General Guidelines

1. A Cover page or title page – You should always attach a title page to
your assignment. Use previous page as your cover sheet and make sure all the details are
accurately filled.
2. Attach this brief as the first section of your assignment.
3. All the assignments should be prepared using a word processing
software.
4. All the assignments should be printed on A4 sized papers. Use single
side printing.
5. Allow 1” for top, bottom , right margins and 1.25” for the left margin of
each page.

Word Processing Rules

1. The font size should be 12 point, and should be in the style of Time New Roman.
2. Use 1.5 line spacing. Left justify all paragraphs.
3. Ensure that all the headings are consistent in terms of the font size and font style.
4. Use footer function in the word processor to insert Your Name, Subject, Assignment
No, and Page Number on each page. This is useful if individual sheets become
detached for any reason.
5. Use word processing application spell check and grammar check function to help editing
your assignment.

Important Points:

1. It is strictly prohibited to use textboxes to add texts in the assignments, except for the
compulsory information. eg: Figures, tables of comparison etc. Adding text boxes in the
body except for the before mentioned compulsory information will result in rejection of
your work.
2. Carefully check the hand in date and the instructions given in the assignment. Late

Scenario

Assume yourself as the event coordinator working in an event planning organization specialized in
delivering trainings on IT and soft skills. you have been appointed to design and deliver a training
event on IT /Soft Skills to an identified audience. You are required to complete the project within
2 months and the training plan and resources should be finalized as per the requirement of the
client.

You are required to form a group of not more than 6 members in order to carry out the event. The
event will be headed by an event manager/ leader and each group member will be assigned a set of
tasks. While designing and delivering the event,

 the skills required to make the event successful


 challenges faced during the design/ delivery
 Critical evaluation of the problems, challenges faced and the methods used to overcome
them
 The need for continuously develop in a professional environment

At the end of the event, produce an individual report by each member covering the following

Learning Outcomes:01

1.1 Introduction
The selected topic is Evolution of computer. The reason for choosing that title is to introduce
people who are unfamiliar with the technology that has been around since the beginning of the
computer. That is there are a number of sub-topic that make up the title. The following is an
introduction to the selected topic.

Computerization began at the mechanical level, adding an information level , a human level and
finally a community level. Here you can see how advanced the computer is from the boot
machine to the existing technology machine. The computer was invented in the 193s and is still
in its infancy today.

Computer in the form of personal desktop computers, laptops and tablets have become such an
important part of everyday living that it can be difficult to remember a time when they did not
exist. In reality computer as they are know and used today are still relatively new. Although
computer have technically been in use since the abacus approximately 5000 years ago it I
modern computers that have had the greatest and most profound effect on society. Here’s how
we worked as a team.

1.2 The Team is

A team is a collection of people who collaborate to accomplish a common objective. That is A


team is defined as a collection of individuals who execute interdependent activities in order to
achieve a shared goal or mission.

Here our team was able to solve a specific problem properly and was able to work as a problem
solving team by doing the task assigned to them properly. Problem can be easily solved when
working as a team. That is, problem can be easily solved by discussing different ideas of
different people with each other. The following is a definition given for a team

“A group of people with different skills and different tasks, who work together on a common
project, service, or goal, with a meshing of functions and mutual support.”(University of
Washington, 2021)

1.3 List of Team members and Team roles


Following a discussion with the team, our team leader assigned duties to each member. We
addressed distinct interpersonal skills of each member during the process of assigning positions
to the members. There were twenty members in the group and they were assigned different
duties. Here Roles will be assigned by the team leader

The most effective teams have a broad set of behaviors. It has been shown by study. Dr.
Meredith Belbin and his colleagues uncovered nine distinct behavioral groups. The theory is
known as “Belbin” Team Theory.Below are the shared roles. As the roles here plant , resource
investigator , co- ordinator , shaper , monitor evaluator , team worker , implementer , completer
finisher and specialist.

1.4 Planning of the event


Our team has twenty members. They are all assigned a role. Above are the roles of the team
members and their photos. Here We teamed up and do a test for an effective goal. We had a lot
of problems during the investigation. The team members also provided various answers. The
main problem of the team was choosing a title for the program.The target audience of our team

project was DITEC (Information at Esoft Matara Branch Diploma in Technology). In addition,
we are members of that group in that age group The student was contacted by.

here was presented by the members of the open topic group and the choice of one was very tough.
Then everyone in the group got together and decided to choose one topic. The main topic here
was the evolution of computer. That was the main topic we chose. Here the main topic had to be

Reason for choosing the title,

Computers, whether in the form of personal desktop computers, laptops, or tablets, have become
such an integral part of daily life that it is difficult to recall a period when they were not available.

computers have been around since the abacus some 5000 years ago, it is contemporary
computers that have had the most significant and lasting impact on civilization. This was the
reason for choosing the tile. In addition, all the team members had knowledge of this topic,
which was another reason for choosing this topic. Once the main topic is selected, several sub-
topics related to that topic should be prepared. For that, all the members of the group came
together and prepared several sub-topics. The following are some subheadings that have been
adapted for the main topic.

Sending and receiving information between two or more persons is known as communication.
Simply said, communication is the act of passing information from one location to another. Here

1.6 How information exchange and meetings are conducted between team
members
The topic and related sub-topics were put together by the team members and the team leader
suggested that Microsoft team technology be used to exchange information about it. All the
members of the group expressed their willingness to hold this meeting and all of them
participated with dedication and discussed the topic. We set aside three days for this and decided
to hold meetings so that everyone in the group could participate. To this end, we have decided to
hold meeting on Saturday(8.30 pm /9.30 pm) and,Wednesday(8.30pm /9.30pm). The following is

1.8 How the project was implemented


The program was scheduled to run on zoom technology. First we got time from zoom technology
and got a link for it. The time was arranged according to the relevant schedule and a pamphlet
was prepared using that link. The target audience of our team project was DITEC (Information
at Esoft Matara Branch Diploma in Technology). The team members had decided to distribute
the pamphlet to the students Online. Accordingly, the DITEC students were information to
distribute the leaflets and register for team. The team members obtained information from other
students who registered. Below is the handout given to DITEC students.

1.9 Who are the audience?
After the leaflet was distributed, a group of students agreed. They also obtained information from
the students and information the students about the program. Accordingly, a group of students
participated in the program and their attendance was recorded by the team members. DITEC
students participated in the program and gave us their feedback. The following is the list of

1.10 Budget and Fund raiser
A bookmark was created by the team members to cover the expenses of the group and was sold
by the team members. Here , bookmark After-sale to other students, lecturers, parents and others

Our team has earned 11500 rupees. The corona virus is caused by the MS group It was decided
to conduct a roadside training program. Below to educate the students there A kind of notice was
set up. The ad created by the team is listed above.

The bookmark sale was expected to fetch Rs. 15,000. Bookmark the perma link .It was decided
to print 1000 and sell one for 15 rupees. Here the program had to be conducted online. So It was
decided to hold training events at Rs. 11,500. 11500 for bookmark printing 4500 was spent and
the rest of the money was distributed among the team members. The following is a bookmark

It was also decided to prepare a lunch for the students participating in the program and allocate
money for it and to given a souvenir to the students who get the highest marks in the program.
But as the worksheets had to be done online, the cash budget changed. That is, there was a saving
of money. So the rest of the money was distributed to the team members.

It cost the team 4500 to print the bookmark. The team decided to bookmark 1000 print. Below is
the bill issued stating the cost of printing the bookmark.

1.11 Project budget


The following is a summary of the budget prepared by the team members. The students who
participated could not be given lunch and gifts as the program had to be done online. So there
was a saving of money. It was decided to distribute the money among the members of the group.

1.12 What the author did and Group photo
The position held by the author of this program was completer finisher.Completer-finishers are
those who make sure that things are completed entirely. They double-check for errors and
omissions, paying special attention to the smallest details.. They care deeply about deadlines and

There were three members for this post. Our task is to check whether the teams program is on
schedule. In addition, the author received a subtitle on cloud computing. The author was able to

1.13 Identify challenges / problems
Problems arise when working as a team, but they can be easily solved. Communication with
these members was done through online technology. Some members were unable to participate
in the exchange of messages. This is due to signal loss. Team members came together to work
out a solution to this problem. Team information exchange took place in writing and verbally.
This is, the information was exchange by the MS TEAM and WHATSAPP group.

The five stages of team development
 Forming
The team is forming, tasks are being assigned, and data is being gathered.
 Storming
Members of the team learn more about one another, including bothersome habits and
performance. Relationships develop.

 Norming
Team members are gaining confidence and recognizing each other's skills, and cooperative work
is continuing.

 Performing
Everyone is on the same page and headed in the same direction.
 Adjourning
The team's time together has come to an end..

Here ,Everyone put forth their best effort. As a result, the group had a competitive attitude. We
had the chance to get to know everyone involved in the group effort. We discovered their
advantages and disadvantages. Each has their own ideas, goals, and interests. As a result, we had
to work together as a team. Because each team member was so invested in the project, they were
eager to offer their suggestions for how to enhance it. We supported and strengthened each other
on the final day.

3.7 Belbin’s theory. (Team roles)


Project Role allocates Belbin team roles have helped to sharing goals in this group. The nine
roles in Belbin's hypothesis are as follows. The following are the nine roles

1. plant -Minoj is the planter in this job, and he is a problem-solver. When an issue arises, he
knows how to deal with it and offers better solutions. He comes up with new ideas and solves
complex challenges. These are the ways in which he has contributed to the collective project's
success.

2. monitor evaluator - In a collective project, keep track of evaluator roles. He always makes
the best choices. He is an excellent judge of character. This is how he has contributed to the
collective project's success.

3. specialist -Specialists are those who have the specific expertise required to do a task. They
take pride in their abilities and talents, and they work hard to maintain their professional status.
Their function on the team is to be a subject matter expert, and they devote themselves entirely to
that task.

4. shaper - Shapers are those who push the team to be better. They're dynamic, extroverted
people who enjoy surprising others, defying conventions, and seeking out the best solutions to
problems.

5. implementer - The implementers are the ones who make things happen. They turn the ideas
and thoughts of the team into concrete plans and strategies. They are often conservative,
disciplined, and well-organized individuals who work in a methodical and efficient manner..
These are the folks you can rely on to do the task.

6. complete finisher -People who ensure that tasks are finished completely are known as
completer-finishers. They double-check for errors and omissions, paying special attention to the
smallest details. They are very concerned about deadlines and will put pressure on the team to
complete the assignment on time..

7. coordinator - Coordinators, sometimes known as "chairpersons," are the people who take on
the conventional team-leader function. They guide the team toward the objectives that they feel
are vital. They have a natural ability to see the value that each team member brings to the table,
and they are frequently outstanding listeners.

8. team worker- Team workers are responsible for providing assistance and ensuring that
members of their team operate well together. These individuals serve as team negotiators and are
adaptable, diplomatic, and insightful.

9. resource investigator - Our project's aim was met. He looked into the many forms of
transportation medium and their qualities.

4.1 CPD - Continuing Professional Development
“The systematic maintenance and broadening of knowledge and skills, and the
development of personal qualities necessary for the execution of professional and technical
duties throughout the practitioner’s working life” – (clyne,1993)

CPD refers to a dedication to lifelong learning, professionalism, or self-direction. Employees are


encouraged to participate in CPD events and gain new skills. It is critical for employees to keep
their skills and knowledge up to date. In order to match the company plan, personnel must
refresh their abilities and continue to learn and develop in a changing environment.

This implies that learning and growth are ingrained in the culture of high-performing companies.
Employers engage in learning and development programs and actively encourage their workers
to take advantage of CPD opportunities. The following are some of the advantages of CPD for

4.2 Importance of a CPD


CPD is the process of gaining a better grasp of activities in order to maintain and acquire new
and interesting abilities in our field. The CPD approach assists us in managing our present
growth. Its purpose is to allow us to keep track of what we've learned, review it, and reflect on it.

Continuous professional development (CPD) entails the growth of professional knowledge, skills,
values, ethics, attitudes, and the ability to expand knowledge essential for career advancement.
CPD ensures that our knowledge, abilities, and practices are up to date, complete, and
appropriate for the tasks we are performing. The following are the characteristics of CPD .

motivated workforce.

4.3 Employee Learning and Development


Employees who do not participate in CPD may find it difficult to stay up with the ever-changing
world of work. This is especially true if your company deals with compliance, as legislation and
official guidance are continuously being added to or changed. It's also a fantastic method to keep
staff interested in and enthusiastic about their jobs.

4.4 Produce a continuous professional development (CPD)
Achievement of the goal

It is always a significant benefit in professional growth. The right person finds the appropriate
job at the right moment. There are unclear portions, designs, and personal attempts that the main
character might perform in generating periods of growth and improvement. Rather of responding
to circumstances, we should aim to shape our careers.

The object requirement for the development of skill and competencies, as well as the objective
that a member should reach to enable continuous growth and professional development, are
documented in the professional development plan.

Responsibilities

In order for the group to achieve the common goal, the stated roles had to be clearly defined. The
group captain gave obligations to each individual member of the group, and it was monitored
during the event to ensure that the responsibilities were being carried out.

4.6 Motivational theories
Motivation is a mental, energetic, and enthusiastic state of being. That drives a person to perform
in a specific manner in order to attain their objectives. It also encourages people to behave with a
high level of dedication.

The purpose of motivational theory is to figure out what motivates people to strive toward a
common goal or end. Businesses are interested in motivational theory because motivated people
are more productive, resulting in better resource utilization.

Maslow’s hierarchy of needs

Abraham Maslow introduced Maslow's hierarchy of needs as a psychological theory in his 1943
publication "A theory of human motivation." This idea is still relevant today in terms of human
motivation, managerial development, and personal development.

Maslow's hierarchy of needs is a psychological motivational theory that incorporates a five-tier


model of human wants, which is commonly shown as tiers within a pyramid. When a person's
needs are met, according to Abraham Maslow, they will be driven. The needs begin at the most
basic level and go upward when each lower-level requirement is met.

Physiological needs- physical survival necessities such as food, water, shelter, and sleep

Safety and security - law and order, job security, personal security, health security

Belongingness and love - Relationships with our family and friends, coworkers, team members,
and employers

Self-actualization needs - Developing and exploiting talents and abilities, the urge for progress,

Hertzberg’s two factor theory


In 1959, Fredrick Hertzberg, a professor of psychology in the United States, suggested. This
theory is supported by empirical evidence. The material for the Two Factor Theory came from
interviews with 200 accountants and engineers. According to the Two Factor Theory, some job
factors at work promote job happiness, while another set of factors causes job discontent; all of
these elements function independently of one another.
