Case Study Review
Case Study Recap
Phase 1: Preparing for Change
Phase 2: Managing Change
Recap
Problem Statement: Microsoft Engineering teams onboard over 20,000 new hires each year. There was an untapped potential to
work across 6 Engineering Organizations to create unified solutions to common problems. There was no single entity to handle this
and no sponsor to create such an entity

Key Decisions Rationale

• Seize the collaboration opportunity and begin without a • Multiple Engineering groups were individually tackling
several similar challenges (related to defining their
sponsor programs, tooling decisions etc.).
• Prioritize Stakeholder Analysis • Handling key problems in a unified way enabled creation
• Identify data analysis and communication requirements - of standard solutions to use company-wide with fewer
resources.
and choose the best fit technology with lowest adoption
barriers Challenges
• Lack of sponsor
• Resource (people) availability
• Time - collaboration requires
more time
Phase 1 – Preparing for Change
• Prosci®+Project Management = "Change Mgmt Lite" as an
iterative process
• Short time, fast action, no sponsorship = MVP
• Outline and explain the change = Charter
• Identified stakeholders = v-Team
• Data-driven decisions, communication = Tools
Known risk: No executive sponsor in foreseeable future
Phase 2 – Managing for Change
• Risks: Time, Resources, Funding, Scope
• Change readiness: all stages represented at start
(NOT a bell curve)
• "Silent" change management; embedding in
processes, adopting audiences' language,
leveraging Rhythm of Busines, channels,
technology
Case Study Review
Phase 3: Reinforcing Change
Peer Responses
Phase 3 - Reinforcing Change (In Progress)
• MVP success: We’re all driving in the same direction
• Leveraging technology strengths
• Collecting feedback, identifying gaps, calculating risk
• Bringing awareness to the role change management played (ADKAR)
• Identifying the system/structures to maintain change (Prosci®)

Known risk: Still, no sponsor. What should we do?
