Subject: Regarding the organization of the meeting of the School Management Committee

Sir,

In reference to the above subject, it is respectfully brought to your notice that according to
Article 29/30 of the Central School Education Rules (Annexure-1, Page No. 60-63), the meeting of the
School Management Committee of Kendriya Vidyalaya Siddharthnagar is proposed to be held in
November 2023. In this regard, you are requested to kindly grant approval by fixing a date and time
(as per school timings) between 16.11.2023 to 18.11.2023 at your convenience.

Further, you are requested to kindly fix another date and time if there is any kind of engagement on
the above dates.

Your guidance is required for the all-round development of the school.

7 Due to the non-fixing of pins on the glass panes of the school windows, the glasses are
falling. Estimate has been sought from CPWD for repair. After receiving the estimate, it
will be forwarded to the Kendriya Vidyalaya Sangathan (HQ) for further action.
Approval for repair of broken glasses in some classrooms and other places keeping in
mind the safety of the students at the school level.
8 Approval of the proposal to purchase a total of 40 new Dual Desks for new class VII-B
and other classes.
9 Approval of the proposal to purchase 100 chairs with writing pad for making two
classes E-Class Room.
10 Approval of the proposal to purchase 20 chairs and 10 tables for the teachers to sit in
the school.
11 Approval of the proposal to purchase ACs for the computer lab, library and staff room.
12 Approval of the proposal to purchase a New PA System for prayer meetings and other
programs in the school.

Subject: Minutes of the School Management Committee Meeting

On 21st November 2023, a meeting of the School Management Committee was held at Kendriya
Vidyalaya Siddharthnagar under the chairmanship of Hon'ble District Magistrate and Chairman of
the School Management Committee, Shri Pawan Agrawal. The Principal, Shri Neeraj Kumar Shukla,
welcomed the Chairman and other dignitaries with a colorful welcome by the Scouts & Guides. The
meeting was inaugurated by the Chairman with the worship of Goddess Saraswati, the patron of
learning. The Principal welcomed the Chairman and other dignitaries through a PowerPoint
presentation, highlighting the various achievements and requirements of the school. The School
Management Committee recommended the following points for their resolution:

* Approval to utilize the funds received by the school under PM SHRI scheme for carrying out
recurring and non-recurring works as per Letter no. F.No. 11-Acad029(Misc)31/2023-AC(EDP)/2099-
21260 dt. 22.09.23 and GFR 2017.

* Administrative and financial approval for the works carried out by the school in October and
November 2023, such as field visits, vermicomposting, medicinal garden, medical camps,
beautification of the school by leveling the ground, plantation and grass planting.

* To seek estimated costs from the concerned departments for various works in the school, such as
interlock in the prayer ground, rain water harvesting system, leveling of the playground, and other
necessary works.

* To forward the estimates received from the concerned departments for various works in the
school, such as interlock in the prayer ground, rain water harvesting system, leveling of the
playground, and other necessary works to the Kendriya Vidyalaya Sangathan, New Delhi, through
proper channels.

* To purchase Dual Desk furniture for the school classrooms and 100 chairs with writing pads,
keeping in mind the funds available in the school and ensuring high quality.

* To purchase a new PA SYSTEM and ANNOUNCEMENT SYSTEM for the school, keeping in mind the
funds available in the school and ensuring high quality.

* Approval to carry out theme-based children's stories and paintings on various subjects at various
places under the Vidyalaya Kalyan Yojana, keeping in mind the funds available in the school.

* Approval to purchase high-quality cupboards for the school, keeping in mind the funds available in
the school.

* Approval to purchase a generator with sufficient capacity for uninterrupted power supply in the
entire school.

*Approval is sought for the purchase of safety mats according to the available funds.

*Approval is sought for the purchase of 07 ACs and 07 stabilizers in the school as per requirement.

*Ex-post facto approval for expenditure incurred in excess of the limit set in the budget in the years
2019-20 and 2020-21. (Attached sheet)
*The office of the District Magistrate will provide assistance in setting up an AUDIO/VIDEO room in
the school, which will be related to Maths and Science.

Overall: It is requested to approve the above-mentioned works in accordance with the availability of
funds in the school by following the GFR - 2017. The details of the items to be purchased and the
