Apartment Visitor Tracking

Abstract

This project entitles as “Apartment Visitor Tracking System”. In modern times where
security becomes more & more challenging in most buildings, commercial complexes and
residential apartments find it is mandatory to track visitors.

Apartment Visitor Tracking System is a perfect and smart solution to manage and track
Visitors, Guest, Daily Workers, Contract Labors, Servants etc., of Residential complexes,
apartments, housing colonies, etc. The Apartment Visitor Management System will maintain
the records of Visitor Photo, to whom they visited, their entry and exit time, Vehicle details,
Items carried etc., these records are very useful in case of some eventuality and if identity of
a visitor is required at a later date. The flat or apartment owner can easily track the visitor
details quickly. They should give the details of their full name, visitor messages etc..

Software Requirements

Front End: PHP

Back End: MySQL SERVER


CHAPTER 1

INTRODUCTION

1.1. IMPORTANCE OF THE PROJECT

The apartment Visitor tracking system is a web-based technology that will revolutionize the
way your apartments manages visitors and provide visitor info to them. The apartment visitor
tracking system is more important to security guards or security society. This web application
provides a way to effectively control records & track visitor traffic.

AVTS is an apartment visitors tracking script which is developed in PHP with MySQL database to
manage all visitors details in one place. AVTS admin has dashboard, visitors, search, and reports core
modules. In the dashboard, the admin can briefly view how many visitors visited in a particular
period. In visitors, admin adds new visitors by filling their information in add visitors sections and
also view and manage visitors records. Admin also puts visitors out of time in the manage records
section. In search, admin can search a particular person by their name and phone number. In the
reports section, admin can generate visitors reports between two dates. Admin can also update his
profile, change password and recover password.

Nowadays many appartments have there own system for entering or to store visitors data.
Most common method followed which is entering visitors data in logbook. This method had some
weakness such as there is a possibility of misplacement of visitor logbook so it is time consuming. It
is difficult to store visitors data with conventional way where record entry and retrieving data still
done manually for store visitors data. Therefore this situation have solution like to develop an AVTS
to capture visitors data. APARTMENT VISITOR TRACKING SYSTEM provides a better and secure way
to store visitors data. This system is a way to control record and track of visitors traffic. This software
is complete for apartment visitors tracking which reduce the work of write data on logbook. The
main aim of this system is to computerized the tradition way of visitors.

1.2. GENERAL ORGANIZATION OF THE REPORT

The first problem to be described and analyzed in this study arises from the fact that
the test structure presents deviations with respect to an ideal model obtained by applying
similitude laws to the prototype application. These deviations and their probable effect on
correlation between the performance of the test structure and that of the prototype are
described in

Chapter 1. elucidates the problem definition about the project followed by the
existing system which consists of detailed information about the present and past system with
the disadvantages followed by the proposed system which consists of the idea/system which
is going to be developed in this project and finally ends with requirements such as hardware
and software requirements needed for this project

In Chapter 2, is the system design which includes the subcategories of Architectural


Design which the Data Flow Diagram (DFD), Database design and GUI design.

In Chapter 3, is the detailed description of the project made by the modules with
module description.

CHAPTER 2

SYSTEM ANALYSIS

2.1. PROBLEM DEFINITION

The process of gathering information, diagnosing the problems, then interpreting facts is
known as System analysis. It also includes recommending system improvements needed,
based on the same data. The system is observed as a whole, the inputs need to be identified
first before running them and then the system is subjected to study as a whole to identify the
problem areas.

Although tunning any system as a whole is a complex procedure, but tunning individual
statements is not the best as something that is correct for one input may hurt another input’s
performance. The solutions are given as a proposal. The suggestion is revised on user request
and optimal changes are made. This loop terminates as soon as the user is gratified with the
proposal.

So, on the whole, system analysis is done to improve the system performance by monitoring
it and obtaining the best throughput possible from it. Therefore, system analysis plays a
crucial role in designing any system.
2.2. EXISTING SYSTEM
The existing system is handled manually. The system follows large number of paper
work for maintaining the visitor information by the security officer and also the information
of the flat owners is also huge to maintain . In preset system all work done on paper. The
whole year visitors store in a logbook. We can’t generate report on the basis of our
requirement because it takes more time to calculate visitors of whole year

DISADVANTAGES
● Lots of the time consumed for each report generation.
● Immediate response to the queries is difficult.
● More stationary use so they are expensive.
● Not Userfriendly
● Existing system is manual process, so it increases the chances of errors
● Thus, the system has to be automated.

2.3. PROPOSED SYSTEM


The proposed system is developed after a detailed study about the requirements
requested by the user. Proposed system is a computerized one, where all the limitations of
manual system are compensated. Apartment Visitor Tracking System have simplified the
working information and make a user friendly environment, where the user is provided with
much flexibility to manage effectively. It helps the admin to generate desirable reports more
quickly and also to produce better results.

3.1. ARCHITECTURAL DESIGN

A system architecture or systems architecture is the conceptual model that defines the
structure, behavior, and more views of a system. An architecture description is a
formal description and representation of a system, organized in a way that supports
reasoning about the structures and behaviors of the system. System architecture can
comprise system components, the externally visible properties of those components,
the relationships (e.g. the behavior) between them. It can provide a plan from which
products can be procured, and systems developed, that will work together to
implement the overall system. There have been efforts to formalize languages to
describe system architecture, collectively these are called architecture description
languages (ADLs).

Various organizations define systems architecture in different ways, including:

An allocated arrangement of physical elements which provides the design solution for a
consumer product or life-cycle process intended to satisfy the requirements of the functional
architecture and the requirements baseline.
Architecture comprises the most important, pervasive, top-level, strategic inventions,
decisions, and their associated rationales about the overall structure (i.e., essential elements
and their relationships) and associated characteristics and behavior.
If documented, it may include information such as a detailed inventory of current hardware,
software and networking capabilities; a description of long-range plans and priorities for
future purchases, and a plan for upgrading and/or replacing dated equipment and software

MODULES DESCRIPTION

Admin Account

Admin will be the full control for this application and he will provide a separate username and
password for the securities and also for the flat owners.

Individual Identity Flat Owners

This module contains the flat owners information like Name, Mobile, Flat No, whom to contact etc
all the information are stored in this module.

Visitor Pass

If Any Visitor has cam visitor pass will be generated and the details of the visitor are maintained like
to whom he is going to meet, Purpose etc..

Search Flat Owners

Here the staff will search a Flat owners by the Flat No or Mobile No to fetch any details.

Repetitive Visitor

Repetitive Visitor information will be stored in this module.

Securities Details

Security Details are stored in this module like Name Address Mobile etc.. and the Shift also.

Events And Celebrations


If any Flat owners are planned for any Events of Celebration to conduct in the Appartments, It has to
be informed before and it will be stored in the database for the Guest Or Event Pass.

Feedbacks

This module contains the feedbacks from the Flat Owners and viewed only by the admin.

Reports

All the Reports Of The Visitors are generated systematically.
