Similarly, records are maintained by every organization as evidence of communication,


decisions made, actions taken, transactions done, and to keep track of history. Records
include written, printed, electronic means, or otherwise. The Right to Information Act (RTI) of
2005 aims to empower citizens, promote transparency and accountability in the working of
the government, contain corruption, and make our democracy work for the people in the real
sense.

For the post office, maintaining records is crucial for several reasons:

6. **Complaints and Suggestion Book**: A record of complaints and suggestions from the
public.
7. **Postmaster's Order Book**: Contains orders and remarks by visiting officers.
8. **Letterbox Statement**: Records the status and maintenance of letterboxes.
9. **History Sheet of Computers and Peripherals**: Tracks the usage and maintenance of
computer equipment.

### Visiting Officers

The postmaster is responsible for taking action on the remarks and orders issued by
inspecting and visiting officers. The postmaster must keep these documents in their personal
custody. Inspection reports, verification reports, and special audit inspection reports are
pasted in this book, and the observations made therein should be strictly adhered to. Actions
taken on objections should be mentioned in this book, and a compliance report should be
sent to the post office.
