Possible Opening statements:

 I am writing to file a formal complaint about [product/service/employee] provided by
[company/organization].
 I am extremely dissatisfied with the level of service I have received from
[company/organization] and feel compelled to share my experience.
Closing statements:
 As a valued customer/employee/member of this organization, I look forward to a
prompt and satisfactory resolution to this matter. Thank you for your attention to this
issue.
 I hope for an early response.
 Kindly send your service engineer to examine this defect. However, if the defect is
irreparable, please replace the … against the warranty that goes with it.
 I hope you will act immediately and relieve our distress.
Points to note:
 Describe your opinion/complaint clearly.
 Write the letter in a polite manner.
 Mention the purpose of writing a letter in the subject line.
 Say what you would like the receiver to do to redress the complaint
(replacement/refund of money/free service).
 The third paragraph should include the conclusion part, where you state the resolution
for your problem.
 Mention your next course of action, if the complaint remains unattended.
 Avoid making any threats or warning.

But, the delivery got delayed and you were not able to use it for the desired function. Write a

I am extremely dissatisfied with the level of service I have received from your outlet and feel
compelled to share my experience. On January 30, 2023 I purchased a new camera Canon
model N1234 with the receipt no. 56673.
The camera was supposed to be delivered to my address within a maximum of two days,
according to your policies. Unfortunately, this purchase took four days until delivered. This
delay caused a serious problem as I was unable to click pictures of my sister's graduation
ceremony which took place on 2 February.
Needless to say, that I am very loyal customer and almost all my electronic devices have been
purchased from your outlet. I look forward to a prompt and satisfactory resolution to this
matter. Thank you for your attention to this issue.
