Setting Data Formats in Spreadsheets

Data Validation

The spreadsheet below about bake sale shows how to set a data type using the
data validation tab.
Steps:
1. Highlight the cells where you want to apply data validation.
Price ($):
Data validation: A number between 0.50 and 5.00.
2. At the top of the screen, click on the “Data” tab, then choose Data Validation
from the drop-down menu.
3. Click on add rule to add validation rule for the selected cells.
4. Choose Validation Criteria
This is where you set rules for what can be entered in the selected cells.
To ensure the price data is valid, we will set the validation criteria to require
that the price is a number between $0.50 and $5.00, using the 'in between'
option.
5. Set the Range:
For the minimum value, enter 0.50.
For the maximum value, enter 5.00.
7. Click done.
Searching for data
Using a filter
Filtering data in a spreadsheet lets you find data you want.
When you filter data, entire rows will be hidden if the values
do not match the filter criteria.
The following spreadsheet shows a list of students with information about them.
Here are the steps to filter students based on their eye color (brown) and height
(>140 cm):
Highlight the entire data table containing the students' information, including columns for "Eye
Color" and "Height.“
2. Open the Filter Menu
Go to the toolbar at the top and click on the Data tab. From the drop-down menu, select Create a
Filter. A small filter icon will appear in the header of each column.
3. Filter by Eye Color (Brown)
• Click on the filter icon in the Eye Color column.
• From the drop-down menu, uncheck all the eye colors except Brown.
• Press OK to apply the filter.
4. Filter by Height (>140 cm)
• Click on the filter icon in the Height column.
• Choose Filter by Condition from the drop-down menu.
• Select Greater than from the condition options.
• Enter 140 in the box provided for the value.
• Press OK to apply the filter.
5. View Filtered Results
After both filters are applied, the spreadsheet will only show students with brown eyes and a
height greater than 140 cm.
To remove a filter, go to the Data tab and click on Remove Filter to clear all filters from the dataset.
