I. Project Overview
1.1. Company Background

The DLSU Intellectual Property Office (DIPO) is a department in De La Salle


University that focuses on intellectual property management. The office is currently
located on the 3rd floor of the Henry Sy Sr. Hall Building in De La Salle University -
Manila. Atty. Christopher E. Cruz, the University Legal Counsel is the company
representative and also the director of DIPO. This office specializes in IP administration
and implementation, an environment where innovation can be sparked and prospered. In
light of this, they are responsible for creating trademarks, certifications and patents, along
with specific rules on IP policies that must be complied to. DIPO was established in 2008
with 16 years of existence, having the original objective to develop an IP strategy for
DLSU. Their role also included educating society on the importance of the role of IP
protection in safeguarding inventions, starting with the academic community. To this day,
DIPO lives up to these missions, while handling new and developing responsibilities in
regards to IP management.

1.2. Brief description of the project and its deliverables


The DLSU practicum interns conducted an interview on June 28, 2024 with
DLSU Intellectual Property Office’s Internship Coordinator, Ms. Pamela Tadeo. She gave
the following objectives that would need to be completed by the end of the student’s
internship terms. The practicum interns are required to attend at least 1 webinar regarding
DIPO, prepare a Gantt chart for the project plan, wherein the practicum interns will meet
with Ms. Tadeo every week, either through face to face or online through Zoom. They
would also need to create a group google chat with Ms. Tadeo for faster and more
efficient communication. The main objective of this project is to create ideally 32
infographics which are to be posted and displayed with DIPO’s patents. Before creating
the infographics, the practicum interns would need to communicate with the patent
owners to ensure that valid and truthful information is displayed.

1.3. Profitability and competitive effect resulting from project completion


By executing this project, the team members are optimistic in creating enticing
infographics for DIPO’s patents. In this way, the infographics must be appealing enough
with the goal of hoping that they will be commercialized. By publicizing these
infographics, more attention will be drawn to DIPO’s various array of patents which
hopefully may get investors to invest and make use of these for exclusive rights. Apart
from gathering investors, upon project completion, the team and DIPO aspires for the
patents to be more exposed and recognized to not only the academic community, but to
others as well. With more recognition of De La Salle’s patents, this will be useful for
revenue generation in the long run as the patents will be more attractive to investors.
DIPO, being a patent holder, can license their technology to other companies generating a
steady stream of revenue.

II. Project Objectives
2.1. Budget Objective
After interviewing the client, there was no specific budget given for this project,
which is why the bottom-up budgeting approach will be used. The practicum interns will
be the ones who will determine the costs associated with the project and will seek
approval from DIPO for the necessary funding. The budget objective will consist of
making use of resources efficiently to attract the inventors of the patents to work together
with the practicum interns in creating the publicity materials, allowing the infographics to
be accurate that is aligned with the patents.

2.2. Schedule Objective


The practicum interns’ aim for the schedule of the project plan, which commences
on September 9, 2024 and ends on November 4, 2024, is to create a robust and
well-structured schedule that will enable them to execute all the key tasks and
deliverables for their client, DLSU Intellectual Property Office (DIPO). First and
foremost, the main goal or objective is to ensure that all the deliverables of the project
will be able to be accomplished by the deadline or earlier if possible. To do this, the
interns should break down the project into detailed tasks and milestones, ensuring each
one has a clear start and end date. In addition to this, resources should be allocated
efficiently and task dependencies should be identified to maintain a logical flow of work.
Lastly, progress should be monitored regularly and buffer times should be incorporated to
handle unexpected delays, ensuring timely completion of all the deliverables of the
project.

2.3. Performance Objective


The major performance goal of this project is to provide high-quality, accurate,
and visually appealing infographics that properly reflect DIPO's certificates and
trademarks. Each infographic must include accurate and truthful information that has
been validated through conversation with patent inventors, confirming the content's
accuracy and trustworthiness. The infographics should be created to pique the attention of
potential investors and the general public, emphasizing the value and creativity
underlying each patent and certification. The project's objective is to raise the exposure
and awareness of DIPO's intellectual property by developing visually appealing and
informative infographics, which will attract potential investors and generate interest in
licensing options. Additionally, the infographics should be consistent with DIPO's
identity and acceptable for both online and physical presentation, therefore increasing the
project's overall effect and reach.

III. General Approach


3.1 Wheelwright and Clark’s Project Classification

Wheelwright and Clark’s project classification was used to classify the project
that the practicum interns were dealing with. According to the figure above the project
tasked to the interns only involves incremental change, and are only derivatives and
enhancements to what DIPO already provides. More specifically, these infographics
serve as a means to enhance and support their current products, which are trademarks and
patents. By displaying these infographics beside DIPO’s patents, this could enhance the
presentability of the patents, with the goal of enticing viewers to commercialize these
patents.

3.2 Mind Map

The figure above displays the practicum interns’ mind map for the project. The
main goal of this project is to create infographics for DIPO to display alongside their
patents. Before creating the infographics, the practicum interns must first ensure that
they are working with the correct information, so they will collect the information that
they need for the patents. The interns will be using secondary sources to collect
information regarding these patents. The interns will also conduct an interview with the
patent owners to gain firsthand knowledge about their inventions. After collecting
information from both secondary sources and from the patent owners themselves, the
interns will have this information double checked by the patent owners to ensure that all
the information that the practicum interns are working with are truthful and valid.

After this the interns can now begin designing the actual infographics. They
would accomplish this by using websites that allow digital art such as Canva. The
practicum interns should also make sure that the designs are in line with the patents and
themes that DIPO has provided, thus the interns will select specific elements that would
fit the purpose of the infographic the most. In order to ensure that proper branding and
themes are followed, the practicum interns will also have these infographics double
checked by the patent owners and DIPO themselves.

The figure above is the interface map, wherein the roles of DIPO, the practicum
interns, and patent owners are shown. Here, the interns are responsible for setting the
deadlines for the project, they are also responsible for creating the infographics for DIPO,
but to do this they would need to review the patents. These patents are created by the
patent owners who will also review the infographics created by the practicum interns to
ensure that they are satisfied with their infographics. DIPO will review the project
deadlines, to see if it is acceptable. DIPO will also review the infographics created by the
practicum interns to see if they are acceptable and use these infographics to enhance their
patents, in hopes that passersby will be interested in commercializing these patents.

The figure above shows the application of David’s internal analysis in this project.
The mission and vision of this project is to create materials that will enhance DIPO’s
patents. External factors that may affect this project are the patent owners, and passerby.
The patent owners are important as they are the owners of the inventions that the interns
need to make infographics about, with this, the interns need to conduct an interview, and
verify the information in the infographics through these patent owners. It may be
problematic for the project if these patent owners do not respond to the practicum interns.
The passerby are important to the project because it is the project’s goal to catch their
attention and entice them to commercialize the patents of DIPO.

DIPO itself has access to several patents, trademarks and certificates, which the
practicum interns need to make infographics about. The practicum interns would
constantly need to contact DIPO regarding updates, progress reports, the approval of
infographics, but most importantly the practicum interns must accomplish and deliver
their project to DIPO on or before the agreed deadlines.

Creating these infographics for DIPO which the practicum interns are responsible
for, as well as the magazines which another group of interns are in charge of, is DIPO’s
first step in publicizing their certificates and patents. At the end of this, DIPO intends not
only for their patents to be known in places other than the academic community.

The practicum interns intend to create a strategy regarding obtaining sufficient


knowledge that is needed to create the infographics before working on the infographics
itself. While the patents will only be revealed to the practicum interns during the
internship term itself, the interns already plan to first read about these patents through
online sources and secondary research. The interns will then have to plan out possible
days that they could contact and reach out to the patent owners, to verify the information
gathered, and to collect more information that the patent owners would like to include in
their infographics. While this is happening, the practicum interns will also keep close
contact with Ms. Pamela Tadeo, and constantly give her progress reports on the project.

After sufficient research has been done, and enough information has been
gathered, the practicum interns can begin designing the infographics for DIPO. These
infographics will be constantly submitted and reviewed by the patent owners and DIPO
themselves to ensure that all parties are satisfied with the output.
In order to measure and evaluate the performance of the project, first the interns
will examine their project compared to the agreements made between the interns and
DIPO. The practicum interns ideally would have created all 32 infographics that DIPO
has provided them, not only this but the interns should also have been able to attend at
least 1 webinar, submit a Gantt chart of the project, and schedule a meeting with Ms.
Tadeo every other week. On top of this, another way to measure the performance of the
project is whether or not the interns were able to finish the outputs agreed on by DIPO
and the practicum interns on time.

3.5 SWOT Analysis


To better prepare for the execution of the internship project, the interns developed
a SWOT analysis to analyze the project’s strengths, weaknesses, opportunities and
threats. When the time comes that an important decision has to be made by the interns,
they could look to these factors to address an issue or capitalize on an event.

Strengths
The first main strength of this project is that in terms of Wheelwright and Clark’s
project classification, it is only a derivative and enhancement to DIPO’s products and
creates incremental change. Being a derivative project, it can be assumed that this project
will be relatively easy to complete on time and with good quality. Another strength of
this project is that the project is under DLSU, which is a large institution with lots of
assets and resources that could possibly support the practicum interns in the
implementation of the project.

Weaknesses
One weakness of this project is the current lack of information that the interns
have prior to the actual internship term. While it is understandable that this information
is highly confidential, the interns will have to start this project by scratch, only having to
research and learn more about each of the 32 patents before interviewing the patent
owners and gaining sufficient knowledge to create an infographic.
Opportunities
An opportunity that this project has is that currently, there is another group of
practicum interns who are also under DIPO that are working on a very similar project.
With this, the two groups may coordinate with each other and cooperate in doing tasks
that are both applicable to each of their own projects.

Threats
The main threat to the implementation of this project, which the interns have
already discussed with Ms. Tadeo, was the possibility that the patent owners whom the
interns needed to interview may not be responsive due to being busy with work or other
reasons. While it was mentioned that it was likely that not all patent owners would
respond, and an infographic for their patent would not be possible, it would be best if the
interns would make an effort to create infographics for all the patents as much as
possible. Another threat that this project could face, however unlikely, are the sudden
failures of key assets to the project, like Canva, or other things like the loss of connection
due to calamities.

IV. Contractual Aspects


4.1. Detailed description of all deliverables
The primary deliverable that DIPO has given the project team is to make 32
infographics for all the patents that DIPO has. To achieve this, the project team will be
engaging and interviewing the inventors of all the patents. Communication will be crucial
in order to obtain accurate and valid information from the inventors. In addition to this,
these infographics are intended to be displayed alongside DIPO’s patent certificates and
may be used to attract more investors who will utilize the patents. Other minor
requirements made by DIPO were to attend at least one webinar related to intellectual
property and have meetings every other week. Ultimately, this project given by DIPO of
making the infographics for the patents will help in the goal of the office to
commercialize and expose them to the public in hopes that it may bring recognition to
DLSU’s patents and become a revenue source for DLSU.
4.2. Agreements on delivery dates
The starting date for this project commences on September 9, 2024, and ends on
November 4, 2024, which is the deadline for the final project. This deadline has been
established to guarantee that all essential tasks and deliverables, including the creation of
the 32 infographics for DIPO certificates and trademarks, are accomplished on time and
efficiently. By this date, the project managers will have completed the necessary
webinars, created the project plan Gantt chart, and maintained regular communications
with Ms. Tadeo and the inventors of the certificate and trademarks. Aside from this, three
progress reports will also be submitted to the faculty adviser signed by Ms. Tadeo on
October 7, October 28, and November 25. Meeting the deadlines is important to ensure
that the project’s goals of increasing the visibility and recognition of DIPO’s intellectual
property, which will eventually attract new investors and provide long-term revenue.

4.3. Incentives and penalties for non-compliance


With regard to incentives or penalties, the DIPO office only made a few
comments regarding this after being interviewed by the project team. The representative
from the DIPO office, Ms. Pamela Tadeo, mentioned that accomplishing all 32
infographics by the end of the project internship would be the ideal outcome. However,
there may be cases in which the inventors of the said patents are unresponsive or may
refuse to be interviewed regarding their patents. In that case, it may be impossible to
accomplish some of the infographics, which is why there would be no deductions or
penalties provided that the project team gives proof of the unresponsiveness of some of
the inventors of the patents. On the other hand, in case all the inventors cooperate and the
project team was unable to accomplish all the infographics, penalties will be issued to
their grades accordingly. Lastly, failure to comply with any deliverables will result in
deductions and a low grade for the project team while complying with all the
requirements will merit a high grade.

4.4. Specific changes in the deliverables


Originally, on top of the 32 infographics regarding the certificate patents that the
group needed to accomplish. The project managers were also required to make 26 more
infographics for DIPO’s trademarks. However, Ms. Pamela Tadeo messaged the group,
stating that the latter is no longer a requirement for this project so that the project
managers’ deliverables would be more consistent with DIPO’s other team of project
managers who were assigned to prepare a magazine regarding these patents. Any more
changes to the deliverables of the project will be communicated to the practicum adviser
and internship coordinator.

4.5. Project review dates and similar agreements


To ensure that the project continues on track and fulfills its goals, frequent project
review meetings have been organized. These sessions will be held regularly, either in
person or via Zoom, with Ms. Pamela Tadeo, the DLSU Intellectual Property Office's
Internship Coordinator. During these sessions, the project managers will offer progress
reports, discuss any issues that arise, and make any required changes to the project plan.
A group Google chat has also been set up for more effective communication, allowing for
rapid issue resolution and immediate feedback. These evaluations and regular
communication are critical for staying on track with project goals and completing all
deliverables by the agreed-upon date of November 4. Regular monitoring and timely
resolution of any hurdles will assist in creating high-quality results and keep the project
moving forward.

VII. Personnel
In order for this project to succeed, open and effective communication must be
established with one another. This does not only entail communication amongst DLSU
interns, but also with the Internship Coordinator, Ms. Pamela Tadeo. Both the interns and
Ms. Tadeo need to be resourceful and active in coordinating with one another. This
entails creativity, constructive criticism and an open-minded thinking in order for the
interns to be able to accomplish the optimal amount of infographics that can be delivered.
Below this paragraph contains a table that shows the personnel needed for this project
plan along with their skills requirement, amount of people and a brief work description.
This table guarantees that the project has the appropriate individuals with the appropriate
knowledge at the right moment, avoiding misunderstandings and delays. When this
comprehensive personnel plan is in line with the project timeline, the project can be run
more smoothly to achieve the necessary goals.

IX. Expected Benefit/Impact of the Project

By the end of this project, the practicum interns are expected to have achieved
the following outcomes.
1. Improves school reputation
Completing the project and producing all 32 infographics would enhance
De La Salle University's (DLSU) image as a leader in intellectual property
management and innovation. The high-quality outputs will reflect DLSU's

2. Enhancing student engagement and motivation
The systematic approach to project management, which includes specific
targets, timetables, and risk management measures, will keep practicum
students interested and motivated throughout the internship. This
involvement is created by the actual application of classroom information,
which makes the learning experience more relevant and enjoyable.
3. Academic Progress
The stringent project requirements, which include the usage of tools such
as Gantt Charts, PERTCPMs, and Failure Mode Effect Analysis, will
benefit the interns' academic progress. They will receive practical
experience in project management, research, and design, which will
improve their academic performance and comprehension of real-world
applications of their studies.
9.1 Methods of Project Evaluation

Project Overview
- The project team accurately describes the specific details of the DIPO project.
- The project team provides a clear description of the deliverables (32 infographics) and
milestones for the project.

Project Objectives
- The project team achieves the project deliverables as per the set objectives.
- The project team follows the work breakdown structure (WBS) effectively.
- Technical and proper approaches, including mind maps and interface maps, are
constantly used throughout the project.

Project Schedules, Resource Requirements, and Personnel


- PERT/CPM and Gantt charts are prepared and adhered to.
- Team member assignments align with their skills and the task
- Estimated project expenses/ resources needed are itemized and tracked.
- Clear outlines of the schedules and milestones are provided.

Project Implementation, Monitoring and Evaluation


- The project’s implementation systems and processes are presented clearly.
- The agreed-upon tasks and activities were completed successfully with minimal
changes.
- The project team consistently provided updates on the project’s progress.
- The project underwent a thorough audit conducted by the individuals designated by the
team.

9.2 Key Performance Indicators


This section will present various factors and indicators that will determine the
performance of the practicum interns for their project.
Number Infographics to be Created
As mentioned prior, it would be ideal if the groups are able to create 32
infographics for the 32 patents that DIPO has provided. However there are a lot
of unforeseen events that may hinder the creation of these infographics, such as
the patent owners not responding, or insufficient or incorrect data for the patents
itself. Here the practicum interns will evaluate the success of their project based
on the number of infographics they are able to complete by the end of the
internship term.

Patent Visibility
Ms. Tadeo mentioned that while they had their patents displayed, without
the backing up and the support of graphic material, they did not catch the eye of
passerby and potential investors. With this, the success of the project will be
evaluated through the increase of visibility for DIPO’s patents after the
infographics have been displayed alongside these patents. This can be mainly
quantified through an increase of the commercialization of DIPO’s parents.
