Formal Letters:
Format of a Formal Letter includes:
The following points need to be taken into consideration while writing a Formal letter-
a. A Formal Letter strictly follows the prescribed Format for writing a Formal Letter.
b. Use of colloquial words, abbreviations and slang language should be restricted while writing
a formal letter.
c. A Formal Letter must be precise and to the point.
d. The Subject line is very important in a Formal Letter.
The Format of a Formal Letter is as follows –

1. Sender’s address: The address and contact details of the sender are written here. Include
email and phone number, if required or if mentioned in the question.

2. Date: The date is written in full (without slash and dashes) below the sender’s address after
leaving one space or line.

3. Receiver’s address: The address of the recipient of the mail (The officer / Principal / Editor)
is written here.

4. Subject of the letter: The main purpose of the letter forms the subject. It must be written in
one line. It must convey the matter for which the letter is written. (In brief)
5. Salutation (Sir / Madam)
6. Body: The matter of the letter is written here. It is divided into 3 paragraphs as follows -
Paragraph 1: Introduce yourself and the purpose of writing the letter in brief.
Paragraph 2: Elaborate on the matter and write the effects and cause of the issue.
Paragraph 3: Conclude by mentioning what you expect. (For example, a solution to your
problem, to highlight an issue in the newspaper, etc.)
7. Complimentary Closing: Thank You
8. Sender’s name (in full), signature and designation (if any)
Types of Letters to Be Asked in CBSE Class 10 English Exam Are:
• Letter to the Editor of a newspaper (drawing the public’s attention towards social
or common issues)
(A letter to the editor is a formal letter that expresses one’s concern over issues or to highlight core issues in
society. These letters are usually written to the editors of newspapers or magazines. it’s important to use a
clear, concise, and persuasive writing style, while providing relevant examples and data to support your
arguments. Use a formal tone and language.
• Complaint letter (reporting a lost wallet, cycle, etc., complaint on neighbours,
complaint about any gadget, any services, poor facilities at tourist place, etc.)
(A complaint letter is written with the aim and hope of finding a suitable solution for a problem that has not
been addressed. There is an umpteen number of problems faced by people, and raising complaints to bring
these problems to the attention of the higher authorities is the only way to rectify the problems. When you
write a complaint letter, make sure you state the problem in a clear and concise manner. Do not exaggerate.
Explain the difficulties faced due to the problem and see to that you address the problem on a kind note. Do
not express anger or sarcasm in your letter. Be sure to include any documents or copies of documents that
might serve as proof. )
• Order placing letter (ordering books, equipment for school, gadgets for home or any
institution, etc.)
(An order letter needs to pen down the terms and conditions of the purchase. These benefit both the involved
parties. It generally contains details such as product specifications, their quantities, colour, brand, model no., a
price that the parties have agreed upon, mode of payment, the date of delivery, place of delivery and what to
do in case there occurs a late delivery.)

• Enquiry letter (planning a trip, details for joining a class, etc.)


(A letter of enquiry is a letter written to enquire about something that you want to know. When writing a letter
of enquiry, make sure to mention a list of all the details you would want to gather about the product you
would like to purchase or the service you would like to avail. Also, ensure that you provide your contact details
accurately so that the service provider can get back to you with the details you have asked for.)

Subject Regarding reckless driving of school bus drivers

Sir/Madam
I am Dipti/ Deepak a concerned citizen staying at Janakpuri in New Delhi. Through the
columns of your esteemed newspaper, I wish to draw the attention of the concerned authorities
towards the grave issue of rash driving being done by school bus drivers that pose a threat to the
lives of innocent school children and trespassers.

Driving in a zigzag manner on packed roads, crossing speed limits, not following traffic lights
has become very common. Despite such strict regulations regarding speed, none of these drivers
seem to follow them. This shows that there is lack of implementation. This is a menace to other
road users as the bus drivers that drive at high speed might crush down whoever comes in their
way.

By addressing this issue, it is hoped that the public awareness towards the dangers of reckless
driving can be raised. It is also the time for the traffic authorities to take staying at Janakpuri
stronger measures against the reckless drivers, which includes levying heavy fines and
forfeiting of their licenses if they are found guilty of breaching the traffic rules.

ANALYTICAL PARAGRAPH:

An analytical paragraph is a form of descriptive writing which is written on the basis of a given chart, graph,
data, outline, clues, table, etc. When writing an analytical paragraph, one should remember to start with a
heading, describe the facts in the best possible manner and to cover the information provided.
The analytical paragraph has to be written in around 100-120 words. So, the paragraph must use clear and
crisp language. It should be brief and comprehensive (include complete information) at the same time. It
should state facts that are provided by the chart. It should mention figures and quantities appropriately. It is
appropriate to use the same tense throughout the analytical paragraph.
It would be preferable to use the passive form of the verb.

Useful tips for writing an Analytical paragraph:


For an introduction, you can start with the following phrases-

a. The chart given describes


b. The table suggests
c. The line graph shows
d. The data given provides information about
e. The pie chart illustrates, etc.
For describing trends, use phrases and words like- a pattern of growth, rapidly doubled, skyrocketed, striking
increase, peaked, soaring rates, declined, plummeted, levelled off, stagnated, fluctuate, starting to rise, starting
to fall, drop down, slightly, etc.
For describing quantities, use various styles like- 48% of, one-third of, nearly one-fourth of, almost 80%,
majority, on average, twice as much, almost equal, the highest, the lowest, very close to 2%, roughly,
approximately 5% of, just under three percent, etc.
For establishing a relationship or contrast, use phrases and words like- relationship between, similarly, in
contrast with, in comparison to, but in the opposite case, however, whereas, when it comes to, as opposed to,
while, striking difference, noticeable difference, etc.
For the conclusion and other connecting phrases use- overall, subsequently, in all, in a nutshell, for the
chart given, in short, striking changes, including, therefore, etc.

Sample :
A group of enterprising adults conducted a survey on reopening the educational institutes in the
National Capital after Covid-19 cases came down. Write a paragraph in 120 words analysing the
listed responses.
Re-opening of Educational Institutions in the National Capital

Considering current Education crises due to Covid-19, a survey on reopening of educational


institutions in the national Capital was conducted by a group of enterprising young adults. The
survey shows that 28% people believed that the educational institutions should allow the
students and other staff in the campus after complete vaccination. As many as 24% believed that
school should reopen only for exams or practical work; whereas 20% people were of the view
that it would be wise to open these institutions only after the cases are less than 0.3%. A few
people around 15% seemed to be in support of the reopening of school only for classes 9th to
12th whereas 8% people were in the favour of reopening the same for all classes. Only 5% of
persons interviewed couldn't say anything in this matter. Hence, we see that approximately 75%
people wanted that it’s time for educational institutions to move on with full precautions
whereas 20% are still waiting for the situation to become better and 5% of them are perhaps on
‘wait and watch’ stand.
