Chapter 1: Introduction to word processing


1. generalities
Microsoft Office is a globally renowned office automation suite, catering to both personal and
professional needs. It receives regular updates and enhancements, making it a go-to choice for
various tasks like word processing, spreadsheets, and presentations.
The demand for office automation tools arose from the need to replace typewriters, and word
processing emerged as an indispensable tool in everyday life, education, and the workplace. It
facilitates the creation of documents like letters, CVs, reports, dissertations, and meeting
summaries.
Word processing software features a "WYSIWYG" (What You See Is What You Get)
interface, offering functions such as text input and editing, formatting, layout adjustments,
object, image, table, and graph insertion, spelling and grammar checks, digital saving, and
printing.
Various word processing software options exist, each falling into distinct categories [1]:
- Text Editor: Text editors, like Windows' Notepad or Mac's TextEdit, are basic tools for
entering and editing text. They lack formatting and layout capabilities.
- Text Compiler: Text compilers don't provide a WYSIWYG interface but adhere to the
document's structure, enabling automatic content layout.
- Interactive Word Processing: These programs, such as Microsoft Word, OpenOffice
Writer, Pages (for Mac), Google Docs (online), and AbiWord (Open Source), not only
support text input and editing but also allow interactive formatting and layout
(WYSIWYG).
Respect Intellectual Property:
Intellectual property rights protect creators' work and their exclusive right to disclose it,
combating counterfeiting and plagiarism [1].
Plagiarism: It's the unauthorized use of someone else's work. For instance, directly copying
and pasting text without proper source citation is a clear case of plagiarism.
When using internet photos and images, be cautious as they may have copyright protection
(intellectual property). Always verify before extensive use. Consider creating your own
visuals or using specialized databases as alternatives.).

2. Office Word elements


The Word window is made up of:
- The File tab, which is the first tab on the ribbon, grants access to Backstage mode for file
management, data handling, and Word configuration options.
- The quick access bar contains clickable buttons for executing commands and can be
personalized by clicking the arrow on the right. By default, it includes commands like
Save, Undo (Cancel keystroke in case of error), and Redo (Repeat keystroke).
- The title bar prominently displays the name of the currently open document.

- The ribbon offers a comprehensive set of tools for various tasks. Each tab on the ribbon
is further divided into groups. For instance, within the Home tab, you can find groups like
Clipboard, Font, and Paragraph. Some groups open submenus; for example, clicking the
small arrow to the right of the Font group reveals a dropdown menu.
- Rules enable the adjustment of paragraph margins and indents. You can show or hide
them from the View tab or quickly by clicking the button at the top of the vertical scroll
bar.
- The View and Zoom controls provide options for adjusting the document's display and
magnification.

Contextual menus : Contextual menus: displayed when clicking on an


element with the right mouse button. The commands offered are relative to
the context, and therefore linked to the place where we clicked.

3. Creation of a document
- Open Word, and a document named 'Document 1' appears.
- As you enter text, line breaks occur automatically. Press [Enter] to begin a new paragraph.
- To save the document, you have several options: press F12, go to File, Save As, or simply
click the floppy disk icon in the quick access bar. Choose your desired folder and assign a
name (e.g., 'Essay').
- After the initial save, remember to make regular backups by clicking the floppy disk icon
as you work.
- To print, go to File, then select Print. It's advisable to perform a Print Preview before
starting the actual printing.
- To close the document, go to File and choose Close.
- To open a document, navigate to File and select Open.
- When performing text operations, start by selecting the text using the mouse.

4. Formatting
Formatting enables you to organize and emphasize text, saving time either during typing
(ideal for lengthy documents) or after completing the text. Formatting falls into two
categories: character formatting and paragraph formatting.
You can format a document manually or employ Word's predefined style templates. It's
also possible to create custom styles.
To format your text, utilize the Font and Paragraph groups on the Home tab or access the
contextual mini-toolbar.

Discover the formatting commands yourself: Use the mouse tip to get instructions on the
command. Practice on a draft document.

TP 1 : We will make the text of the Essay and format it as illustrated in the figure on
page 6.
The steps :
1- Open the Test document (From Word or with file explorer)
2- Format the characters of the text by putting:

The title: (font: Times New Roman, size: 16, Bold, color: Dark red)
Subtitles: (font: Times New Roman, size: 13, Underlined, Italic, color: Blue)

3- Justify all the text


4- Align title to center.
5- Align subtitles and text to the left.
6- Before each subtitle, you put a bullet.
7- The space between lines will be 1.15.
8- Insert a paragraph border: Layout/Page borders/Border/Frame
9- Insert a page border: Layout/Page borders/Page border/Frame/Pattern
10- Save the current page.
11- Close the page and exit Word.
