ONE MINUTE GUIDE


Safeguarding Implications for Staff

What is ... CPOMS?

Child Protection Online Management System (CPOMS) - is a secure way to log and
manage safeguarding and child protection recordkeeping and to document the
relevant workflow.

How to log an Incident?

1. If you become aware of a child protection concern, open the CPOMS link from
Firefly. Then click “Add Incident” (top right of the CPOMS screen).
2. Fill in the form from the top downwards.
3. There are 2 sections labelled “For DSL use only”. Please leave these blank.

What to include in an Incident report:

1. State why you are concerned.


2. Give details of the concern or the incident - including names of other students
involved, names of other staff who are aware of the concern.
3. Use the student’s own words where possible.
4. Be factual and specific. Ensure names and other details are accurate.
5. Include the child’s response to being informed that you need to report your
concern to a DSL.
6. Photographs, screenshots, pdf documents etc can be uploaded into CPOMS
to support an Incident report.

What to avoid:

1. Subjective statements or assumptions.


2. Questions or requests for action to be taken.

After completing an Incident report

1. Your Incident report will be immediately flagged to the DSLs.


2. The DSLs will decide on an appropriate Action based on your write up.
3. The DSL may come and speak to you for clarification or to discuss the Incident
further.
4. It may be the case that you are assigned an Action. This will come as an email
with a CPOMS alert. Please ensure that you log into CPOMS using your 2FA
Authenticator so that you can read the Action message.
5. The DSL may also decide not to include you in the subsequent Action.
