Notes - Weekly Scheduling Business Process
Note No. Note
The Planner must ensure that backlogs are well-maintained and managed, with input from
1
Operations and Maintenance supervision
Where possible, forecast absences which are recorded on a maintenance calendar or stored in
2 HR or other databases should be frequently copied to the maintenance computer system and
must be kept accurate to support the scheduling process
Shutdown manpower requirements and dates must be known, in detail, 10 full days before the
3
start of the schedule week
The priority work list should include only those work orders for which all materials and other
4
resources will be available during the schedule period
There may need to be considerable discussion among schedulers and central support supervisors
5
to balance central and shared resources
The scheduling meeting must include key Operations and Maintenance supervision, as well as
6
other area trades schedulers, such as electrical
7 Conflicts for central resources may change as each area develops its own schedule
The supervisor should make preliminary trades assignments and the scheduler should develop the
8 detailed schedule. For plants or areas with low (<80%) planning and scheduling of work done, use
priority lists only at this stage and assign individual trades on daily work schedules
9 The preparation of the detailed draft schedules may take 2-3 hours for a large crew
The revised schedule should make adustments for trades assignments, access to process
10
equipment and the availability of central support services
11 The final schedule must be approved by both Operations and Maintenance supervision
Schedules must be posted in key operating and maintenance areas, and copied to support crews
12
and to the Storeroom
The Storeroom must begin staging materials so that no work is delayed when the next week starts
