Complaint Letters

You and your family have just come back from a holiday staying in a rented
apartment overlooking the sea. The apartment was very unsatisfactory.
Write a letter of complaint to the manager of the agency from which you rented
the apartment. In your letter,
– give details of the things that were unsatisfactory
– explain the reactions of the members of your family
– ask the manager what he/she is going to do about the situation
You should write at least 150 words.
Dear Sir / Madam,
My family and I have just recently been a guest at Seaside Resort in a rented
apartment. Even though the view overlooking the sea was lovely, several things in
the apartment were missing or unsatisfactory and I would like to use this
opportunity to explain the problems leading to this complaint.
First of all, the wooden steps leading up to the door of the apartment did not meet
official security standards: one step broke when my husband carried our luggage
up, leaving him with a bruised leg, and two other steps were also dangerously close
to breaking apart in the middle. Additionally, when my children wanted to put away
their clothes in the available cupboards, one of the planks broke loose, hitting my
younger son and scaring both children. Finally, the kitchen did not have enough
cutlery, let alone cups, and the sink in the bathroom only worked after my husband
worked on it.
As you can see, the condition of the apartment was unsatisfactory in many ways,
and I would therefore like to ask for a discount of thirty per cent of the price we
paid for the rent. I hope this feedback was useful to you and will help to make
Seaside Resort a better place for tourists in the future. Please report back to me
regarding your plans of how to deal with this situation!
Yours sincerely,
Mrs. Angela Driftwood

You recently travelled by train on a long journey and you experienced various
problems. Write a
letter to the train company’s head office.
In your letter,
– give the details of your journey, including the date, time and where you sat
– explain the problems that happened and express your dissatisfaction
– ask about what action will be taken to improve the service
Dear Sir / Madam,
Last week on the twenty-first of May, I travelled from Rome to Berlin as a passenger
on the train Express 302, presumably under your management. I experienced
several inconveniences and problems throughout the long and strenuous journey,
and I would like to make an official complaint.
Firstly, the train was delayed one hour due to a malfunction with the doors. In
addition to this, the train had to stop several times throughout the trip for a lengthy
amount of time due to other technological problems. As a result, I arrived in Berlin
three hours later than initially planned, which drastically changed my personal
schedule. Secondly, the train was severely overbooked, and I was switched from
first class to second class, where I was made to sit among a loud and obnoxious
family. Contrary to what was advertised, there was no Internet available, and I was
unable to complete some important business. Finally, when I went to complain
calmly about the situation, the on-train personnel were unnecessarily rude.
I hope that you can appreciate that I have had a terrible experience with your
company, and I look forward to reading in your reply about what action you intend
to take.
Yours faithfully,
John Davies

A reporter complained about a new TV program that you like. Write a letter to the
newspaper editor.
- Describe your point of view.
- Say what you like about the show and why.
- Ask the newspaper to take some action.
You should write at least 150 words.
Dear Mr Bradshaw,
I am contacting you regarding the article where you unfairly criticized Top Gear,
namely Jeremy Clarkson. Understandably Mr Clarkson is not everyone's cup of tea,
however publicly complaining then lambasting him and the show is unfair. Their
difference of opinion is under no circumstances an excuse to write a letter of
complaint.
Personally I feel that the shows ingenuity largely stems from the fact that their
presenters are occasionally controversial and honest. This is unlike the modern TV
shows which are bland, politically correct and just lacking any entertainment value
for my liking.
I would be very grateful if you could in future editions of your newspaper 'The Echo'
only publish positive articles about the programme. Failing this small request could
you please refrain from any undue negative press.
Kind Regards,
B. Worthington

You are living in a University residence, and you have a problem with the high levels
of noise from a new campus restaurant which is open until midnight.
Write a letter to the governor of the University. In your letter,
• complain about the situation
• say why this is a problem
• and propose ways to reduce the noise
Dear Mr Oliver,
I am writing this letter regarding the incessant noise that comes from the new
canteen that has recently opened near my University residence. Although I am
delighted that we have this facility that offers tremendous benefits to students, the
restaurant remains open up to midnight, and as a result, there is considerable
talking, shouting, music, and the loud sound of motorbikes continuing until about
12:30 each night.
This causes me and my neighbours in the residence a serious quandary because at
that time we are either trying to sleep, study or complete an assignment. The noise
is so deafening that it is quite impossible to sleep. The sound and the commotion
disturb us and hamper our sleep at night, making us tired in the mornings or
affecting the progress of our studies or assignment. I am sure you will comprehend
that this is a very worrying situation for us all.
To prevent further complications, I would like to suggest that the campus
authorities restrict the canteen’s opening hours from 10:00 am to 10:00 pm. I
propose that we also put up some signs reminding users to be considerate and keep
their noise to an absolute minimum. I hope you would take the initiative to
implement them to save us from the nuisance.
Thank you in advance for your attention to this important matter.
Yours sincerely,
Robert Blake

You are studying a short course in another country. Your accommodation was
arranged by the course provider. But there is a major problem with the
accommodation.
Write a letter to the course provider. In your letter,
• say what the problem is
• describe the accommodation you thought you were getting
• ask the provider to solve the problem
Dear Sir or Madam,
I am Graham Neelam, a participant in the Effective Recruiting Management Course
that your university has organised. I am writing this letter to you to complain about
some inconveniences that I am facing with the room that I was allotted to stay in
during my course.
Before I joined the course, I applied for single-room accommodation in writing. I
also mentioned that I would prefer to stay near the university, not far away from
it. Unfortunately, I was given a shared room that I have been sharing with another
student for the last couple of weeks. Moreover, it is at least 35 minutes walking
distance from the building where our classes are conducted.
The room is not large enough to support the healthy living of two persons, and its
ventilation system is dreadful. Fresh air and sunlight can hardly get in. The room is
crowded with two beds, two desks, and it does not have adequate space. On top
of that, my roommate has frequent visitors who often stay overnight. It interrupts
my studies and privacy.
I thought I was getting a single room with enough sunlight and airflow and which
would not be far away from the campus. Instead, a shared accommodation was
arranged for me that has a poor ventilation system. So I would highly appreciate it
if you could arrange for me a single and large room that has a proper ventilation
system and enough airflow. The room I need should be conducive to healthy living
and serious study.
I look forward to getting your support regarding this matter. Thank you in advance.
Yours faithfully,
Graham Neelam

emerged in your apartment since the last repair.
Write a letter to your landlord.
In your letter,
• give details of the last repair work
• what the problems are now
• how you would like the landlord to solve these problems
Dear Mr Daniel,
I am writing this letter to remind you about some emergency repair works that
need to be carried out at the flat I am living in.
The last time you did the repair work in the kitchen, one of the bathrooms and two
windows was almost two years ago. The repair work was done very professionally,
and except for the kitchen, other works still look new.
However, this time, other problems have emerged, and I have detected a few leaks
in the kitchen which need to be fixed immediately. The paint has started to come
off, and I am not sure when was the last time the flat was painted. Besides, there
is water logging in the drain pipes and it is causing great inconvenience for me.
I would greatly appreciate it if you could arrange for these repairs and paint works
as soon as possible by hiring a professional service as you did before. Please contact
me on my mobile phone to make arrangements for the work to start.
Thank you in advance for your support.

country. You are not satisfied with the condition of some of the furniture.
Write a letter to the landlord. In your letter
• introduce yourself
• explain what is wrong with the furniture
• say what action you would like the landlord to take
Dear Ms Linda,
I am a tenant in one of your properties in William Street, Norwood. I am writing
this letter to bring your attention to some of the substandard furniture that you
have provided as part of our rental agreement. I am hoping that you would either
fix them or replace them with new ones.
In relation to the specifics, I live in apartment 17B with my family for the last 4
months. We were excited when we moved into this apartment but disappointed
when we found that a couple of furniture and appliances were old and torn down.
The sofa set in the living room has the worst condition. The colour of the cushion
has faded out and they are not usable. The coffee table has a broken leg. Besides,
the refrigerator in the kitchen does not maintain the desired temperature
accurately and the grocery cupboard door locks are missing. Overall, some of the
furniture and stuff you have provided are in faulty conditions.
I request you to look into this matter urgently. I recommend you kindly arrange for
the repair and maintenance of the living room furniture and replace the fridge. New
keys for the cupboard can be prepared by a locksmith. I expect your action on this
as soon as possible, as these problems are affecting our living and well-being.
Yours Sincerely,

You bought a new HD television last week. At first, it seemed to work perfectly but
after a few hours a line appeared across the TV and the sound seemed a little
strange. You cannot take the TV back to the shop so you have decided to write to
them.
Write a letter of complaint to the shop. In your letter,
• give them the background information
• describe the problem
• ask them to resolve the issue
Dear Mr Bruce,
Three days ago I purchased an LG smart television from your store. I was excited
when I bought it from your store but very disappointed to find that only after a few
hours, the product malfunctioned. I am sure it was poorly produced and I am
hoping you would send someone to my house to check it and then replace it.
In relation to the specifics of the order, I purchased a 54-inch LG smart HD TV from
your brand shop located in the Tandridge District on August 14th using my Visa
credit card. The order number is 5874210 and I am attaching a copy of my receipt.
The issue with the TV is that a black line appears across the TV screen. Though it
disappears after a while, it emerges again if the TV is on for a couple of hours.
Moreover, the sound quality is strange and it has nothing to do with the audio
settings. The TV is now unusable and I’m sure this is a manufacturing flaw.
As a solution, and because I really like the functionality of this television, I am
hoping that you will agree to send someone to my house to check it and then
replace it with a new one. Otherwise, I would like a full refund.
Thank you for giving the matter your attention and I hope to hear your reply soon.
Yours faithfully,
Isabella Evelyn

You have been living in a rental apartment for the past year. Recently a new
neighbour moved in and has been making a lot of noise, which disturbs you.
Write a letter to the landlord. In your letter:
• explain the situation
• describe why it bothers you
• suggest a solution
Dear Mr Hudson,
I am Elizabeth Beth, your tenant in apartment C1-5. I am writing to notify you of
the unbearable noise the new tenant of C1-3 is making which I have endured for
the last couple of days with patience. I am hoping that you would talk to this
neighbour and settle the issue.
I consider myself lucky to have some great neighbours and never complained to
you about any disturbance. However, the new resident on C1-3 is making life
tougher for me. They moved in two weeks ago and I am already forced to write you
this complaint letter. They have parties almost every day and play music at a higher
volume. I go to bed at around 10.30 pm only to wake up again by the loud noise
from their flat. I am not sure if this is something I should mention but the family
members have nasty quarrels and they do not keep it inside their house. I live with
a teenage daughter and a husband who are equally agitated.
I think it would be inappropriate for me to personally intervene, and that is why I
am relying on you for a solution. You should talk to other tenants on the same floor
and get to know what really is happening. You have the authority to talk to the
tenant of C1-3 and try to solve the problem. Otherwise, I would be forced to shift
to a new residence.
Expecting your cooperation in this regard.
Yours sincerely,
Elizabeth Beth

You are a student at an English language school in Brighton and are living in private
accommodation with other flatmates. You have not had hot water or heating for
some time. The landlord's workmen have tried to fix the problem but without
success.
Write a letter to the landlord. In your letter:
• state your reason for writing
• describe the problems and explain how you feel
• propose a solution and ask the landlord to take actions
Dear Mr Smith,
I am writing this letter in connection with the non-functional heating system in your
house where we currently reside in. The heating system is not working for more
than a week and a team of men came to fix it but could not do anything. I am hoping
you would call another expert team to have it fixed immediately.
I am a student at the Cherry Blossom school in Brighton and have been residing in
your flat with three other roommates for the last eleven months. As per our rental
agreement, we reported the issue to your designated workmen first. However,
they have failed to fix the problem and have exacerbated the situation by drilling
some holes in the bathroom wall, channels and the cold air freeze us in this intense
winter.
Due to the non-functional heating system, we are unable to control water
temperature, and we are compelled to heat water using gas burners for our daily
domestic use. Similarly, we can't control the room temperature and we are living
with thick winter clothes donned on our bodies round the clock. This is highly
unpleasant and obnoxious to all of us.
In order to fix the issue, once and for all, I suggest engaging a better maintenance
service agency with more skilled professionals than your current workmen. You can
find many such agencies in a newspaper's classified section.
Considering the severity of the issue, I expect your immediate action.
Yours sincerely,
Jonathan Aflex

Your neighbour keeps a pet in the garden, which causes some problems for you.
You have decided to write to this neighbour about the problems.
Write a letter to your neighbour. In your letter,
• say who you are and why you are writing this letter
• explain the problems
• suggest how to solve the problems
Dear Blake,
I am Barry Sanders, your neighbour of house 25, writing this letter to talk about the
dog that you keep in your garden. I own a dog, and you can understand that I love
pets. But your dog is causing some problems for us. And I waited for more than a
few weeks before writing this letter.
Your dog "Tom" is a nice pet, and when you are around, he creates little commotion
to disturb anybody. But you travel a lot and confer the responsibility to your friend
Hadden to take care of the dog when you are away. However, I do not think that
Hadden is doing a decent job. Tom is often left alone with no adequate food and
water, resulting in her excessive barking, which disturbs me and almost everyone
around the neighbourhood. Hadden does not even come to see the dog and refill
the food and drink pots every day. As a result, Tom barks even more in the early
morning when the food or drink pot is empty.
Therefore, I would like to suggest that you ask Hadden to come and look after Tom
every day and make sure he is taken care of properly. This will be helpful for your
pet as well as us. Please give me a call when you get back from your vacation. We
will discuss this further.
Yours sincerely,
Barry Sanders
