STATEMENT OF THE PROBLEM


General problem
The manual process of tracking procured goods has become one of the factors that causes delay
and have to spend a lot of time and effort when it comes to procurement. This manual process
becomes a tedious and a repetitive process, with a huge scope for human error.
Specific Problem
1. The manual process of tracking purchased order is considered outdated and slow
for modern institution.
2. Retrieval of records and generating report of goods or services
takes a lot of time.
3. Mislocation of documents for procured goods might happen.
4. Tracking the status of purchase requisition is unknown until it was delivered.

METHODOLOGY
Developmental Model
This study will use the Agile Development Method to create the system. Agile Development
Methodology provides opportunities to assess the direction of a project throughout the
development lifecycle. In “the agile” approach wherein the whole process of the system is
development is divided into different phases, every aspect of the development, requirements, and
design is continually revisited throughout the lifecycle.
To produce the proposed system, the following procedure will guide all of the activities involved
from the original investigation to the finished application.

1. Preliminary Phase – This phase will entail conducting interviews, internet browsing, and
observation at the study's location to obtain relevant data and information for the design and
development of the proposed system.

2. Analysis Phase – Following the initial phase, the acquired data will be analyzed, examined,
and correlated. The information gathered will be put to good use, particularly in the designing
the system.

3. Design Phase – The researchers will use the information acquired in the previous step to
develop and design the system's flow and operation.

4. Development Phase – in this part of the study, the actual system will be develop.
5. Testing Phase – The real system has been constructed, the total system has been tested,
problems have been resolved, and the system has met the quality requirement and has been
installed locally.

6. Evaluation – the system functions properly and that there are no problems encountered while
using the system.

SCOPE
This study is primarily concern with the design, development, and implementation of an
automated procurement tracking system. The system will serve as a document store, tracking
platform, and retrieval platform for documents regarding procurement. The system will allow
authorized members of organizations specifically the CSU Carig to access documents
electronically.
