1. How can I update my Name in Onboarding?
• Your name in Onboarding is available from the information that was furnished as
part of your Hiring process.
• Please reach out to your recruiter for further assistance to make any changes

2. How to accept offer?


Please login in to the Onboarding portal and click on the “offer status form” to accept the
offer.

3. What should I do if I'm unable to edit the pre joining forms?


• Please clear browser cookies, caches and try using a different browser preferably
Internet Explorer (IE).
• Please drop mail to [email protected] with screen shot if the
issue persists

4. How should I enter details in pre joining forms?


You can enter details in the Pre-joining forms by following the below steps:

2) Search for Onboarding app
3) Click on Onboarding app
4) Click pre joining tab
5) Update required details in all forms
6) Read the forms, disclaimer(s) and Sign wherever required using the
Authentication key available in the Welcome Mailer

5. What should I do if there is an issue with page not loading?


Please try the below troubleshooting steps
1) Close all Internet Explorer (IE) tabs and open a new one.
2) Open IE->Tools->Internet option >> General tab -> delete->Uncheck preserved
website favorite data ->Delete 3) Content tab -> Clear SSL state ->OK 4) Close
Internet options.
5) Start->Run->%temp%->delete temp files 6)
Refresh IE and try logging in again.
NOTE: Kindly try accessing with IE browser (Internet Explorer) using Desktop/ Laptop for

6. What should I do if I'm unable to login to the portal?


• Please try to change the password using the Authentication key available in the
Welcome Mailer.
• Please drop mail to [email protected] with screen shot

7. Why am I unable to upload my photo?


If the photo collected during the interview does not meet the cognizant standards, we will
notify you and you will be able to upload the photo.

8. How to access the Pre Joining Forms?


• Please open the onboarding portal to click the pre joining tab for accessing the
forms.
• Click on the submit/ start now button under the actions tab to open the form

9. How can I Save/Submit Pre joining Forms?


• Sign the forms using the authentication key that is prepopulated and the try to
submit.
• The authentication key can also be found in the welcome mailer.
• In case the issue persists please drop mail to 1COnboarding- [email protected]
with screen shot.

10. What is the procedure to complete the Pre joining forms?


• Please open the onboarding portal to click the pre joining tab for accessing the
forms.
• Click on the submit/ start now button under the actions tab, fill the forms in
sequence, sign it using the authentication key and submit the form on the last
page.
• You will be having Reset, Save, Submit buttons as below in last page of your form.
• Please submit the form by clicking submit button to complete the other list of
forms.

11. Who can be updated as nominees in pre joining forms?


• You can add Parents/Spouse/Guardians with appropriate propositions as
nominees.
• Address details and date of birth of nominee should be updated.
Note: Please do not include any special characters
12. What are the guidelines on uploading photo for ID Card?
Photograph should be in formal wear, with employee facing camera in such a way that
his/her face is clear & both ears are visible
1. Background for photograph should be “Dark Grey”
2. Photograph should be a recent one, taken within last three months
3. Photograph should be in .jpg, .gif, .png, or .bmp format.
4. Photograph size should be of 40 mm X 38 mm (vertical X horizontal)
5. Person with headgear or any item obscure their face shall be rejected, except for
those who wear headgear as part of their religious belief
6. Photograph with sunglasses/spectacles using tinted glasses shall be rejected, use
plain spectacles when being photographed

13. What should I do if my access is denied?


Please try the below troubleshooting steps
1. Close all Internet Explorer (IE) tabs and open a new one.
2. Open IE->Tools->Internet option >> General tab -> delete->Uncheck preserved
website favourite data ->Delete Content tab -> Clear SSL state ->OK
3. Close Internet options.
4. Start->Run->%temp%->delete temp files
5. Refresh IE and try logging in again.

16. Why am I unable to access pre joining forms?


You can access the Pre-joining forms by following the below Steps:
1. Click on the link- https://onecognizantexternal.cognizant.com?type=1
2. Search for Onboarding app
3. Click on Onboarding app
4. Click pre joining tab

Please note that if you have been moved to post joining, you will not be able to access
Pre-joining forms anymore.

17. What should I do if I am unable to accept the DOJ as the button is not working?
• Please clear the cache and try using the recommended browsers.
• The recommended browsers are Microsoft IE (7.0, 8.0, and 9.0), Google Chrome
and Mozilla Firefox.
• Please ensure that Pop blockers should be disabled

18. How to digitally sign the form?


Please use the Authentication key shared in the Welcome mailer to digitally sign the Pre-
joining forms.

19. How to complete registration to access prejoining? Please follow steps mentioned in the
welcome mailer

20. What is the procedure to request for a DOJ change?


• On first time offer acceptance you have an option to request for a DOJ change
immediately after offer acceptance in the Onboarding portal.
• If the above stage is crossed or if you face any difficulty in requesting DOJ change,
please reach out to the recruiter
21. Where can I request for a change in compensation or location?
Please reach out to your recruiter through email, there are no options in the system to
request for these changes
22. How can I update my registered mobile number?
You can edit your registered mobile number in personal details form anytime until DOJ

23. How to update the previous submitted details?


• You can edit most details in Onboarding until your DOJ except for Aadhaar, PAN
and Photograph.
• If you have already submitted these details (Aadhar, PAN and Photograph), you
cannot update them until there is a notification sent from Cognizant end.
• Please reach out to the BGV support team in case of any query

24. What should be done if valid details of previous employment supervisor are not
available?
• You should have these details updated as the information is mandatory to proceed
the BGV.
• Please reach out to your HR department of previous organization to get the
respective POCs

25. How to Reset the Password?


• Please reset the password using the authentication key (16-Digit alpha numeric
number) by clicking on forgot/reset password option.
• You can login to the portal post 15 minutes from the time of resetting the
password.

26. Why am I unable to navigate to the document upload page?


• Please click on the data-time line section. Request you to fill all the details (highlighted in
red on top of the page) and save the section.
• You will be able to proceed further with the documents upload section post the same.

27. How to update the other address tab in the BGV portal?
• Please add the address details from the Address tab of the component toolbar and update
the same for the remaining/actual tenure (<Tenure>) with no gaps in between.
• Please note that the start date of any address should be the same as that of the end date
of the previous address, if you have stayed in different addresses during the tenure.

28. Why are deleted components still available in data timeline?


Even if the components are deleted, they will still reflect in data timeline

1. Steps to start the onboarding process:

The concerned SPOC (Recruiters) of yours will be sending the action required mailer/welcome mailer
and it has below contents.

We are pleased to offer you a role in Cognizant. To facilitate your integration into Cognizant, please
follow the instructions given below and access our onboarding portal where you can accept the offer
and submit all the pre joining forms online!

INSTRUCTIONS TO ACTIVATE YOUR ACCESS TO THE ONE COGNIZANT PORTAL:

STEP 1: Click here to access the registration page.


• Copy the registration link address from the welcome/invitation mailer
• Open a new Incognito Window on Chrome / In Private Mode window on Internet Explorer

• Paste the copied URL on to the address bar

STEP 2: Once the page loads, enter your personal email address provided/it will prepopulate and
proceed.
STEP 3: Create a Password and click on Next.
STEP 4: Verify your registered email address by entering the Code sent to your registered email
address.
STEP 5: Complete the CAPTCHA by typing the characters carefully into the box given.
STEP 6: Click "I Accept".
STEP 7: Choose to verify your credentials through Phone or Authenticator app.
Option 1: Authenticate via Phone:
• Enter the code received through text message or call and proceed
Option 2: Authenticate via Microsoft Authenticator App
• Install the Microsoft Authenticator App
• Scan the QR code in the Login page using the button in the Authenticator app

• Enter the Verification code generated once the scanning is complete and proceed

NOTE: If you have an existing Microsoft account on this email id skip the registration step and login
with your password.
Reset Password: Click Here to reset your password. Only registered users can reset the password.
PERSONAL AUTHENTICATION KEY:
Our portal is designed to enable you to submit digital signatures, using a unique authentication key.
Once you log in to the portal successfully, please use the unique authentication key given below,
when submitting your online forms.
Authentication Key: 9393C8E27017685B
* After completing the registration process and having accepted the offer via the Onboarding portal
proceed to the Pre-joining formalities.
* This Username & Password is confidential, all documents are to be uploaded by you and sharing of
login credentials with anyone (including recruiters / vendors) is a breach of data privacy and you will
have to take full ownership of the details entered there

PRE-JOINING FORMALITIES

Please note that we would require all your education and employment documents to initiate your
background verification (BGV).
STEPS:
a. It is mandatory to complete the BGV and Pre-joining formalities and upload the documents
immediately.

b. Please have a scanned copy of your documents in PDF format only, ready for upload on the
onboarding portal

• The permissible size per document is 5MB

• Click on the link to upload

• Once the documents are uploaded please click on the submit button

NATIONAL SKILLS REGISTRY (NSR IT PIN):

Cognizant has made Nation Skills Registry (NSR), registration a mandate. Therefore, we request you to
complete the registration using the URL https://nationalskillsregistry.com/ within 20 days on receipt
of the offer letter. If you have an NSR ITPIN number, kindly share it with your recruiter.
A HR representative will reach out welcoming you to Cognizant and briefing you on the next steps for
smooth onboarding. In case of any queries, you may also write to us with the screen shot of the error

2. How to accept the offer?


• After logging to the 1C onboarding portal, go to “Review & Accept” tab & accept the offer.
• Then login after 1-2 hours to complete the “Global Associate Privacy Notice Form”.

3. As per the recent EPFO rules on Aadhaar & UAN details the below details to be mandatorily cross
verified?

Kindly verify Demographic details (Aadhaar Number, Name, DOB, Gender) by downloading latest
Aadhaar and cross check the same with Member Profile in EPFO portal.

DOB in latest Aadhaar must be in DD/MM/YYYY format.


4. The list of mandatory steps required for successful onboarding process after accepting the offer:
Background verification:

• First step is background verification to complete filling data timeline of your personal
information, education (10th, 12th, UG & PG details), employment (if any), Gap Reason and
Address Required (if any) & KYC documents & Second Step to Upload all mandatory documents
requested in the portal.
• For Example:
Either Form16 or PF Statement – (Non-Availability of Form 16) or HR Email
Confirmation from company mail domain – (HR Confirmation on Non-Availability of Form 16 &
PF Statement) can be uploaded in the portal

Pre-joining Formalities:

• There would be 17-22 forms which would be required to be completed for the successful
completion of the onboarding process.

Note:

Ensure that both background verification & Pre-joining formalities are shown completed in
the portal.

5. When will the Onboarding pass be generated?


• Based on BGV clearance (on basis of document submission) and Pre-joining completion, the
Onboarding pass will be generated 3 days before the DOJ automatically.
Example: if candidate DOJ is 23/12/2022, pass would be getting generated between 20/12/2022 –
22/12/2022.

6. What is the list of mandatory KYC Details?


• The mandatory KYC documents for Indian Nationals are Bank account details, Aadhar number, PAN,
Passport/Voter ID.
• The mandatory KYC documents for Other Nationals are Passport details.

7. How to Upload the PF/UAN details?


Current/Previous/Last PF details can be updated in the personal details form.

• Regarding PF expansion please check with your current organization / pay slip or check it in the
ESEVA portal.
• Latest active PF account no should be updated with the active UAN no.
• Kindly Log in to EPFO/UAN Portal at Member Home and click on View->Service History.
Example: Member ID - XX/XXX/1234567/000/7654321

XX – 2 alphabets Represents Region Code


XXX – These 3 Alphabets represents office code
1234567 – Establishment Code. Maximum 7 Characters.
000 – Extension
7654321 – Account Number. Maximum 7 Characters.

8. Why am I unable to see post-joining forms?


Post joining tab will be enabled after onboarding in the cognizant portal

9. What steps to be followed to ensure UAN number is linked with current organization?
Please refer to the help document in Personal details form under PF section.
10. Unable to login into one cognizant portal?
Request you to clear browser cookies, caches and try using a different browser

11. How to Reset the Password?


• Request you to reset the password using the authentication key (16-Digit alpha numeric number) by
clicking on forgot/reset password option.
• You can login to the portal post 15 minutes from the time of resetting the password.
12. What is NSR IT PIN?
• It is National Skill Registry Pin for all employees including fresher’s
• NSR pin is your identity. (Just like your pan card or passport)
• The very purpose of registering for the NSR is to make sure one employee works only for one
company at any given time

13. How to apply for NSR IT PIN?


• You need to check the nearest NSR Registry in your locality.
• The list of POS is available in the website.
• Please check in the NSR Registry link provided in the email.

14. How to update the other address tab in the BGV portal?
• Request you to add the address details from the Address tab of the component toolbar and update
the same for the remaining/actual tenure (<Tenure>) with no gaps in between.
• Please note that the start date of any address should be the same as that of the end date of the
previous address, if you have stayed in different addresses during the tenure.

15. Unable to navigate to the document upload page?


• Please click on the data-time line section. Request you to fill all the details (highlighted in red on top
of the page) and save the section.
• You will be able to proceed further with the documents upload section post the same.

16. Component on the data timeline?


• Click on the education tab to update education details (10th, 12th, UG & PG details)
• Click on the employment tab to update the employment details (Current & Previous employment)
• Current employment (Candidate currently working/relieved In 45/60/90 days should be considered
as current employment)
• Previous employment (any employment experience before cognizant)

17. What are the document to be uploaded in the portal?


• Please click on the documents section. Request you to upload all the documents requested with a
mandatory mark (*) and submit the section.
• Please be informed that you will be able to submit the section only after uploading all the mandatory
documents.

18. What is Letter of Authorization(LOA)?


How to fill Letter of Authorization (LOA)?
• The Letter of Authorization-Background Verification is a self –declaration form about the documents
you are sharing with us and your consent for initiating your verification process.
• Please download the Letter of Authorization, fill it (Full Name, Father's name, Age, Complete current
address & Date), sign it manually with date (current date) and upload it again.

Note: Once you complete updating details in the data timeline page and completed in uploading
of the documents in the portal, request you to click on the submit button enabled in the right
bottom corner.

19. What are the Id proofs that are required to be uploaded?


• Request you to upload the below listed id proofs
• Pan card (Front and back page)
• Passport (Name and Address page)/ Self-Attested passport acknowledgement receipt
• VoterID (Front and back page)

20. If College name or University name is not reflecting in the UG/PG/Diploma dropdown in
background verification tab?

Kindly provide the college / university details in the below format & send it to
[email protected], so that we will work with the concerned team on updating
the institution names in the portal.

21. I have updated address for 7 to 10 years in permanent/ current and longest stay address still the
error remains in Data timeline?

• Kindly update the details highlighted in checklist tab.


• Ignoring the address provided in Current/Permanent/longest, you need to add the address for the
mentioned tenure by clicking + address tab shown in below screen to get the task completed, post
completing all the task proceed to document upload verification tab to upload the documents
22. I have already uploaded identity documents in Identity tab of the documents upload page then
why should I upload it in Database section again?

Database and Identity are two different checks on the BGV app. Therefore, we insist on uploading
documents in both the sections

23. I have semester wise mark sheet, but the app does not allow me upload the documents one by
one?

Please collate all the mark sheets into one PDF or consolidated marksheet. Compress the size to
less than 5 MB and then upload in the BGV app. The BGV app overwrites the previous document
uploaded

24. Our college does not provide consolidated marksheet. What is an alternative? The same is marked
mandatory
All semester marksheet can be consolidated as one PDF and uploaded in the app or if already
uploaded in “Semester wise marksheet" section, then the same can be marked Unavailable.

25. Is the name mentioned in the offer as per the passport/schooling document?
If no, drop a mail to Recruiter by mentioning the correct First Name, Middle Name &
Last Name to make necessary corrections

26. How can I update my registered mobile number?


You can edit your registered mobile number in personal information section under
“Background Verification” tab.

27. How to access Background Verification tab?


Login to One Cognizant portal, accept your offer under "Review & Accept offer" tab.
Post accepting the offer, request you to re-login to the portal after 1 hour & select
“Background Verification” tab.

28. What will I do if the Passport validity is expired?


Please mention the passport availability as "No" in personal information section or Please renew
the passport and update the revised Expiry date in the portal.

29. My UG/PG details are getting rejected and requested to update correct tenure, but I mentioned
dates as per documents?

Kindly update the correct academic tenure as per education


(For example, BSC - 3 years /BE - 4years/Diploma-3years then B.E will be 3 years of tenure)

30. What if the Country, City & State is not reflecting in Education, Address, Employment & Passport
fields in Background Verification tab?

Please clear browser cookies, caches and try using different browser. Request you to enter in this
order as, Country, State & City and proceed further (for example- type first two letter of country
then select from the dropdown). If still the issue persists, request you to share the screenshot of
the error to
[email protected].

31. How do I update current employment & previous employment?


• Current employment – if you are currently working/relieved in 45/60/90 days should be considered
as current employment.
• Previous employment - If you are holding service/experience letter (Above 60 days).

32. I am not able to move to next section as the relevant experience mentioned in the Background
Verification tab is greater than my total experience:

Drop a mail to Recruiter to make necessary corrections in offer letter which will reflect in
Background Verification tab.

33. How to update the gap address in Background Verification tab?


Please click on Background Verification tab and request you to provide the gap reason with the
complete residential address details and click save & submit button.

34. Are there any criteria to upload documents?


All documents should be in a PDF format, less than 5MB size. Clear & Uncut scanned copy of
complete documents (For example- Semester wise marksheets can be merged in a single PDF file
and upload)

35. Is Form 16/ PF statement/ HR Email Confirmation from company mail domain – (HR Confirmation
on Non-Availability of Form 16 & PF Statement) mandatory for overseas employment?

Form 16 or PF statement is not applicable for Overseas candidates hence mark it as


unavailable with reason.

36. If Form 16 or PF statement is not applicable?


Please share the details in the company letter head/email from the official mail ID of the concern
employment with the details such as Tenure, Designation of the candidate and Reasons for no PF
deduction. Please upload the same in Form 16 column.

37. How should I upload PF statement in Background Verification tab?


First three months & last three months statement, merge into a single PDF and upload in the PF
Statement column under “Background Verification” tab.

38. In what format do I upload the ID proof in the portal?


Pan card in a PDF format, Passport- Name page & Address page merge in a single PDF format or
Voter ID- Front & Back merge in a single PDF format & upload, as the system replaces the latest
uploaded document.
39. Does not have Passport?
Can upload Voter ID (Front & back in single PDF format) or passport paid acknowledgment receipt
in the absence of passport. We may validate and come back if additional documents are required
for project specific Background Verification.

40. How to digitally sign the form?


Please use the Authentication key shared in the Welcome mailer to digitally sign the Pre-joining
forms.

41. Does not hold any saving or current account?


Please open a new Saving or Current account. Enter the details in the personal details form and
upload the Cheque or Passbook in the portal.

42. Which name and address should be mentioned while filling PF details in personal details form?
Name- Candidate Name & Address- Current office address.

43. How to fill Aadhaar self- declaration form?


Fill the Name and Aadhaar number as per the Latest Aadhaar card.

44. Who can be updated as nominees in pre-joining forms?


You can add Parents/Spouse/Guardians with appropriate propositions as nominees. Address
details and Date of Birth of nominee should be updated.

45. How to fill relocation assistance form?


• Relocation to (address) – Please enter the city name.
• Contact Person name – Please enter your name
• Survey Date – Give a convenient date (select future date).
• Contact Person Number- Please enter your contact number

46. What are the criteria to upload the Photo?

Request you to upload the photograph as per the below criteria in the portal.

• Photograph should be in formal wear, with employee facing camera in such a way that his/her face

47. How do I change details in Pre joining forms after completion?
Click on “Your Day 1” option in Welcome Center page and update or modify any forms before
joining.

48. What all are the mandatory Documents during onboarding session?

• For tenured candidates – Onboarding pass, Relieving letter/Experience letter/Resignation


acceptance mail from last employer, Any Government ID proof (Aadhar/PAN/Passport/VoterID).
• In case of Fresher –Degree or Provisional Certificate, Onboarding pass, Any Government ID proof
(Aadhar/PAN/Passport/VoterID).

49. Following DL’s to be reached in case of queries:

50. Filing of E Nomination in EPFO (UAN Member Portal)

In compliance with the directions received from the Employees’ Provident Fund Organization
(EPFO), it is very important for Provident Fund members to submit their e-Nomination in the
Universal Account Number (UAN) Member Portal. E-nomination empowers your family members
for smooth access to social security benefit in a very convenient way without visiting EPFO offices
physically. Hence, please ensure to file the E Nomination. Please ignore, if done.

51.How to Fill PF account number in the Personal details form under Pre-joining tab?
Please refer your PF number and update based on the given sample format - Region code-MH,
Office Code-BAN, Establishment ID-00XXXXX, Extension-000, Account Number-0XXXXXX and Date
of Joining- Please mention Current Employment Date of Joining, Non contributory period- Please
check with your Current Employer.

1. Component on the data time?


• Click on the education tab to update education details (10th, 12th, UG & PG details)
• Click on the employment tab to update the employment details (Current & Previous
employment)
• Current employment (the employment which you are currently working/ relived prior
45day from the current date)
• Previous employment (any employment experience before cognizant)

2. What is Letter of Authorization?


• The Letter of Authorization-Back Ground Verification is a self –declaration form about
the documents you are sharing with us and your consent for initiating your verification
process.
• Request you to download the format from the upload section of the One Cognizant
portal, sign it manually with date (current date) and upload it again.

Note: Once you complete updating in the data time line page and completed uploading the
documents in the portal, request you to click on the submit button enabled in the right bottom
corner.
3. What is AFP?
• AFP- This is the form collected for criminal check.
• Request you to download the form from the upload section of the One Cognizant portal,
sign it manually with date (current date) and upload it again.

4. Details in data timeline are updated ,however still the checklist shows error
• Please ensure the details are submitted.
• This error occurs when the details are saved but not submitted. Click on the edit option
[a pen like symbol available at the right top of the components added (education,
employment etc.)] then select submit which will be available at the Right bottom end of
the details.

If the error doesn't clear by following the above issues. The reason can be some of the details
are yet to be added (Like education, employment, address, GAP or Overlap)

5. How to add education and employment details?


Click on the Add education, Add employments option available under the Component Tool box.
Component toolbox will be available right below the Personal details of data timeline page.

6. 7 years address details are added but still there is an error with the data timeline checklist
• Ensure there is no gap between the added address details, Even a 1 day gap will cause
error. In this case please amend the dates accordingly.
• If the details are find but the error is like the 7 years address details not provided,
please check the provided address covers last 7 years address details ( for example: If
your DOJ is by 09/09/2019. the Address details should be provided from 2012 to
09/09/2019).
• Also ensure the details are submitted

7. Please complete mandatory information for employment(s) - employment name. What to be


done to clear this error?
• Please ensure that all the mandatory details on the previous and current employments
are provided.
• You can check this by using the edit option on the right top of the filled details
(education/ employment). The edit option will look like a Pen symbol at the right top

8. Access denied error when logged into BGV portal?


This error occurs when your email address is not active with us/ your employee ID with
cognizant has been created, In this case please drop mail to [email protected] with a
screenshot of the error.

9. Is fingerprint required for AFP form?


Finger print is not required for AFP
10. What is the code to be filled in AFP form?
The code available in AFP form can be left blank by candidates
11. What is NRIC?
• NRIC- National Registered ID Card
• This is the document to be submit as part of ID check.
• Documents are (Pan Card/ ID card/Photo ID card/ driving license).
• If you are an Australian candidate (Medicare card/ Photo ID card/Driving license).
12. What is transcript?
Transcript is also known as consolidated mark sheet which all the semester mark sheets. If the
same is not available with you, ensure to upload semester wise mark sheet / Degree certificate
with student ID number
13. Where could I find the LOA document?
The blank LOA document will be available in the Document upload session of BGV portal. You
can download the form, fill in, sign manually and upload the same
14. Shall I submit NPC certificate in the place of AFP?
Yes you can upload the NPC certificate which should be within 3 months
15. What is CPF?
CPF- It is called as Central Provident Fund. Which gives the history of companies worked. This is
the document which is available for Singapore candidates. Other country - please upload
respective Pay slips.
16. How to submit the document upload page without uploading the mandatory documents - In
case of the documents are not available?
• In the document upload page, under the action column you can find a checkbox which is
available to mark the document as unavailable.
• Post you mark a document as unavailable it will take you to the submitting process.
17. What is GAP reason? What to enter?
• Gap reason will be requested if there is more than 6 or more than 6 months gap
between your education / employment.
• In this session you need to enter what you were doing in that time period, either
searching for job/ freelance/part time job.
• Ensure any full time employment/Education is not added in the gap reason.
18. What is the address detail to be updated in the GAP reason ?
Under the address detail of GAP reason, you need to enter the address you stayed in that gap
period
