell Code, Source of
Supply, Store, and SMCS Codes. With the SMCS Codes, you can access each individual table for
Component, Job, Modified, Quantity, Job Location, Work Application, Job Condition, and Cab Type.

The functionality is the same for each one of these tables. You have the ability to Add records, Edit
records, Delete records, and Search records. Additionally, some of the tables have a “Where Used”
function.

To illustrate this functionality, Select Source of Supply on the Tables menu.


Add a Record – Click the Add Link at the top
This will open another dialog box to enter new data into the Source of Supply table. From there, you
can enter a new source of supply code and description and click ok.

Edit a Record – Select the desired record from the table and click the Edit link.
From here, you can update the record to the new values.

Delete a Record – Select the desired record and click the Delete link.
You will be asked to confirm the delete.
Search – Enter your search string and click Search.
The search function will filter the table to display only those records that match your search string. To
display all records again, simply click the Reset button

Where Used – Select your desire record and then click Where Used.
This function will display a report with all repair options that utilize the value that you selected.
Substitution Tables – Saved data changes that are executed during the import process
and whenever initiated by the user
A substitution is a saved data change that can be repeated over and over. It will allow you to Change
value ‘X’ to value ‘Y’ so that you can perform this update at any time.

Substitution has two elements. You must first create and save your substitutions. Then you can execute
your substitutions. There are two methods to perform substitution. You can perform substitutions while
importing data into Builder. You can also perform substitutions by initiating the action from Equipment
Screen->Edit->Process Substitutions.

Create and Save a Substitution


The image below illustrates that you can create data substitutions for Code Note, Business Group, Labor
Code, Miscellaneous Code, SMCS Codes, Source of Supply, and Source of Supply/Part Number.
In this example, we have stored a “Source of Supply” substitution that will change Source of supply
‘AAA’ to source of supply ‘000’. The interface works similar to the Tables functionality.

Execute Substitution - There are two different methods that initiate the execution of the
Substitution tables.
1. Substitutions are executed when you import data to Builder
2. You can initiate Substitution at any time from Equipment Screen->Edit->Process Substitutions
menu.
