Class Notes: Introduction to Microsoft Teams

Microsoft Teams is a collaboration platform that integrates workplace chat, video


meetings, file storage, and application integration into one unified environment. It is
widely used in businesses and educational institutions for teamwork, communication,
and project management. With Microsoft Teams, users can collaborate on documents,
organize meetings, share files, and keep track of tasks. This class note will introduce the
essential features of Teams, providing you with the knowledge needed to navigate the
platform efficiently.

1. The Teams Interface

When you open Microsoft Teams, you will see a well-organized interface that consists of
several key components:

• Navigation Bar: Located on the left side of the screen, the navigation bar
provides access to various sections such as "Activity", "Chat", "Teams",
"Meetings", "Files", and "Apps".

• Activity Feed: This central area shows notifications, updates, and activity
related to your messages, mentions, and team channels.

• Teams and Channels: Teams are groups of people working together on projects
or tasks, and channels are specific spaces within teams where discussions and
collaborations happen. Each channel can be dedicated to a particular topic,
project, or department.

2. Setting Up Teams and Channels

• Creating a Team: To create a new team, click on the "Teams" tab in the
navigation bar, then select "Join or create a team" at the bottom. Choose
"Create a team" and either start from scratch or use an existing group (like an
Office 365 group). After creating the team, you can set permissions for members
and organize channels within the team.

• Creating Channels: Channels are dedicated spaces within a team to organize


conversations by topic, department, or project. To create a channel, click on the
ellipsis (three dots) next to the team name and select "Add channel". Channels
can be Standard (accessible to all team members) or Private (only accessible to
specific members).

3. Communication Features: Chat and Meetings

• Chat: The "Chat" tab in Teams allows you to send direct messages to individuals
or groups. You can:
o Start a new chat by clicking on the "New Chat" icon and entering the
recipient’s name.

o Use rich formatting (bold, italic, underline) and attach files or images by
clicking the paperclip icon.

o Mention a person by typing @username to grab their attention and send a


notification.

o Search and filter chat conversations to quickly find past messages.

• Meetings: Teams enables both scheduled and instant video and audio meetings.

o Scheduling a Meeting: To schedule a meeting, go to the "Calendar" tab


and click "New Meeting". You can add meeting details, invite
participants, and include a Microsoft Teams link for easy access.

o Joining a Meeting: To join a meeting, click on the meeting link in your


calendar or the Teams app. During the meeting, you can:

▪ Turn on/off your camera and microphone.

▪ Share your screen or a specific window.

▪ Use the chat to send messages without interrupting the


conversation.

▪ Record the meeting (if permitted), which is saved to Microsoft


Stream or OneDrive for later viewing.

4. File Sharing and Collaboration

One of the main advantages of using Teams is the ability to share and collaborate on
files in real time.

• Sharing Files: Files can be shared within chat conversations or posted in


channels. To share a file, click the paperclip icon in the chat or channel and
select the file to upload.

• Collaborating on Files: Teams integrates with Office 365 apps (Word, Excel,
PowerPoint, etc.), allowing multiple users to edit files simultaneously. You can
open a file in Teams and work on it together with others in real time, with updates
appearing instantly.

• File Storage: All shared files in Teams are stored in OneDrive (for personal files)
or SharePoint (for team files). You can access these files directly from the "Files"
tab in Teams.

5. Notifications and Activity Feed


Teams provides notifications for important updates, mentions, and messages. The
Activity feed gives you a real-time summary of your notifications, including:

• Mentions and replies in chats or channels.

• Team updates, new messages, and meetings.

• @mentions, reactions, and any direct interactions with your posts.

You can customize your notification settings to control what you are alerted to and how
(e.g., banner notifications, sounds, or email alerts).

6. Apps and Integrations

Teams supports integrations with a variety of third-party apps, as well as Microsoft’s


own tools, to enhance functionality and streamline workflow:

• Adding Apps: From the "Apps" tab, you can browse and add apps like Trello,
Asana, or Planner to manage tasks and projects. You can also integrate tools like
GitHub, SurveyMonkey, or Zoom for additional features.

• Planner: Teams integrates with Planner, a task management tool that lets you
assign, track, and manage tasks within teams or channels.

• Power Automate: Automate repetitive tasks and workflows within Teams using
Power Automate (formerly Microsoft Flow). For example, you can automate
meeting reminders, task assignments, or email notifications.

7. Team Settings and Permissions

• Managing Team Settings: Team owners can manage settings and permissions,
such as who can post messages, create channels, or add members. To adjust
these settings, click on the ellipsis (three dots) next to the team name and select
"Manage Team".

• Permissions: Owners can set permissions for channels, including who can read
and write messages or manage settings.

8. Security and Compliance

Teams integrates with Microsoft 365 security and compliance tools, ensuring that data
is secure and compliant with company policies:

• Data Encryption: All data in Teams is encrypted in transit and at rest.

• Compliance Tools: Teams supports compliance features like data loss


prevention (DLP), retention policies, and eDiscovery.
