Subject: Urgent: Request for Departmental Support in Ensuring Compliance with

SIMOPS Guidelines During Upcoming Audit

Dear [Department Heads],

I trust this email finds you well. As we approach the audit scheduled from 11th to
14th December 2023, conducted by OPITO to assess our OERTM training
approval, it is imperative that we collectively adhere to the SIMOPS guidelines
outlined by VGSSTC management.
To ensure a smooth and successful audit, it is crucial that all departments follow
the specified processes and steps outlined below:
1. Scrutinize the proposed work (SIMOPS Work Identification)
2. Identify SIMOPS risks
3. Meet and discuss with all affected parties
4. Obtain agreement on mitigation methods
5. Plan the work
6. Share the plan

VGSSTC is available to conduct planning meetings with concerned departments


to facilitate adherence to these guidelines. The SIMOPS Work Identification
includes activities such as mobilization and demobilization of equipment, forklift
operations, trucking, lifting, logistics, and activities involving two or more
contractors/work groups operating in proximity.

As we strive to meet the standards set by OPITO, we kindly request your


department's full cooperation and support in implementing and adhering to the
SIMOPS guidelines during the upcoming audit. This will not only contribute to
the success of the audit but also reinforce our commitment to safety and
operational excellence.
