Use any remaining time
Last week we went over some of the skills needed for the first Excel Lab (Excel Lab 1).
This week we will finish covering the remaining skills and you can start Excel Lab 1.
1. Last week we edited the data so that it is formatted as you see in columns A:G. For no specific reason, let's hide the
Northern Region column. Select column D and right-click to hide. Notice the alphabet now skips D. That is one way to know if
there are hidden columns (same goes for rows). If you wanted to unhide column D, one way is to select columns C and E, then
right-click and choose unhide. Go ahead and practice this but be sure column D is hidden before you move to step 2.

2. Place a thick bottom border under the data labels in row 1 by selecting only the cells with headers (A1:G1) and choosing
the "Thick Bottom Border" option from the Home ribbon, Font section. Do not select the entire row 1 or you will have a thick
border on all of row 1. You want the border only under the headers.

3. Select cells A2:G51 by placing your cursor in cell A2 and then using shift+ctrl+right-arrow to select from A2 over to the end
of the data set which is cell G2 and then use shift+ctrl+down-arrow to select from row 2 down to row 51. (remember on a
Mac, use Command in place of Ctrl). Now choose the “All Borders” option to place borders on each cell.

4. Notice the step above removed your thick bottom border for the headers! That is because of the order of your steps. The
“All Borders” option formatted over your thick bottom border. Select your headers once again and apply the thick bottom
border.

5. Select the headers from A1:G1 and apply a highlighting color of your choice. Your result should look like this image:

6. The last tasks on this worksheet are to change the name of the worksheet from “Formatting Skills” to “Completed – your
last name” by right clicking on the name of the worksheet and choosing rename. Alternatively, you can double click the name
and of the worksheet and then rename. Then change the color of the tab from yellow to green by right clicking on the tab
name and choosing a green option in the tab colors.

7. Do you know how to find hidden worksheets?


To check if there are hidden worksheets select any of the existing worksheet
names and right-click. If the “Unhide” option is not grayed out there is a
hidden worksheet!! Choose “Unhide” and you will see there is one hidden
worksheet titled, “HIDDEN”. Select it and click OK.

8. Have you seen a worksheet without the gridlines? Go to the View ribbon
and uncheck the option for gridlines to remove the background gridlines.
This gives a nice clean look to a worksheet.

9. Now add a new worksheet by choosing the + option next to the first worksheet. Rename this worksheet “Copy”.

10. Go back to the original worksheet (now named “Completed – your last name”) and select all the data. As long as there
are no empty columns or empty rows in the data you can use the shortcut of Ctrl+A (command on a Mac) to select the entire
data set. If that does not work place your cursor in cell A1 and then use shift+ctrl+right-arrow to select the data in row 1 from
column A to column G and then use shift+ctrl+down-arrow to select the data in rows 1 to 51.

11. Once the data is selected, use the shortcut to copy (Ctrl+C) or right click and choose Copy. When you see the “dancing
ants” 😊 around the data you will know it is copied.
12. Now go to the new worksheet (Copy) and paste the data into cell B2. There are several ways to do this. One is to simply
select cell B2 and Enter. Another is to select cell B2 and use the shortcut Ctrl+V (paste). You could also go to cell B2, right click
and choose from one of the paste options.

13. Notice the hidden column (Northern Region) is included with the copy! That is because the data was not deleted, it was
only hidden. Leave this column unhidden on this worksheet.

14. Next add filters to the data by selecting the headers which are now located in cells B2:H2 and in the Data Ribbon choose

Filter. This will add the filter drop down boxes as you see below.

15. So that you can see the full name for each header, select the corner “Select All” box in the corner again and format the
column widths as you did in step 7.
16. Lastly, arrange the data so that it is sorted by the Eastern Region from high to low and by Salespersons last name (A-Z). To
do this type of multi-level sort you must first sort the Eastern column from largest to smallest (use the drop-down arrow) and
then sort Last column from A-Z. Use the drop-down arrows in the filters for each column to sort. The image below shows the
final results.

When you are finished SAVE this file and show it to your TA for your attendance point for this week.
