Section 1 Integration Overview

1.1 Purpose

Alumni System is a web-based tool that serves as a communication channel

between former students and the school, college, university, or institution. An Online

Alumni System is a web-based program that aids universities in keeping track of

former students and tracking them for future endeavors. The greatest asset any

Institution can have is the Alumni system. This is a web based application that allows

former students to take advantage of the benefits and services that an Institution

offers after graduation.

The main purpose of this project is to keep the alumni updated to the school

and have a contact with them to see what are the achievements they have done and

maybe they can give help or offer jobs to their fellow alumni since we have a job

offer page to the information system. The Alumni System is one of the basic

problems of Pateros Technological College. Managing alumni of the institution is a

hassle due to the fact that they do not have a system that handles everything.

Though PTC has a Facebook group for its alumni, it still is not as good as having an

alumni system that has everything from updating new and old alumni of the

institution to communicating with them in the best way possible.

1.2 Business Context

This business Context will benefits the graduated students of Pateros

Technological College and also the following:

The faculty, It will be beneficial to school officials. When the school's alumni

are needed, the administration can quickly discover and track them down, and the

records can eventually be utilized for accreditation purposes. It will also more

effectively promote the schools and alumni's welfare and interests.

The Alumni, the current state and status of the school will be known to the

alumni. This system will also motivate them to keep in touch with the school and

other alumni.

The Students, this will help students to be knowledgeable about the students

before them. Also this will help them in finding suitable jobs, access knowledge from

the alumni, connecting with each other and to be inspired by them.

The administration, this study will help the administration to have a good

relationship towards its graduates. This is also a big help in raising funds and

donations, and for good mouthing for the school’s reputation.

Future researchers, this study will help future researchers to use as

references and guide in conducting research and review of different processes about

the Alumni Information and Tracking System. Future researchers would be able to

make a comparison of the practices of other

1.3 Scope

The system admin can sign up on the alumni system's registration form. His

data will be entered into the system’s database so that the admin can see all those in

the system and manipulate the data.

Teacher’s Module

Teachers can use this system to reconnect with their former students. They

can also use this system to upload photos and job opportunities.

Student’s Module

Students can interact with past students and ask for advice, training sessions

or topics for their thesis or even job descriptions.

Section 2 Integration Strategy

1. Design

a. Alumni Association’s record tracking operates manually.

The system will be designed according to the information that needs to be input to

the program to have less paperwork.

b. Time Consuming in retrieving particular information for viewing and for

maintenance purposes. The system will help the user to retrieve the information they

need with less hassle, and also, it can help the expert to find the information they

need about the alumni.

c. Unsecured file storage of Alumni Information. Having a manual operation of

keeping the Alumni Information data is very tricky. The system will secure the data

that needs to be kept.

d. Difficulty in finding employment records of Alumni. For investment purposes or

any kind of program, the university can easily find the current employment records of

Alumni in the system.

2. Create

We will be using PHP language and MySQL for databases.

3. Test and Improve

Functionality

Its functionality allows the user to create their account and customizes the

information regarding their status in life that enables the alumni to see how their

classmates have been professionally. There is a gallery that displays the images of

the previous events of the school. A school’s calendar of activities can be seen in the

portal to update the alumni for the upcoming event. The email address will be used

for validation once they forgot the password of their account.

Usability

The users of the portal are those who graduated in Pateros Technological

College. Incoming graduates will be given an account for their Alumni portal before

the graduation day that they can access through the internet outside the school

vicinity. Alumni will be asked to provide information (such as email, contact address,

phone number, etc.) that will be used in creating their account. A valid email address

should be provided as a validation if they lose their account or forgot their password.

Reliability

The portal will be safe and secured since the Pateros Technological College

Alumni can only see the information a user uploaded in their account. There will be

restrictions in customizing the information of the account. It should be valid and

formal information.

4. Evaluate

Functionality

Its functionality allows the expert to create an account (user or expert

account) and customizes the information regarding the status in life of the both user

and fellow expert. The expert can access everything, like changing the password of

the user for security purposes, deleting information or bad information/pictures that

the user inputted.

Usability

The system will be very usable to the expert especially that they are the one

who’s using the manual operation of keeping the information of Alumni Information.

The system can lessen the time of their work, and also less paper around the office

area.

Reliability

The portal will be safe and secure not for the user only but also for the expert

because the system has a dual input of password

Maintainability

The system can maintain all the information because it will be saved in the

database. It is stable because the information that is put in it can be retrieved using

the database. The specification is well structured and it also allows for code updating

and reviews for the upcoming expert user.

Portability

The system is adaptable to work on different computer systems. It can adapt

to move across environments, not just across platforms Efficiency The system is

efficient because it has ability to produce something with a minimum amount of effort

and time of experts and competency in performance unlike the manual tracking of

alumni students.

Section 3 Impact Assessment

An example of a web application that falls within the information systems

category is the Online Alumni Tracking System. It aids an academic institution in

keeping track of its graduates. It also makes it easier for alumni to communicate with

the university over the internet. It also keeps alumni informed about the institution's

newest developments and planned activities. This program is easily accessible over

the internet, which will be very valuable to alumni since it will allow them to stay in

touch with the institution even if they are unable to visit the school. This tool might be

especially beneficial for alumni who are currently living overseas because it allows

them to stay in touch with their peers and the university. This software is also handy

since it eliminates the need for paper in transactions and processes. Computers

have now penetrated every facet of our civilization. One of the main technical

mechanisms for future transformation is most certainly the computer. It may now

easily simplify and lighten our labor. Without the computer's software, this wonderful

thing will be useless. Software is a general word for structured collections of

computer data and instructions. It is usually divided into two types: system software,

which provides the computer's fundamental non-task-specific operations, and

application software, which is used by users to do specific tasks.

As defined by Zwass (2014), the information system is an integrated set of

components for collecting, storing, and processing data and for delivering

information, knowledge, and digital products. There were series of activities that

were carried out in the development of Online Information System and these actions

applied the waterfall approach of the System Development Life Cycle (SDLC) in

which there is clear definition of the stages. With the application of the

waterfall approach, phases are processed and completed one at a time.

Advantages of Computer-Based Information Systems

According to Davies (2013), computers have changed corporate efficiency by

automating computations used in transactions and account management during the

last several decades. However, as these sophisticated gadgets continue to

revolutionize the way we do business, the benefits of computers in businesses are

also expanding beyond job efficiency. Stay ahead of the curve by utilizing the most

recent advances in computer-based information systems. Customers who do not

have access to computers can contact you via phone, fax, or postal mail, or by

stepping in the door. They can contact you via email, Facebook, and other social

media sites, as well as your website, if they have access to computers. They are

able to leave comments on your blog and participate in consumer surveys.

Contacting your clients allows you to discover what you're doing well, where you can

improve, and what they want. As more individuals utilize mobile devices to access

the Internet, this ease of contact is expected to grow.

Section 4 Data Conversion Plan

The Pateros technological college alumni information system is a web-based

website that allows graduates of this school to communicate with the school's

alumni. It also has a second system, the Pateros technological college alumni

tracker, which tracks alumni information and allows alumni to grant access to the

system.

Chat, job posting, forum gallery, and events are the modules for this system.

If alumni do not register initially, they must first utilize the PTC tracking system to

convert the two systems. After then, you must register to track. Now you can use the

alumni system, but you'll need to create a new account and get approval from the

administration before you can access the main system.

The tracking may be used to keep track of the number of alumni and students

in the school, promote the alumni information system, and lastly connect with each

other's crew.

Section 5 Phase 1 Integration

Our two existing systems are combined together to integrate, “PTC Alumni

Information System”, and “Alumni Tracking System”. These two systems are both

focusing on the school’s alumni and future alumni. The following are the things that

users can do to our integrated system:

Create Account to Login: If you’re alumni of Pateros Technological College, you

might consider using this system as we want all of you to keep updated on the

happenings within the school. Once you’ve created an account, the admin of the

system will verify you if you really are an alumni of PTC. Then you are now able to

access the features of the system.

Home Page: Every time you log in your account, the home page is the first page that

you will see. Here, you can see the basic information of the school (Mission/Vision

and Available courses, hymns etc.)

Alumni: In this page, you can see the other accounts that already exist on the

system. This is similar to the other system that we integrate but that system is more

expanded and detailed compared to this one.

Gallery: In this page, you’ll be able to see the photos and videos that other alumni

posted on the post page. These are the compilation of images about events and

happenings of the school.

Post: This page is the social media part of this system. Alumni can post anything

about them or they can offer jobs or share anything about them to inspire their fellow

alumnus.

Forums: In this page, they can read some exclusive announcements and read some

updated happenings on the school.

Edit Profile: Of course, just like the other social media platforms, alumni can edit

their profiles if they want to.

Job: This is an important page, alumni can post job offers (not that fully information,

they can just contact them using the other platforms like via SMS, email, or

messenger to deeply talk about it). In the end, this is an alumni focusing system not

a job offer website.

Chat Feature: This system has a real-time chat feature wherein alumni can chat

with other alumni.

Section 6 Implementation Strategy

Describe the implementation strategy for the application.

We, the team, strategize and discuss what we should do.

1. We're trying to figure out how to put our first system together.

2. We're working on integrating the alumni system with a tracking system.

3. We split our knowledge into two categories: system support and documentation.

4. The Alumni Tracking System is the result of the merger of two systems.

We, the programmers, carry out our objectives and plans. We speak with one

another and have sufficient time to complete this project.

We want to keep track of alumni students. We guarantee you that the system

performed flawlessly, and the data storage we have is just what we need to complete

our system.

The software that we used is Subline text and Xampp (MySql).
