profile information, SAP Ariba recommends that you display your company profile information. Displaying
your company profile can help make potential suppliers feel more comfortable with doing business with your
organization, resulting in increased responses to your posting.
Company Alias
When you create a posting you can choose to hide your company name nad instead use an alias. You can enter a
brief but accurate name that maintains anonymity for your company. You might choose to indicate your company
size, region, industry, or certifications in your alias, such as “Silicon Valley Computers” or “Veteran-Owned
Agricultural Supply.” If you don't choose any name, and hide your original company name, our system defaults
your company name to SAP Business Network Discovery Buyer.
Although you can choose to use a company alias, SAP Business Network Discovery Buyer recommends that you
use your actual company name when creating postings. Using your actual company name can help make potential
suppliers feel more comfortable about doing business with your organization, resulting in increased responses to
your postings.

SAP Business Network Discovery postings enable you to solicit interest among suppliers of specific products and
services on SAP Business Network Discovery.
Structure
You will see higher quality results and more supplier responses if you clearly describe your needs. The more
information you provide in your postings, the better their responses will match your needs, allowing you to save
time managing supplier follow-up.
A posting lists the product and service categories, project amount, contract length, and the location where the
business will occur. When you publish a posting, SAP Business Network Discovery sends an e-mail inviting all the
SAP Business Network Discovery suppliers that match the specified product and service category and location to
respond, giving you access to suppliers not in your own supplier database - though you can invite any of your saved
suppliers as well.
When a supplier responds to your posting, SAP Business Network Discovery sends you an e-mail notification. When
you review the responses to your posting, you can also see the supplier’s profile. (The SAP Business Network
Discovery supplier profile includes the details of their qualifications, their average rating, and any references that
other buyer organizations may have provided after successful interactions with them on SAP Business Network
Discovery).
SAP Business Network Discovery allows you to continuously manage your postings after they have been created.
You can edit, close, copy and terminate postings,. SAP Business Network Discovery notifies suppliers when you
take action on a posting that they responded to previously.
Get the most out of your SAP Business Network Discovery postings with these guidelines.
Choose the specific product and service categories and ship-to or service locations relevant to the posting. make
sure to select all applicable product and service categories. Your posting is matched to suppliers based on the
product and service categories and ship-to or service locations you choose. Supplier matches are also determined
by the supplier preferences you choose.
Make sure you give suppliers enough time to prepare an adequate response to your posting.
Add images or attachment to help suppliers understand the need wherever applicable.
Suppliers may have put considerable time into preparing their responses. As a courtesy, provide constructive
feedback to all suppliers who took the time to respond, whether you decide to move forward with them or not.
Responding to all supplies will also help you to build a quality reputation, and provides you with a list of back-up
suppliers and potential suppliers for future projects.
Make sure to complete the lifecycle of the posting, which means move the posting to shortlisted status. This helps
the supplier to close the loop at their end

Different Actions on RFQ which move them to different tile on posting homepage
• Whenever you click on an RFQ ID from the any of the tile, they should land on the RFQ view on legacy discovery.
• Whenever you complete the action required on RFQ and click "Back", you will be landing the originating tile on
posting homepage. I.e, if you have clicked on an RFQ from open postings, back button will take you to the open
postings tile.
• When a new RFQ is created and if it is in open or preview state, it appears in the open posting tile on discovery.
• When a RFQ is manually closed or organically closed (by the system when the deadline is crossed), it reflects in
the closed postings tile.
• When a RFQ is updated as 'delete' it moves from previous state to the terminated postings .
• Response count reflects the responses from the supplier, upon clicking those or view responses on the posting,
you will land on the bids page the RFQ. The most important information to be pointed out here is that the new
responses will not be reflected as unread count but those will be reflected as total responses.
• When you partially award or fully award a supplier response, the RFQ moves from closed tile to awarded tile on.
In a fast-changing business environment, suppliers can make a large number of bids on an RFQ event. In this
scenario, it is not easy for buyers to visualize the price trend of supplier bids. Buyers can view a supplier's bidding
price trend for each line item and the currency exchange rate during the time of each bid. For each supplier, buyers
For each line-item, quote automation charts a price trend graph. The horizontal X axis on the graph shows the bid
date timeline and the vertical Y axis shows the unit price of the line-item. Each point on the trend line shows the
following details of a bid:
Buyers can compare bids on the Compare Supplier Bids page and directly split the award on this page. On this
page, buyers can compare the supplier bid for each line item using any money-based field like unit price, taxes, and
shipping charges. If there are a large number of bids, buyers can compare any money-related field like unit price for
each line item and award to different suppliers who have bid.
Example
20 suppliers have bid on an RFQ containing 15 line items. Among the bidding suppliers, supplier A has bid
with the lowest unit price, supplier B has bid with the lowest tax, and supplier C has bid with the lowest freight
charges. In this scenario, a buyer can choose to split the award between Supplier A, Supplier B, and Supplier
C. The buyer can use this feature to find the supplier who has quoted the least unit price for each line item and
award part of the business. Similarly, for each line item, the buyer can find the supplier who has quoted the
least freight charges and award part of the business.
Automatically attaching all the supplier responses in a PDF file when a buyer awards
Buyer administrators can configure a rule such that, when a buyer makes an award, quote automation
automatically attaches all the supplier bids in a PDF file, attaches it to the QuoteMessage cXML document, and
While awarding the business, quote automation displays the PDF file of responses on the Confirmation window.
Buyers can download the PDF file from this window. On the Confirmation window, buyers can use the attaching a
PDF file functionality to upload a new PDF file. Quote automation replaces the attached file with the new uploaded
PDF file. If for any reason, quote automation fails to automatically attach a PDF file, buyers can still award the
business.
Buyers can view the translated lables of the custom fields. Quote automation displays the translated labels in the
language specified in the profile of the buyer.
• You can search RFQs based on their status on different tiles on the posting menu.
• You can filter all the RFQs by selecting RFQ in type filter and integration as a source in the source filter.
• You can search with posting ID (on discovery) the search box with the exact and partial search.
• You can search with the ID of the RFQ in the tile section.
You can download the RFQ details from the Bids tab on the RFQ posting details page in feature to search for RFQ
postings. To search for an RFQ posting, use the event name specified in the cXML QuoteRequest document. On the
Bids tab, when you click the Download Event Details link, SAP Business Network Discovery downloads a CSV file
that contains all the details of the RFQ.
Buyers can download the details of an RFQ event in either a comma separated file or in a semicolon separated
file. On the Lines tab of a posting details page, SAP SAP Business Network Discovery displays a Downoad Event
Details dropdown list which displays the following two options:
You can create a report template for RFQs and run it to generate reports either manually or as per a set schedule.
You can generate the following types of RFQ reports:
Buyers can create these RFQ related report templates on the Reports page of SAP Business Network.
For each RFQ posting on the postings page of SAP Business Network Discovery, buyers can see a summary of
responses to an RFQ, for example, how many suppliers:
• are notified
This list includes direct invitation and approved match invitations to suppliers.
• have responded
• have not responded
• are not interested
This list displays the details of suppliers who have indicated that they are not interested in bidding.
A summary of such responses helps buyers take decisions such as extending the closing date of an RFQ. Buyers
can also export the supplier responses for an RFQ to a PDF file. This feature helps buyers who do not have a
software tool such as Microsoft Excel to quickly view and compare supplier responses. To export the supplier
responses to a PDF file, on the Bids tab, buyers can click the Export as PDF option of Export supplier responses
dropdown menu.
Quote automation does not display the summary of supplier responses for public match postings.
Quote automation displays the source of attachments added to an RFQ so that buyers can identify the source or
sender of an attachment, thereby enabling audit and tracking.
The following table shows how quote automation displays the source of attachments added to an RFQ:

When a buyer awards a bid, by default, quote automation generates the award in the currency in which the supplier
has bid. However, during a bid award, buyers can select the currency used when the RFQ was posted. When buyers
select RFQ currency for awarding, quote automation converts the bid values to the RFQ currency according to the
currency exchange rate in SAP Business Network
Buyers can use a buyer test account to invite test account suppliers to bid on RFQs. Buyers can also use the buyer
test account to view and perform actions in the Manage Vendors and Active Relationships pages in the Supplier
Enablement tab. Buyers can upload vendors and start the enablement process so that SAP Business Network can
send invites to supplier test accounts and create private test ANIDs.
Buyers can create a buyer test account to perform the following tasks:
Note
Once a buyer is logged into a buyer test account in SAP Business Network Discovery, the buyer cannot click on
SAP Business Network to switch to Test mode on SAP Business Network.
On the RFQ posting details page, buyers can view the details of the buyer subusers who created the RFQs. Buyers
can indicate their contact information with suppliers who may want to seek clarifications. Only direct invitations
and approved matches suppliers can view the contact details of the buyer.

Buyers can view only those RFQ postings that they have created. In large business organizations, if there are many
RFQs generated within a business unit, buyers can use this feature to see their RFQs.

Buyers can preview the list of invited suppliers before the invitations to bid are sent. If required, buyers can directly
remove suppliers from the preview list before sending the invitations.
Buyers can use a buyer test account to invite test account suppliers to bid on RFQs.Buyers can also search for
suppliers using the vendor ID and invite them for bidding. However, quote automation searches for vendor ID only
for those suppliers whose vendor IDs have been uploaded by buyers. Quote automation does not perform the
vendor ID search on public suppliers. On the Invite Suppliers page, the Search as Vendor ID checkbox is enabled
only when the Show my suppliers only checkbox is enabled.
On the Invite Suppliers page, buyers can search for suppliers within their quote groups. If a public supplier is in a
relationship with the buyer and associated with a quote group, then quote automation displays the quote groups. If
the Show my suppliers only checkbox is not checked, public suppliers in quote groups will be displayed.
By default, quote automation displays the supplier bid details in the event currency. However, when buyers
generate a purchase order, the supplier's currency is used in it. Buyers have to recalculate or convert the displayed
currency on the bid details page to understand the amount that they are paying. With this feature, buyers can also
view the supplier bid details in the supplier's currency so that they can take a decision about the competitiveness of
the bid.

Your SAP Business Network Discovery postings are matched to suppliers based on the information they provide in
their company profile.
Suppliers receive a Daily Digest email notification containing postings that match their business capabilities,
ensuring that your buying needs are exposed to the companies that are best-suited to meet them.
When a supplier responds to your posting, view their company profile to evaluate if they are a company that you
want to do business with. In addition to the product and service categories they provide and ship-to or service
locations they serve, a supplier’s company profile will give you information about their size, annual revenue, and any
certifications they might hold. The supplier might highlight past successful projects or their best consultants and
representatives in the Showcases section of their company profile, and you can generally find a link to their website
for more information. Supplier ratings and any references they have received also appear on their company profile.
Buyers can search for suppliers using fuzzy search capability by checking the Enable fuzzy search checkbox on the
Sellers tab. By default, this checkbox is unchecked. With fuzzy search functionality, for example, you can type a
misspelled name and SAP Business Network Discovery will display results which are relevant to the words.
Fuzzy search capability in SAP Business Network Discovery provides relevant matches only when the maximum
edit distance is two characters. For example, if you want to search for KOMATSU, and you enter KENATSU as the
search term, the matched search result will show KOMATSU. However, if you enter KENFTSU as the search term,
the matched result will not show KOMATSU because the edit disctance is more than two characters.
Contact suppliers on SAP Business Network Discovery to ask them questions or request clarification on their
responses.
You can click Contact Supplier on a supplier’s public profile page to send them a direct message. When contacting
suppliers, make sure you explain why you are contacting them, and what information you would like them to
include to ensure you receive an accurate and complete response. This safe and secure method of communication
conceals email addresses of inquirers.
Supplier responses
A supplier’s response to your SAP Business Network Discovery posting is the first step to fostering a new business
relationship.
SAP Business Network Discovery makes it easy to see when you have received new responses to your postings by
displaying an orange indicator next to the Postings tab. The number displayed in orange indicates the number of
new responses you have ready for review.
When you view response details, you have the option to award the supplier or let the supplier know that you are not
interested in their response.
On the View Supplier Bid Information page, SAP Business Network displays the currency conversion rate between
the buyer's currency and the currency in which supplier has bid. You can use the conversion rate to decide the
competitiveness of a bid before making a decision to award the business to a supplier. SAP Business Network
uses the currency conversion rate to display the values in your currency. For example, if your currency is in
Dollars and supplier has bid in Pounds, on the View Supplier Bid Information page, you can view the latest
currency conversion rate provided by SAP Business Network. SAP Business Network calculates the values in
Dollars according to the latest currency conversion rate and displays on the View Supplier Bid Information page.
Note
By default, SAP Business Network displays the exchange rate daily using the data from a Bloomberg feed. The
exchange rates are gathered by Bloomberg from multiple pricing sources. However, if buyers specify a currency
exchange rate, it overrides the currency exchange rate provided by SAP Business Network.
Quote automation displays five digits after the decimal point while displaying the currency conversion rates in
suppliers' responses. This feature helps the buyers to specify the amount in purchase orders more accurately.
Quote automation also displays the reverse currency conversion rate.
Example
• Save Seller: Save the supplier’s profile to your saved suppliers list.
• Export Response Details: Download a file containing the response details.
• Select Winner: Award the business to the supplier. In this context, awarding does not explicitly award the
business to the supplier. When you award the supplier, the supplier is shortlisted, and an email notification is
sent to the supplier.
As a courtesy, provide constructive feedback to all suppliers who take the time to respond to your postings.
Buyers can select bidders for an RFQ posting and compare the bids. You can choose which bids to compare
and specify the fields that you want to compare and analyse to make an informed decision before awarding the
business to a supplier. For example: you can compare bids on the basis of parameters such as payment terms,
taxes, or shipping cost.
While comparing bids, for each selected supplier bid, quote automation displays total bid value and total cost for
each line-item. When you hover on the total applicable tax value for each supplier bid, quote automation displays all
the taxes that are included.
Buyers can see the list of invited suppliers who have indicated lack of interest to bid on an RFQ. When buyers create
an RFQ event with a set of invited or approved suppliers, this feature helps buyers know the list of uninterested
suppliers and the reason why they are uninterested. For example, suppliers may not be interested to bid if they
cannot supply to the required location, or if the product category does not match.
Buyers can also configure a QuoteMessage flow rule that when enabled, sends a QuoteMessage cXML document
to the ERP system whenever an invited or approved supplier indicates that they are not interested in bidding. The
QuoteMessage cXML document also includes the reason why the supplier is uninterested.
On the RFQ posting details page, SAP Business Network Discovery displays the Not Interested Suppliers(s) link,
which you can click to view the list of suppliers who have rejected the invitations to bid.
Sample Code
When a bid is rejected at the header level, the header section of a quote message cXML document contains the
RejectionReason extrinsic with the reason for lack of interest. For example:
Sample Code
<QuoteMessageHeader>
<Extrinsic name="RejectionReason">Wrong ship-to or service location</Extrinsic>
</QuoteMessageHeader>
You can ask suppliers questions about their responses directly from their responses to your postings. SAP
Business Network Discovery sends the supplier an email notification that contains a copy of your question, and
your questions can be tracked on the Messages tab.
When the supplier responds to your question, you can reply to them from the Posting Response page or the
Messages tab.
When buyers split an award, for each line-item, quote automation highlights the supplier who quoted the lowest
unit price. If more than one supplier quotes the same lowest unit price and the same quantity for a line-item, quote
automation highlights all the supplier bids and buyers have to manually correct the bid to whom they want to
award the business. However, if more than one supplier quotes the same lowest unit price but the quantitities are
different, quote automation highlights the bid by the supplier who bid for the maximum quantity.
While awarding, buyers can add attachments to the bids. This helps buyers substantiate or document why a
particular supplier was awarded. The attached document can be helpful in auditing and compliance. However,
buyers can add only one attachment while awarding.

Supplier ratings
You can rate suppliers on a scale of one (poor) to five (excellent) based on the experience you had working with
them in your postings. You can rate suppliers from the posting they participated in, on the Ratings tab, or from the
Rate Seller email notification. Once a posting reaches its end date or is closed early, an email notification is sent to
you, from which you can rate each supplier that responded, without logging in to SAP Business Network Discovery.
If you give a supplier a rating of four or five stars, you are prompted to provide them with a reference.
Here are some important things to keep in mind about supplier ratings:
• You can only rate suppliers with which you have interacted.
• You can only rate a supplier once per posting, even if the supplier submits multiple responses to the same
posting.
• A supplier’s average rating appears publicly on SAP Business Network Discovery. Individual ratings ar e only
visible to the respective parties.
• Ratings are permanent. You cannot withdraw your rating after you submit it and suppliers cannot hide or
remove ratings. However, you can change previously submitted ratings at any time to reflect the resolution of
issues that may have led to a low rating. Abuse of the rating system and other issues should be reported to SAP
Ariba Customer Support.
Supplier references
References are used by suppliers to highlight and promote their company to potential buyers on SAP Business
Network Discovery. When a supplier requests you to provide a reference, SAP Business Network Discovery sends
an email to the primary contact of your account. Suppliers may also choose to include a brief message explaining
the reference request.
After you accept an invitation to become a reference, your comments appear in your supplier's profile and are
visible to all users. Your contact information is not included with your reference. However, potential buyers can
request your contact information from the supplier for independent verification. Suppliers can approve or decline
the request to view your contact information. When the supplier approves the request, your contact information is
made available to the requestor. Suppliers can choose to delete your reference at any time.
