E-MAIL MESSAGING
Q. What is an E-mail?
Ans. E-mail stands for Electronic Mail. It is an electronic message transmitted over
internet/computer network from one user to another. Features of E-mail are:-
1) It can be sent to one person or more at the same time.
2) It can be received at any time.
3)The recipient of email can open it at his/her convenience.
4) It can be saved for later use.
5) We can send other documents as attachments.

Q. Give some examples of email id.


Ans. The email address consists of two parts separated by @ symbol – first part is
the user_name and the second part is host computer name. The email address
look like :- [email protected], [email protected],
[email protected].

Q. Explain two types of Email-services.


Ans. There are two kinds of e-mail services:-
1. Application based e-mail – It is installed on the user’s computer. The mail is
stored on the user’s computer. Examples are Microsoft Outlook, Mozilla
Thunderbird, Opera, Foxmail etc.

2.Web based e-mail- It can be accessed by the user from any Internet connected
computer anywhere in the world. Web based email is not stored on the user’s
computer. Examples are gmail.com, outlook.com, rediffmail.com etc.

Q. Create the E-mail Message Format:

To: Recipients’ email address


Subject: The topic of the message
CC: carbon copy, The recipients of the email can see all of the e-
mail addressed to which the copies have been sen
BCC: Blind carbon copy, The recipients of the email do not know
that the same email has been sent to other e-mail address in
Bcc
Message body: It consists of the text of the message and any
attachments to be sent
End, you can use any of the following: 1. Best regards,
2.Regards, 3. Best wishes

 Terms
Inbox:Inbox contains the email messages which you receive. It is
an electronic version of a letter box
Trash:Trash folder stores the email messages which have been
deleted.
Sent: Sent Mail folder contains the email messages sent by you to
others.
Send: Once you have completed writing the email
Read and close it: The email remains in the inbox.
Read and Delete it:The email is deleted from the inbox and is
moved into a folder called Trash or Deleted (bin) folder.
Reply to the email: by choosing the Reply option. In this case,
the email address of the sender, will automatically appear in the
“To” field. You can write the email message and then send the
email.
Reply All: In this case, the reply you send will go to the sender
and all email addresses present in the To and the Cc field of the
email received by you.
Forward: In this case, no email address will be selected. You can
enter the email address to which you want to forward the email
received by you.
Q. Write tips for writing an effective e-mail message.
1. Keep the message short, simple and straightforward.
2. The subject line should be meaningful.
3. Do not use short forms or SMS language in email messages.
4. Make sure you can be clearly identified by the reader. If your email address is
not identifiable then make sure that you provide your full name at the
bottom of email.
5. Before sending the email, you read your mail carefully and correct the errors
if found.
6. To end, you can use Best regards, Regards, Best wishes.

Creating an Gmail Account:


 Creating an account ,need a web browser and an internet
connection.
 Open the Web Browser
 Search “Creating Gmail account” with the help of Search Engine
“Google”
 Gmail page will appear Click Create Account
 Enter the details of
A. User Name: First Name & Last Name
B. Create a Password and confirm the given password
C. Enter the Date Birth Details & Gender
D. Enter Phone number or current E-mail Address
E. Enter the robotic text ( prove your not a robot)
F. Specify the Location (Indian)
G.Accept the terms and Conditions
H. Click Next
I. Verify the Account creating process( Enter OTP received from
the Mobile / E-Mail)
J. Well come to Gmail account Is displayed So Account is created
