Unit 6 - IT Application for Business

Electronic Spreadsheet
• stores information in the memory of computer performs data manipulation and displays
results quickly. it can be saved, moved or printed.
• a work book is a collection of worksheets used in a single file. In other words, each file
in a Microsoft excel is known as work book.

Application of spreadsheets
• Preparation of reports • Income statements • Investment analysis
• Payrolls management • Budget analysis • Inventory control
• Preparation of bills • Loan analysis • Production analysis

Advantages of spreadsheet
• It produces accurate results
• Easy and quick calculation
• Worksheet data can be displayed and manipulated
• Data can be converted into graph
• Entire worksheet or parts can be printed
• Facilities carrying ―what if analysis
• Data in a worksheet can be transferred to other programs easily

MS Excel Interface
• Active Cell
• The cell is with the green outline - in the older versions, its black.
• Data is always entered into the active cell.
• Column Letter
• Columns run vertically on a worksheet and each one is identified by a letter in the
column header.
• The columns are lettered A to Z and then continuing with AA, AB, AC and so on.
• Row Number
• Rows run horizontally in a worksheet and are identified by a number in the row
header. The rows are numbered 1 to 1,048,576.
• Formula Bar
• Located above the worksheet, this area displays the contents of the active cell.
• It can also be used for entering or editing data and formulas.
• Name Box
• Located next to the formula bar, the Name Box displays the cell reference or the
name of the active cell.

• A part of the spreadsheet that displays the worksheet that is being edited.

Moving around the spreadsheet


• Tab key – To move one cell to another
• Shift + Tab key – To move one cell backward
• Arrow key: Allow you to move left, right, up and down.
• Page Down key: moves down one page
• Page Up key : moves up one page
• Ctrl + Home Key : moves to 1st cell
