12.2 Roles and Responsibilities


The project team is responsible for contributing to the overall project objectives and specific
team deliverables, by contributing towards the planning of project activities and executing
assigned tasks/work within the expected quality standards, to ensure the project is a success. The
project team will:
• Provide information, estimates and feedback to the project manager during project
planning.
• Provide business and/or technical expertise to execute project tasks.
• Liaise with stakeholders to ensure the project meets business needs.
• Analyze and document current and future processes and systems (functional and
technical).

• Identify and map information needs.
• Define and document requirements.
• Support and provide end user training.
• Report issues and status to project manager.
• Work collaboratively with other team members towards achieving common
project goals/objectives.

13.0 Communications Management


13.1 Internal Communications Plan
Internal communications: refers to communications between parties to the project.

The internal communication will be between the project team which is the consultants, the
clients, the contractors, city, service providers and architecture team.

The lines and methods of communication will be through weekly touchpoint meetings, weekly or
bi-weekly meetings for each of the disciplines with the project managers and bi-weekly or
monthly project meetings. Meeting minutes will be recorded at each meeting and then shared on
a sharepoint site which everyone involved in the project will have access to. The day-to-day
methods of communication will be through email and phone calls along with site visits when
required.

Process maps will be made for each process involved in the project. Reports that will be
completed on a weekly basis will be: project status report and time tracking report. The reports
that will be done monthly will be: Project health report, team availability report, variance report,
and risk report.

The diagram above shows the traditional project communication method and communication
through a collaboration technology such as sharepoint online.

13.2 External Communications Plan


External communication is categorised as the communication that needs to be done by the
Project management team to organize work or events which involves people who are not part of
the core project team.
Few examples of this type of communication will be-
• Communicating with the concerned Government authorities for discussion and
approval of the design and drawings.
• Reviewing of contractor’s proposal for hiring them based on their bids and
proposals.
• Communication with the global media houses and publishing organisations time
to time to highlight the project.
• Contacting and dealing with the guests and dignitaries for inviting them on
various occasions and ceremonies.
• Handling communication with any other organization that is not part of the core
working team but is interested or concerned in some way with the project.
• Communication related to any external issues that hinder or effect the project
growth and are linked with the external organization.
Frequency or need of this kind of communication can barely be planned or organized, the
team responsible for this part of communication from the PMC’s office has to be aware and
responsive towards any need that arises in the project for its smooth growth and completion.
Although, there are some events or steps that can be predicted and be prepared for
are, inauguration and opening ceremonies, publications, interviews with the media houses
etc. and so these will be reflected in the main schedules of the project.
