BACHELOR OF PUBLIC ADMINISTRATION 4-1

MY REACTION PAPER

In this video, I’ve watched what it’s all about the different types of filing systems.
In a workplace, filing is important because by keeping documents it is a safe place and
being able to find them easily and quickly. It helps to be organized, systematic, efficient
and transparent. It also helps all people who should be able to access information to do
so easily and documents that are cared for will not easily tear, get lost or dirty.

These are the types of filing system, first it must be Subject filing wherein it is the
method of files classification where all files are arranged according to subject headings
or title on a file. The files can also be arranged alphabetically, alphabetical order filing
according to the letter of the alphabet and the date filing is the most recent files on top.
These rules are basic because they apply to all filing systems. When we file by name,
subject, and area we should always file alphabetically and by date.

In numerical filing, it is a method in which files and folders are arranged in order
of number. All files and folders are classified and given separate numbers. In this type of
filing system, alphabetical index is required. It includes name, address, phone number,
subject and other information along with file number.

Another type of filing system is geographical filing wherein it is a is a method in

which files are grouped according to the geographical location of firm, organization, or
person. Under this method, name of places is written in file and are arranged in drawer
either in alphabetical or numerical order – whichever is suitable for the organization.

Lastly, In Chronological filing, all of the files and folders of documents are
arranged in order of their date, day, and time. This sequence can be according to their
date of receipt, or date and time of their creation with the most recent date in front of or
on top of the previous items.
All of these types of filing system is very important it because if without a file
system, stored information wouldn't be isolated into individual files and would be difficult
to identify and retrieve. As data capacities increase, the organization and accessibility of
individual files are becoming even more important in data storage. It is always a
pleasure when someone looks for something and is able to find it without difficulties. In
our organizations we work in groups. We receive and send out documents on different
subjects. We need to keep these documents for future reference. If these documents
are not cared for, we cannot account for all our organizational activities. Everyone who
needs to use documents should know where to get them.
