ABSTRACT

The Hospital Management System (HMS) is an integrated software solution designed to

streamline and automate the administrative, clinical, and operational workflows within a
healthcare facility. In an era where efficiency, accuracy, and patient satisfaction are
paramount, the HMS serves as a pivotal tool for healthcare providers to deliver high-quality
care while optimizing resource utilization.

The HMS encompasses a wide range of functionalities tailored to meet the diverse needs of
modern healthcare institutions. These include patient registration and admission, appointment
scheduling, electronic health records (EHR) management, billing and invoicing, pharmacy
management, laboratory information system (LIS), inventory management, and reporting and
analytics. By centralizing these functions into a cohesive system, the HMS promotes
seamless communication and collaboration among healthcare professionals, enhances
decision-making capabilities, and ensures continuity of care across different departments and
specialties.

Key features of the HMS include a user-friendly interface accessible via web or mobile
devices, customizable workflows to accommodate unique organizational requirements, role-
based access control to safeguard patient data privacy and security, interoperability with

1. Introduction
A Hospital Management System is an integrated information system for managing all
aspects of a hospital’s operations such as medical, financial, administrative, legal, and
compliance. It includes electronic health records, business intelligence, and revenue cycle
management. Hospitals and healthcare facilities improve the quality of healthcare services,
reduce operating costs, and improve the revenue cycle by using such hospital management
systems. Hospital Management System typically includes Outpatient and Inpatient
Management, Pharmacy, Laboratory, Radiology, Inventory, eClaim, Mobile Apps, Tablet
Versions, Online Scheduling, Secured Messaging, Doctor and Patient Portals, Accounting,
HR/Payroll, Blood Bank, Mortuary, Alert Software, Dietary, Feedback, Lab Machines and
Biometric Integration, HL7/Integrated PACS, and Business Intelligence.

• The Hospital Management Information System Software allows easy access to patient
data to generate various records, including classification based on demographic, gender,
age, and so on. It is especially beneficial at the ambulatory point, hence enhancing
continuity of care. Internet-based access improves the ability to access such data
remotely.

• It helps as a decision support system for the hospital authorities for developing
comprehensive health care policies.

• It efficiently engenders the running of finance, the diet of patients, and also the
distribution of medical aid. It gives a vivid picture of future hospital growth.

• It reflects an improved drug usage monitoring system, including its effectiveness. It

relegates adverse drug interaction to the background and gives a push to appropriate
pharmaceutical utilization.

• Integrated Inventory Management keeps track of all hospital stocks from medicines to
linens and helps you keep the optimum level of stock all the time. It also minimizes the
lost stock due to theft and misplacement.

• It enhances information integrity by a reduction in transcription errors and duplication

of information entries.

• Hospital Management System is easy to use and eliminates errors caused by

handwriting.

9
• The latest technology gives perfect performance to pull up information from hosted or
cloud servers.

• It provides all data in a single platform, hence enables Business Intelligence Module to
provide valuable insights into hospital operations and the quality of patient care.

• It enhances the overall health care experience in a healthcare facility.

2 Literature Review

Research conducted by Anika Gusfita 2021 on "Evaluation of the Implementation of Hospital

Management Information Systems (SIMRS) at Arosuka Hospital, Solok Regency in 2021"
obtained results from the human aspect, the use of SIMRS is intended for entry and searching
of patient data. There has been no special training for officers. In the organizational aspect,
there is no SK and SOP for SIMRS implementation, computers are lacking, planning and
funding for SIMRS development has not become a priority.

Aspects of technology, on the quality of the system network problems still occur, the quality
of information is appropriate and appropriate but data entry by officers is still incomplete, the
quality of service by IT staff is quite good. In terms of net benefits, SIMRS has helped improve
the efficiency and effectiveness of officers at work.

This is similar to Afriza Faigayanti's research on "Evaluation of the Implementation of Hospital

Management Information Systems (SIMRS) at Besemah Hospital, Pagar Alam City in 2021"
which states that there are three factors that influence net benefits, namely organizational
environment, user satisfaction, and service quality. While the factors that do not have an
influence on the net benefit of SIMRS in Besemah Hospital are: system use, organizational
structure, system quality, and information quality. Based on the research journal above, several
factors were found to be unsuccessful, namely SIMRS user satisfaction, system use, support
from management, and technology quality. So that researchers are interested in conducting a
"Literature Review Study on "Evaluating the Application of Hospital Management Information
Systems in Outpatient Services".

3 Problem Identification

In this busy world we don’t have the time to wait in infamously long hospital queues. The
problem is, queuing at hospital is often managed manually by administrative staff, then take a
token there and then wait for our turn then ask for the doctor and the most frustrating thing -
we went there by traveling a long distance and then we come to know the doctor is on leave
or the doctor can’t take appointments.

Our Application will help us overcome all these problems because now patients can book
their appointments at home, they can check whether the doctor they want to meet is available
or not. Doctors can also confirm or decline appointments, this help both patient and the
doctor because if the doctor declines’ appointment then patient will know this in advance and
patient will visit hospital only when the doctor confirms’ the appointment this will save time
and money of the patient.

Patients can also pay the doctor’s consultant fee online to save their time.

HMS is essential for all healthcare establishments, be it hospitals, nursing homes, health
clinics, rehabilitation centers, dispensaries, or clinics. The main goal is to computerize all the
details regarding the patient and the hospital. The installation of this healthcare software
results in improvement in administrative functions and hence better patient care, which is the
prime focus of any healthcare unit.

Benefits of implementing a hospital management system:

• Appointment Booking

• Helps patients cut the long queue and saves their time.

• Is equipped with features like automated emails and text message

remainders.

• Role- Based Access Control

• Allows employees to access only the necessary information to effectively

perform their job duties.

• Increases data security and integrity.

12
• Overall Cost Reduction

• Cuts down paper costs as all the data are computerized.

• No separate costs for setting up physical servers.

• Data Accuracy

• Removes human errors.

• Alerts when there’s a shortage of stock.

• Data Security

• Helps to keep patients records private.

• Restricts access through role-based access control.

• Revenue Management

• Makes daily auditing simple.

• Helps with statistics and other financial aspects.

related to all aspects of healthcare – processes, providers, patients, and more, which in turn
ensures that processes are completed swiftly and effectively. It helps the hospital to work
more efficiently.

Systems are designed keeping in mind an issue that is to be solved. Every system is designed
in its unique keeping in mind the requirement of the problem or the issue. Our system solves
the problem of searching for the good that the customer’s needs.

System design involves the design of overall architecture, based on which we design
components, modules and interfaces. The beginning of any system architecture is by
decomposing it into smaller fragments. Decomposition and binding of components makes the
architecture easy to understand and makes it easier to understand.

Our system uses algorithm for collecting data which will collect the data of user and we have
data analysing algorithm which will analyse and highlight the needs of user.

3.2 ARCHITECTURE DIAGRAM

An architectural diagram is a diagram of a system that is used to abstract the overall outline
