Lab 9: Data Visualization in Spreadsheets

Task 1: Import Real-Time Datasets into Spreadsheet:

● Importing real-time data is crucial for dynamic analysis. This task involves importing data from external sources

such as CSV files, databases, or online datasets into a spreadsheet.

Procedure:

1. Locate Real-Time Dataset:

o Find a suitable real-time dataset in CSV or Excel format. You can download it from a reliable online source
such as government databases, financial websites, or public datasets.
2. Open the Spreadsheet Application:
o Open MS Excel or LibreOffice Calc and create a new blank spreadsheet.
3. Import Data:
o MS Excel: Go to Data > Get External Data > From Text (for CSV) or From Web (for online datasets)
and follow the prompts to import the dataset.
o LibreOffice Calc: Go to Sheet > Insert Sheet From File, choose the CSV or Excel file, and import it
into a new sheet.
4. Verify Data Import:
o Ensure the data is correctly imported, with appropriate columns and rows. Make necessary adjustments like
changing column headers or formatting cells.

Task 2: Clean and Prepare Data for Analysis

Description:

Data cleaning is essential for ensuring the accuracy and reliability of analysis. This task will focus on
cleaning the imported data by removing duplicates, handling missing values, and formatting the data.

Procedure:

1. Identify and Remove Duplicates:

o MS Excel: Go to Data > Remove Duplicates, select the columns to check, and remove duplicate entries.
o LibreOffice Calc: Use the Data > More Filters > Standard Filter and enable the No Duplicates
option to filter out duplicate entries.
2. Handle Missing Values:
o Identify cells with missing data and decide how to handle them (e.g., fill with a placeholder, average value,
or delete the row).
o MS Excel: Use Find & Select > Go To Special > Blanks to locate and fill or delete missing values.
o LibreOffice Calc: Use Find & Replace to locate blank cells and handle them accordingly.
3. Format Data:
o Ensure that all numerical data is in the correct format (e.g., currency, percentage, number) for analysis.
o Apply consistent formatting across columns to enhance readability.

Description:

Using built-in spreadsheet functions, this task will guide students in performing basic data analysis such as
calculating averages, sums, and other statistical measures on the imported data.

Procedure:

1. Apply Basic Formulae:

o Use functions like SUM, AVERAGE, COUNT, MAX, and MIN to analyze the numerical data.
o Example: =AVERAGE(B2:B100) to calculate the average value of a data range.
2. Create Summary Statistics:
o Generate summary statistics for the dataset, including mean, median, mode, standard deviation, and
variance.
o MS Excel: Use Formulas > More Functions > Statistical to access various statistical functions.
o LibreOffice Calc: Use the Function Wizard to apply statistical functions.
3. Document Findings:
o Insert comments or create a separate summary sheet documenting the key findings from your data analysis.

Task 4: Data Visualization Using Graphs

Description: Visualizing data helps in better understanding and interpreting trends and patterns. This task will cover
creating various types of graphs to represent the analyzed data visually.

Procedure:

1. Select Data for Visualization:

o Highlight the data range that you want to visualize.
2. Create a Graph:
o MS Excel: Go to Insert > Charts and choose the appropriate chart type (e.g., Bar, Line, Pie, Scatter).
o LibreOffice Calc: Go to Insert > Chart, and select the chart type that best represents the data.
3. Customize the Graph:
o Add titles, labels, and legends to make the graph more informative. o Adjust colors, styles, and other
formatting options to enhance visual appeal.
4. Analyze Trends:
o Use the graph to analyze trends, patterns, or outliers in the data. o Add trendlines if needed to
visualize the data trends over time.

Task 5: Advanced Data Visualization Using Pivot Charts

Description:

Pivot charts provide a dynamic way to explore and analyze large datasets. This task will guide students in
creating and customizing pivot charts based on their imported data.

Procedure:

1. Create a Pivot Table:

o MS Excel: Go to Insert > PivotTable, select the data range, and place the PivotTable in a new
worksheet.
o LibreOffice Calc: Go to Data > Pivot Table > Create, select the data range, and create the PivotTable.
2. Configure the Pivot Table:
o Drag and drop fields into the Rows, Columns, Values, and Filters areas to structure the table.
3. Insert a Pivot Chart:
o MS Excel: Go to PivotTable Tools > Analyze > PivotChart, and select the chart type that best
visualizes your data.
o LibreOffice Calc: Right-click on the Pivot Table and choose Insert Chart, then select the chart type.
4. Customize the Pivot Chart:
o Add titles, data labels, and adjust the formatting to make the chart clear and informative.
o Explore different pivot chart layouts and styles to find the most effective visualization.
5. Interactive Analysis:
o Use the pivot chart's interactive features to filter and explore different aspects of the data dynamically.
