INTRODUCTION

Project context

According to Andy Lane, (2019) Technology is a hands-on and can-do profession

where people have to be skilled in many of the following: engineering, communicating,

designing, developing, Innovation managing, manufacturing, modeling, and systems

thinking. Using technology means that we should all take an interest in whether it

provides us and everyone else with a sustainable future.

According to Digital Class World, (2022) Information technology refers to anything

related to computing technology, such as networking, hardware, software, the Internet, or

people working with these technologies. The importance of Information Technology in

business is vast. It helps every business sector in automating its processes and systems to

target objectives, generate revenue, and reduce the inefficiency of their work.

Information Technology help us people to make our lives easy by giving the

information knowledge works and other technology related things,

JSJ GOAT FARM is located at Barangay Caturay, Gerona, Tarlac, about 140 km north

of Manila. It was established in June 2001 with less than 10 goats, After a few years of

doing goat farming and seeing the potential of it, The owners now doing the business

full-time and became their primary. The number of goat around 300 heads of breeder

goats and sheep utilizing a total of 10 hectares of improved pasture. Now the number of

goats in the farm approximately 900 heads of goats and sheeps and 30 employees.

Payroll

In a company, payroll is the sum of all financial records of salaries for an employee,

wages, bonuses and deductions. In accounting, payroll refers to the amount paid to

employees for services to be provided during a certain period of time. Payroll plays a

major role in a company for several reasons. From an accounting point of view, payroll is

crucial because payroll and taxes considerably affect the net income of most companies,

and which are subject to laws and regulations (e.g. in the U.S. payroll is subject to federal

and state regulations). From viewpoint of ethics in business employees are responsive to

payrolls error and irregularities good employee morale requires payroll to be paid timely

and accurately. The primary mission of the payroll department is to ensure all employees

are paid accurately and timely with the correct withholding taxes and deductions, and to

ensure the withholdings and deductions are remitted in a timely manner. Previously

mention, includes salary payments, tax withholdings, and deductions from a paycheck.

Purpose and Description of the Project

Payroll systems manage everything having to do with the process of paying

employees and filing employment taxes. To put in place to keep track and worked hours,

calculating wages, withholding taxes and other deductions, printing and delivering

checks, and paying government employment taxes.

The researcher’s wants the study to ease and to prevent the present problems

about the current manual system. Additionally, much faster and reliable than manual

payroll system.

The main objective of this study is to develop software that would replace into

Payroll system.

Specific Objectives:

 To design and to develop module that will handle user accounts

 To design and develop a module that will handle attendance

 to develop a system in eliminating time theif and data manipulation.

 to develop a system to decrease the workload of the administrators.

LIMITATION

 The study limits only to the proposed enhancement of the Computerized Payroll

System of the JSJ GOAT FARM. Proposed system which can only be accessed

by authorized person. Does not support network topology implementation, online

program or online transaction.

 The system focuses mainly on the payroll and monitoring of attendance of the

employees. The system covers the performance, salary, leaves and information of

the employees except the proposed automated payroll system. The

study covers purely the formulation of the proposed system as a replacement to

the present system.

REVIEW OF RELATED LITERATURE/SYSTEMS

Review of Related Literature

As stated by Prabu S, AkashGoyal, Anmol Agrawal, SiddhantNagelia

(2018). "Payroll Management" is a distributed application for evaluating

employee performance. It maintains company information, personal employee

details, and assigned project details. The application has four modules: employee

module, department module, salary module, and leaves module. The employee

module allows for entering employee details, viewing, and modifying them. The

department module contains information such as department name, number,

location, and associated projects. The salary module displays and issues salaries to

employees. The leaves module tracks leave details and is linked with salary

calculations.

The difference between payroll management and the proposed system is that having four

modules. The department module contains information such as department name,

number, location, and associated projects. Apparently, the proposed system only needs a

name and identification number. The similarities of these two is they both need the

information of the employees.

According to Miss. Priyanka D. Singh, Miss. Suvarna S. Parteki, Miss.

Ashwini N. Shingade, Miss. Shruti P. Wankhede, Prof. Pooja H. Rane (2022). The

payroll application maintains details of various allowances and deductions for

employees. It generates the salary sheet for the employees of the organization.

The application assists the accounts department in managing employee-related

financial matters. The payroll system is user-friendly and automates day-to-day

activities. The admin plays a leading role in supporting employee activities. The

client's role is limited in the system. The application automates activities across

various departments or sections of the organization. Payroll provides database

activities for easy and fast data retrieval. The admin has full rights to make

decisions and manage user statuses, pictures, and modifications.

The difference between payroll applications helps the admin to maintain

salary sheet of the employees. While the proposed system is helping the admins

via web-based to check the employee’s record’s salary. The similarities between

the payroll application and the proposed system helping the admins to check the

records easily.

As a stated of N.Elekwa and O.Eme(2013). Opined that payroll is a list of

employees including the wages or salaries due to each employee. Computer

payroll system as personnel system also provide broad range of personnel and

payroll processing like keeping employees records, pay band, savings deduction,

taxes and others using a computer database. The database comprises of current

and prior salary payment information as well as another employee’s information.

This contradict the manual pay-rolling systems where processing of data is

sluggish and tantamount to error.

The difference between the proponents’ is. Computer payroll can provide

the employee records, pay band, savings deductions, taxes, and others using a

computer database. Apparently, the proposed system can give incentives

depending on the record of the employees. It is confidential because of the CEO.

Local

According to Diana Cardenas (2010). Payroll is a critical operation for every

organization to pay employee accurately their salary and enrollments on time. The idea

of taking control of employee’s pay calculations is quite tedious if done manually and

require more effort and time mainly for big organizations. Hence if this process is

automated, it would be of great benefit as it would require less time to calculate the

salary of the employees. The software for payroll management system service on the

cloud is provided as a solution in this paper. This system provides multiple user data

access. Each user like employee or HR or admin can login into the software by writing

username and password which are allocated to them from the company. It involves

keeping track of hours worked and is capable of keeping a record of employee data.

As stated by J.V Alejo (2019). Automated Payroll Management System

for Negros Oriental State University Part-time Instructors, the researchers

believed that system theydesigned contributed a lot to the improvement of the

payroll process. By replacing the existing manual system with an automated

system, all entries such as part-time instructors’ monthly salary as well as

deductions can be stored safely and quickly since the new system provides special

technical features like accessibility, reliability, and security. Also, by upgrading

the system, less time would be spentby the accounting personnel in computing

each part-time instructor’s salary andthis would result to bettersatisfaction among

part-time instructors. Undoubtedly, the newly constructed system would motivate

them to work efficiently and effectively.

Related Studies and/or Systems

According to Nyanmaru (2013), Computerized Payroll System nowadays

all establishment are becoming modernized, they use modern technologies to

make their transaction fast, easy, and accurate to avoid waste of time and for the

sake of safety and security. It also helps human to solve and understand complex

problem and analysis establishments such us the computational need of humans.

Especially to business establishment or corporation processing enormous data and

complex transaction. Payroll is an example of a complex transaction because it is

a critical business operation dealing with numerous accounts and produce plenty

and confidential files. Payroll encompasses every employee of a company who

receives a regular wages or other compensation due to each.

The difference between the system focuses on the transaction become fast,

easy and accurate to avoid waste time and for the sake of safety and security

while the proposed system focuses on the salary /wages, deductions and work

hours of the employees. The similarities between the payroll system and the

proposed system are to understand complex problems and analysis in

computational needs.

According to Aishwarya Gupta (2013), AMITY University UTTAR

Pradesh that develop a system entitled with employee Payroll System is an

application that enables users to create Republic of the Philippines and store

employee’s records. This application is helpful to the organization as it maintains

data of employee’s related to that organization. Java is used to create this

application as it is a platform independent language and can be used on a

standalone machine as well as on a distributed network. Furthermore, applications

developed in java can be extended to the Internet based application. Thus, java

was chosen to do the front-end task to design this application. That insisted the

benefits of the application easy calculations.

The difference of the payroll system is focuses in maintaining data of

employees, while the proposed system is focusing on employees work hours,

salaries/wages, and deduction for benefits.

Local Studies

As stated by John Michael C. Murla, Jhenalene A. Raosa, Robert V.

Reyes, Jonathan S. De Mesa, Mercedes D. Santos (2020). Payroll is a critical

operation for every organization to pay employees accurately and on time. Taking

control of employee pay calculations can be discouraging for big organizations. A

study assessed the payroll system of 14 schools under the Department of

Education in Nueva Ecija. The study used a descriptive research design to

describe the payroll system in terms of accuracy, safety & security, efficiency,

usability, and timeliness. Each school used Microsoft Excel as the tool for

computing employees' monthly pay. The results indicated that the areas of safety

& security, efficiency, and timeliness need improvement. The major problem

encountered by the payroll makers is the amount of time required for payroll

preparation. There is a need for system development to maximize the use of

computers and achieve a more secure, accurate, error-free, and faster payroll

system.

The difference between the proposed system, they made a study about the

payroll system in terms of accuracy, safety & security, efficiency, usability, and

timeless. While the proponents’ system is not only about accuracy, safety &

security, efficiency, usability and timeless. It is also two see and how dedicated

the employees to the work. Because of their records and performance, they will

get incentives. The similarities of these studies is improve the payroll and to

maximize the use of computers. The similarities between the payroll system and

the proposed system are to create application to calculate easily.

Based on the study of John David Bildan (2010). Nowadays, many payroll

system implemented in different companies here in the Philippines because

payroll system is one of the most important in establishing a business firms on

how you provide the right and appropriate benefits for the employees in the

company. Business firms must operate within the boundaries of laws and

government regulations, Laws have been developed not only to protect consumers

but also to promote competition among business and industries. Over half a

century on, it’s fair to say that payroll is now one of the most commonly

automated business operations; and certainly the most frequently the most used

HR Solution that maintaining payroll record is one of the most important financial

tasks in any business.

Synthesis

The difference and similarities of each piece of literature and systems give

an insight into the study that is relevant to the proposed study. Automated payroll

system is very recommendable these days. It maintains company information,

personal employee details, and assigned project details. The payroll maintains

details of various allowances and deductions for employees. It generates the

salary sheet for the employees of the organization. The payroll system as

personnel system also provides broad range of personnel and payroll processing

like keeping employees records, pay band, savings deduction, taxes, and others

using a computer database. The database comprises of current and prior salary

payment information as well as another employee’s information.

The 14 schools under the Department of Education in Nueva Ecija made a

study issued by payroll system in terms of accuracy, safety & security, efficiency,

usability, and timeliness. The major problem encountered by the payroll makers is

the amount of time required for payroll preparation. There is a need for system

development to maximize the use of computers and achieve a more secure,

accurate, error-free, and faster payroll system. Likely, the proponent’s study will

also have the said problems. But with help of the studies, we can ease the

problems for bigger companies and maintain the security specially the payroll of

the employees.

TECHNICAL BACKGROUND

Overview of Current Technologies Used in the Current System

The JSJ GOAT FARM does not use a system that will make payroll

transactions being faster and more reliable. The employee's salary is calculated by

manually based and the secretary is needing a too much time to compute the

salaries of co-workers. Aside from needing too much time, it also needs lot of

papers to use to record the salaries and there’s having a trouble of computing the

final wages of the employees. and it also having trouble to find the records.

The proponents proposed to develop a system for JSJ GOAT FARM. This

system will work out payroll calculations and deductions quicker, automate

certain tasks such as year-end reporting, reducing time and papers, stored data

such as pay slipsneeds and annual reports in a secure, easily accessible system.

Through this system, businesses and companies will benefit from makes it easier

to capture pay-related data, gather approvals, and provide payroll data quickly and

efficiently. And for employee’s benefits. This payroll system ensures your

employee feels confident their pay will be on-time and faster. These payroll

services also allow staff limited access to their own employee benefits and time

and attendance information. The primary benefit of this system is it can

significantly reduce errors and save time for your organization. Because Manual

payroll processing can be time-consuming and prone to mistakes, which can result

in inaccurate payments to employees and legal compliance issues.

Methodology

The proponents used of waterfall methodology. The projects start by gathering all the

requirements and executed through a sequential project plan design to accommodate

those requirements. The waterfall model method is rather straightforward. It employs

step-by-step approach and typically breaks down the project into the following stages.

Requirements, System design, Implementation Testing deployment and Maintenance.

The proponent decided to use in this method that is suitable about payroll system because

it emphasizes structured organization allows for changes to be implemented in early

design stages, is suitable for deadline and milestones-oriented teams, accommodates

shifting teams, and allows for fast cost estimation.

Requirement

The first phase involves understanding what you need to design and what

is its function, purpose etc. Unless you know what, you want to design, you

cannot proceed with the project. Even a small code such as adding two integer

numbers, needs to be written with the output in mind. Here, in this stage, the

requirements which the software is going to satisfy are listed and detailed. These

requirements are then presented to the team of programmers. If this phase is

completed successfully, it ensures a smooth working of the remaining phases, as

the programmer is not burdened to make changes at later stages because of

changes in requirements.

Analysis

As per the requirements, the software and hardware needed for the proper

completion of the project is analyzed in this phase. Right from deciding which

computer language should be used for designing the software, to the database

system that can be used for the functioning of the software, such features are

decided at this stage.

Design

The algorithm or flowchart of the program or the software code to be

written in the next stage, is created now. It is a very important stage, which relies

on the previous two stages for its proper implementation. The proper design at

this stage, ensures an execution in the next stage. If during the design phase, it is

noticed that there are some more requirements for designing the code, the analysis

phase is revisited and the design phase is carried out according to the new set of

resources.

Implementation

Once the design is complete, the technical implementation starts. This might be

the shortest phase of the waterfall process because painstaking research and design have

already been done. In this phase, programmers code applications based on project

requirements and specifications, with some testing and implementation taking place as

well.

Maintenance

The maintenance phase is an extremely important phase in the waterfall approach.

This is because, during the maintenance of the product, bugs are discovered. It might also

come to view that the features in the product are not adequate as per the working.

Calendar of Activities

The proponent's client is JSJ Goat farm located at Barangay Caturay,


Gerona,Tarlac. The researchers start to brainstorm question to know what the
problem of JsJ Goat farm and the researchers is conduct an interview to the
employee what the common problem is they often encountered, majority of the
employees say the same problem.The problem is about their salary, because what
they use is manual payroll. To avoid that problem, the researchers decided to
make an automated payroll system, August 29 to 2nd day of September the
researchers planning to choose a research title and they decided on a title is
Payroll System for jsj goat far. in the 3rd day the Purpose of the study in Moreño's
House after that in the 14th day to 17th day of September what we did that day is
the Objectives of the study and the Scope and Limitation after we do that, 1st day
to 8th day of October we make a research about foreign Literature also Local
studies and Related system and after we finished that October 15 and 20 we did
the synthesis and also we make a design and in the 29th day of October we did the
Methodology after that Month in 8th day of November we make a waterfall
model in Moreño's house
