 Functions and Formulas


What is a column?
-A column runs vertically. Columns are identified by letters.
There are sixteen thousand, three hundred and eighty-four
columns (16,384 columns), starting from A to Z and then AA to
XFD.

What is a row?
-Rows run horizontally across the worksheet. Ranging from 1 to
1,048,576. A row is identified by the number on the left side of
the row, from where the row originates.

What is a cell?
-Cells are small rectangular boxes in the worksheet where we
enter data. A cell is the intersection of a row and column. It is
identified by a row number and column letter.

What is cell reference?


-A cell reference is the column letter and row number that
identify a single cell. Example: A1, B2.

What is the Selected Cell called?


-It is called the active cell.

What is the name box?


-The name box will display the cell reference of the active cell.

What is the formula bar?


-Displays the content of the active cell, and it is also used to edit
a cell.

What are adjacent cells?


-They are cells that are next to each other.

What is a range?
-A range is a selection of two or more cells; a group of cells that
are adjacent.

*Cells that are not adjacent you have to use a comma to join
them.

What are formulas?


-Formulas are mathematical statements used to calculate values.
In Excel all formulas must begin with an equal sign (=).
Arithmetic Operations that can be used in a formula:
-Exponentiation ^
-Division /
-Subtraction -
-Multiplication *
-Addition +

What does a function require?


-A function requires data, called arguments, to perform its
calculation. (G1: G3) <--------- this is the argument.

Function List:
-SUM
-MAX
-MIN
-AVERAGE
-DIF
-COUNT
-ROUND
What does the SUM function do?
The SUM function adds the value of the cells in the range.

Structure of Functions
formula = B3 + B4+ B5+ B6+ B7+ B8
function = SUM (B3: B8)

=SUM (B4, B5, C4, C5, D4, D5, E4, E5) {this is wrong because
it's too long.}

The correct ways are =SUM (B4, B5: E4, E5) or


=SUM (B4: E4, B5: E5)

Maximum- Highest; most.


Minimum- Lowest; least.

=MAX (D3:D8) [can only work like this if they are adjacent]
=MIN (B3: B8; E3: E8) [non- adjacent working]

What does the AVERAGE function do?


-It adds the values of the cells in the range and then divides the
result by the number of cells in the range. For example,
=AVERAGE (E10: E15) sums the values in cells E10, E11,
E12, E13, E14 and E15 and then divides the total by 6.

What does the MAX function do?


-it determines the maximum value in the range of cells. For
example, =MAX (B2: B26) displays the maximum (largest) of
all the values in the range B2 through B26.

What does MIN function do?


-It determines the minimum value in the range of cells. For
example, =MIN (C18: F18) displays the minimum (smallest) of
all the values in the range C18 through F18.

What does the COUNT function do?


-It determines the number of cells that contain values. For
example, =COUNT (C1: C8) displays the number of cells in the
range C1 through C8 that contain values.

What does the ROUND function do?


-It changes a value by rounding it to a specific number of
decimal places:
=ROUND (C16,1)
*C16 is the value to be rounded*
*1 is the decimal places. *
If the value stored in C16 is 42.851, the rounded result will be
42.9.

What does a cell with an invalid formula display?


-It displays an error value and a green triangle in the upper- left
corner of the cell.

Other Common Error Values Include:


#DIV/0- The formula is trying to divide by 0.
#REF- The formula contains a reference that is not valid.
#NUM- A numeric value is invalid, such as a value that is too
large or too small.
#VALUE- The formula is using the wrong type of argument.
####- The result of the formula is too wide to fit in the column
or the result is a negative time or data value.
What is range?
-Is a group of cells that are adjacent to each other. In the range,
you state where the first cell is then the last cell is separated by a
colon.

What is a colon?
A colon (: ) is used to separate the first cell reference and the last
cell reference in the range.

 Charts
What is a chart?
-A chart is a visual representation of worksheet data.

Explain how charts can simplify the understanding of numeric


data.
-A chart can enhance and simplify the understanding of
numerical data in a worksheet because the relationship between
data is illustrated.

What is a data series?


-A data series is a set of related numerical data plotted on a
chart.

How will a chart be affected if a value in a data range is changed


on the worksheet?
-If a value or label in a data range is changed, the chart
automatically updates.

What does the legend correspond to?


-It corresponds to the category labels in a pie chart and series
names in other chart types.

What are categories?


-A category is the division of data within a series.

What is the Plot Area?


-Plot Area is the part of the chart that displays data.

List TWO locations a chart can be placed:


-As an object in a worksheet
-Moved to a separate sheet in a workbook.

How many series of data can a pie chart include?


-One series of data.

What does a pie chart use to represent values?


-It uses “slices”.

What is the first step in creating a pie chart?


-Select the data range to be charted.
There are three types of charts:
-Pie Chart
-Bar Chart
-Line Chart

All charts must have:


-Title
-Legend
-Data Label
-Plot Area/ Chart Itself

 PowerPoint
What is a slide transition?
-A slide transition is the way one slide changes to the next in
Slide Show view.

List the steps required to add a transition to all the slides in a


presentation.
-To add a transition to all the slides in a presentation,
Click Animations-------> Apply to All to apply the selected
transition to the entire presentation.
What is animation?
-Animation is a visual effect in which objects appear to move.
Text and objects can be animated to move onto the slide in
various ways.

List the steps required to animate the text on slide 2 with the
Fade All At Once animation
-Click the text and then Click Animations-------> Animate to
display a list. Select under Fade, All At Once.

What are three tasks that can be performed in the Custom


Animation task pane?
-It is used to apply animations, click remove to delete animation
from the selected item, click change to apply a different
animation or modify additional options, such as the motion path.

Where is the transition icon displayed?


-It is displayed next to each slide in the slides tab or below each
slide in slide sorter view.

What is a transition icon used for?


-To preview the transition on the displayed slide and display a
Screen Tip with the name of the transition
