CONSULTANCY SERVICES
At Uzirpur, Barishal.

The services to be performed and rendered by the consultants are included in


but not limited to the Scope of Services and the Remuneration for the
consultancy services has been proposed in the next chapter followed by the
scope of consultancy services. We hope that the Client will go through all
these and express their views and comments on this proposal and accept this.

A. SCOPE OF CONSULTANCY SERVICES

A-1 General scope of service

The Consultants shall render architectural and engineering services to plan,


design and managing the works. The Consultant’s services shall also include
the location and site studies, design and rough estimate of internal
utilities and other related drawings.

A-2 Summary of scope of works

a) Study of the site, recommendation on layout of the proposed work including


sub-soil investigation necessary for foundation design.
b) Preparation of architectural plans and designs for works
c) Preparation of Computer generated 3D Perspectives.
d) Preparation of detailed structural designs & drawings.
e) Preparation of Working Drawings for construction.
f) Preparation of Electrical and Plumbing drawings.
g) Preparation of Mechanical and firefighting detail drawings (for large
buildings only).
h) Preparation of Detail Landscape drawings. (for large buildings only).
i) Preparation of Specifications of materials (if Sophist is liable to
construction management).

B. PRE-DESIGN ACTIVITIES

B-1 Site analysis and visual survey of Site

The consultants shall conduct detailed investigation of the site and its
environment; hold discussion with the Client to determine the project’s
current and future requirements. The Consultant who will form the basis for
the next phase of activities will prepare consolidated minutes of meeting
with the Client regarding project requirements.

B-2 Project Brief
The consultant will discuss with the client regarding project requirements to
prepare the project brief. On finalization of draft project brief the
Consultants will present the concepts and exchange views with project
personnel regarding the project requirements and will accommodate the outcome
of the discussion before submission of the same to the Client.

C. DESIGN ACTIVITIES OF THE CONSULTANTS

C-1 Design phase

a) On completion of survey, site analysis and sub-soil investigation and


after getting approval of the Project brief, the Consultants shall prepare
plans showing the proposed layout of the buildings, internal roads,
facilities etc. for the site.

b) The Consultant shall prepare necessary architectural drawings in


sufficient details to reflect the Client’s requirements of the project
works, project briefs leading to preliminary design of various project
items for construction and approval of the Client and make such changes as
may be requested by the Client.

c) Typical outline floor plan of the buildings showing the functional


arrangement of spaces.

d) Typical sections of different part of building including the foundation.

e) Elevations of the buildings showing the architectural feature as


appropriate.

f) The drawings will be prepared on the following scales or as considered


appropriate:

Floor plans- 1” =8’-0” or any suitable scale

Typical sections- 1” =8’-0” or any suitable scale.

g) The Consultants shall prepare the estimated construction cost based on the
current market rates.

h) 2 (two) sets of all reports, plans, drawings, architectural briefing,


preliminary cost estimate etc. will be submitted by the Consultants to the
Client for review and approval.

C-2 Design Development Phase

a) The Consultant shall prepare from the approved design studies, the design
development documents consisting of plans, outline specification, to fix
and illustrate the size and character of new buildings, site development
and other external services etc. for approval of the client and make such
changes as may be required.

b) On approval of design development documents, the Consultants shall prepare


detailed cost estimates of the same and submit it to the Client for
obtaining necessary approval.

c) The consultants shall submit 2 sets of drawings to the client.

C-3 Construction Documentations and Working Drawings

a) The Consultants shall prepare from the approved design development


documents working drawings, and the materials, workmanship, finishes
required for mechanical, electrical, air-conditioning, sanitary, roads,
drainage, and sewerage system, water supply, firefighting security etc.
and external engineering and utility services work including site
development works and the necessary detailed estimate for the same.

b) 2 set of working drawings and other documents for the work shall be
submitted to the client for review and comments.

Remuneration of design and consultancy services will be fixed as a package which
includes all related design and determined by Taka per square feet, but landscape is
determined by package rate.

(In word: Two lac seventy five thousand taka only)

- All the drawings and will be in readable scale.


- 2 (two) sets of drawings will be submitted.
- No amount includes any Govt. fees.

E. PAYMENT SCHEDULE:
Tk 1,50,000/- With the work order/acceptance.
Tk 1,25,000/- On submission of Full set.

F. COST FOR EXTRA SERVICES:

Extra copies of all documents sets (each technical set)3,000 Tk/set

Top supervision / supervision: mutually decided

Top supervision and monitoring on request Consultant will visit and supervise
the project. Supervision charge shall be given as soon the visit is complete.

TERMS AND CONDITIONS:

- Client will undergo through a written form of agreement for payment


schedule after having clear understanding of the services offered and that
will act as valid reason for service continuation.

- Each submission (drawings/docs/others) must be received by the approval
signature of ‘client’ and it will give the confirmation of the delivery
acceptance.

- All the drawings will be emailed to clients so that if there is any


confusion arises in acceptance the record of received mail will clarify the
issue.

- Any type of work or services, which is not mentioned here, will be treated,
as extra and special fees appropriate to the circumstances are chargeable.

- Project Drawings which are finally approved shall not be changed unless any
unavoidable reason occurred, if any the condition for the consultancy will
re-estimated.

- Sophists Architect’s liabilities for the project are limited as the


‘Architectural Consultancy’, and any construction related liabilities will
not be carried out if the ‘delivered drawings’ are not accurately followed.

- Contractor related liabilities will not be undertaken by the Sophists


Architects if the client employs them on his/her behalf.

- If the client observes or otherwise becomes aware of any fault or defect in


the project due to drawings he will give prompt written notice thereof to the
consultant or email to consultant.

- Drawing and specifications as instruments of service are and shall remain


the property of the consultant whether the project for which they are made is
executed or not. They are not to be used on other projects or extensions to
the project except agreement in writing and with appropriate compensation to
consultant.
