1.2. Topic for Professional Internship Report
Students select one topic relevant to the practical business operation of enterprises
and the objectives of the Professional Internship period. The topic needs to be approved
by the Instructing Lecturer and the Company’s Instructor.
Some topics recommended for the Report:
+ Analyzing one specific operational or business process of the Company;
+ Operational process of International Marketing Activities;
+ Operational process of Export-Import Contract Execution;
+ Operational process of Export/Import goods Forwarding by sea/air mode of
transport;
+ Operational process of Export/Import goods Forwarding by sea transport with
02 container shipping methods: LCL and FCL;
+ Operational process of Export/Import goods Forwarding by multimodal
transport
+ Operational process of International Sale of goods;
+ Operational process of International Purchasing/Procurement;
+ Process of warehousing management in Export-Import practice;
+ Process of fulfilling customs formalities;
+ Process of drafting and forwarding documents;
1.3. Outline of Professional Internship Report
INTRODUCTION: Expressly stating reasons (rationale) for the selected
Topic (minimum: 01 page in the case of Freshmen). The content capacity
must be presented in at least 10 pages in the case of Freshmen, size A4
paper with the following items:
CHAPTER 1: OVERVIEW OF THE COMPANY FOR INTERNSHIP
+ Introduction regarding the general information of the Company (Name,
Address, Tel, Fax, Email, History of Establishment, Operation and Development,
etc);
+ Fields of business activities (Sectors; Industries; Fields of Production and
Business);
+ Company’s organizational structure (Presenting in organizational diagrams;
Stating the specific functions/tasks of each individual department/division from
the highest level (Board of Management; CEO; Director) to the lowest level
(Department/Division);

+ Analyzing the Personnel situation of the Company according to various
criteria: Gender, Specifications (Degrees, Diplomas; Certificates; etc), Seniority,
Personnel structure of each individual Department/Division, etc;
+ Analyzing business operation performance of the Company in the 03 latest
years (Students can use diagrams, graphs or tables to present the statistics;
Analyzing the management meaning and implications behind collected
determining statistics like costs, revenue, profit, etc).
CHAPTER 2: ANALYZING THE OPERATIONAL PROCESS OF THE
COMPANY (ACTUAL SITUATION OF BUSINESS PERFORMANCE
OR SPECIFIC AREA/ISSUE OF THE COMPANY)
- Use diagrams to describe the operational process of the Company
(adding detailed descriptions/explainations to each step/node/line/object
in the diagrams);
- Analyzing relevant parties/subjects (actual situation analysis)
- Analyzing steps of the operational process (or activities);
- Analyzing determining factors of the operational process/activity
(simply depending on actual situation and qualitative analysis and
focusing on micro-environment of the Company) or of the business
performance;
- Strengths and Weaknesses of the Company/Actual
Situation/Operational Process;
CHAPTER 3: RECOMMENDATIONS AND SOLUTIONS
- Proposing some recommendations and solutions depending on the
analysis of actual situation/operational process in Chapter 2;
- Other recommendations and solutions.
CONCLUSION
- Briefly and concisely summarizing the Report’s contents;
REFERENCES: Only allowed to include actually cited and referred
materials in the Professional Internship Report. Guidance on references: As
guided at Paragraph 1.4 (Sub-paragraph 1.4.2.5)
APPENDICES: Pictures, Tables, Graphs,… collected and recorded in the
Internship Period.

- Font: Times New Roman size 13 of Unicode (compulsory)
- Normal word density, not allowed to narrow or widen the normal distance
between words.
- Format/Paragaph /Line spacing: 1.2 lines
- Page Margin: Top margin: 3 cm; Bottom margin: 3.5 cm; Left margin: 3.5 cm;
Right margin: 2 cm
- Header: No information; Footer: Page number (on the bottom left corner of the
page)
(Not allowed to write down the Name of Instructing Lecturer in the Header and
Footer)
- Left Margin of a page of Table demonstrated with the Landscape Orientation
(Page Layout) will be the beginning point of that Table. Numbering the pictures,
graphs, diagrams and tables with the Justified (Center) Format.
1.4.2.2. Sub-paragraph
Not allowed to number Paragraph and Sub-paragraph in Roman Numerals. Only
allowed to number them as follows:
E.g. Chapter 1
1.1
1.1.1
Chapter 2
2.1
2.1.1
Each Paragraph must contains at least 02 sub-paragraphs (e.g. Paragraph 2.1 can
not have only sub-paragraph 2.1.1 without sub-paragraph 2.1.2 demonstrated
subsequently).
1.4.2.3. Tables - Diagrams
Numbering tables and diagrams must depend on the number of the Chapter
containing those tables and diagrams.
E.g. “Picture 3.4” is the 4th Picture in Chapter 3.
1.4.2.4. Abbreviations and Acronyms
Not allowed to over-use or abuse the abbreviations and acronyms in the Report.
Only allowed to use them in the case of frequently-mentioned words, phrases or
terminologies. Not allowed to make the abbreviations and acronyms of long or seldom-
mentioned word phrases and clauses. If needed, right after the first time mentioned of full
original words, phrases, terminologies or names of organizations, write down the
abbreviations or aconyms in brackets. If there are a considerable number of abbreviations
and acronyms in the Report, a list of them is required to be demonstrated and placed (in
the alphabetical order) at the beginning of the Report.
1.4.2.5. References
References are exclusively and separately demonstrated, numbered and arranged
by each individual languages (Vietnammese, English, French, German, Russian, Chinese,
Japanese,…). Materials in foreign languages must be cited in the original forms and not
allowed to be translated and phonetically transcribed including ones in Chinese or
Japanese (In the case of scarcely-used languages, Vietnammese translation accompanying
the original materials is allowed).
- References numbered depending on the alphabetical order of the Authors’ names
as follows:

+ In terms of foreign authors: Following the alphabetical of their Last Names.
+ In terms of Vietnammese authors: Following the alphabetical of their First
Names but keep the original order of their Vietnammese Full Name. Not allowed to place
First Name before Last Name.
+ In terms of materials published by organizations/institutions (not specific
individual authors): Following the alphabetical of the first word in the Name of that
organization/institution, E.g. “General Statistics Office of Vietnam” begins with “G”.
- References are required to contain the following information:
+ Name of authors or publishing organizations/institutions;
+ Title of the books, Thesis, Journal, Articles,etc (in Italic format);
+ Publisher;
+ Publishing Location;
+ Year of Publication.
E.g. Nguyễn Văn A, Nguyên lý quản trị, NXB Thống kê, TP Hồ Chí Minh, 2006
If the references are Theses or articles in Journals/Books, etc, the following
information is required:
+ Name of authors;
+ "Title of the Article" (in quotation marks, not in italic format, comma after
the Title);
+ Volume (No spacing);
+ (Number) (in bracket, comma after the bracket);
+ Page numers of the Article (dash between the beginning and the ending
pages, full stop).
+ Year of Publication.
1.4.2.6. Appendices
- This part contains essential contents demonstrating, consolidating and supporting
the main contents of the Professional Internship Report like statistics, tables, schedules,
actual documents, pictures, etc.
II. STUDENT’S DUTIES AND DEADLINE FOR SUBMISSION OF INTERNSHIP
DOCUMENTS
1. Execute and perform well the tasks assigned by the company, ensure the principle
of confidentiality of information according to the company's regulations, show the
serious, positive and devoted manner for the work assigned;
2. Building a personal brand during the internship period;
3. Abide by internal rules of the company during the internship period, in the cases
of being absent from work intern students have to apply for permission and receive
the approval of the instructor at the company;
4. Build a good relationship with the employees and customers of the company of the
internship period;
5. Enthusiastically participate in activities and movements at the company; Take
advantage of these opportunities to learn and obtain experience;
6. At least twice a month, intern students are required to meet to receive the guidance
of the instructing lecturer (according to that lecturer’s arrangement and schedule,
report the work at the internship company via email and ask the instructing
lecturer for comments at least once a week);
7. In the cases of damage to property or damage to the company, intern students
shall be completely liable for compensation;

8. If negative feedback about intern students reaches the faculty such as lack of sense
of discipline, poor responsibility spirits, etc. Faculty will first investigate the
reasons, if the those feedback is proved to be true, Faculty will refuse to recognize
student’s internship results and that student has to communicate with other
internship companies without the support of faculty and complete professional
internship reports on schedule;
9. Complete the internship report with adequate quality and deadline regulated:
a. Time for completing the report (with signature and seal of the internship
company): According to the annual internship plan;
b. Documents submitted for the Faculty includes:
1) Internship Diary: As the sample form of the Faculty, students write down
information during the internship perod, certified by the internship company
(functional department or relevant department, stamped (at least 01 time) at the
end of the internship period)
2) Marking form (for the Company): As sample form of the Faculty (receive the
evaluation results form the internship company)
3) Professional Internship Report: 01 hard copy, following the guidance and
regulations stated in Part I
