Delivering an effective presentation

1 Presenting styles:

1.1 Memorizing:

Memorizing a presentation works if you are committed to presenting the same


thing regularly. One could gain credibility from delivering a memorized
presentation because he/she will sound natural, self-confident and smooth.
1.1.1 Drawbacks:

One has to concentrate so hard to remember words and key-terms that the
delivery style starts to sound unnatural.

The results can be disastrous as you start trying to remember the next part.

1.2 Reading the script:

This presentation style has to be avoided as much as one can. It gives the
impression that you are just a messenger delivering someone else’s content. It
gives the impression that you do not know enough about the topic you are
presenting.
It is acceptable to read part of your presentation if it is a quotation making it
clear to the audience.
1.2.1 Drawbacks:

Unnatural- inability to adjust the language in accordance to the audience.

1.3 Conversational and natural speech:

This presenting style requires the use of cue cards that assist the speaker with
pre-prepared cues that hold the main bullet points, notes and transitions that you
need in order to deliver the presentation. This style creates more of a less formal
setting between the speaker and the audience with practice and rehearsals.

Cue cards enables the audience to stay involved in the process of presenting, the
speaker also keeps eye contact and maintain a natural pace. Using cue cards
shows that you are someone who owns the information and is knowledgeable
about it. It also enables to use time appropriately.

2 Developing a persuasive delivering style:


2.1 Voice :
2.1.1 Four things to avoid while presenting :

Droning: it refers to speaking without varying the pace of delivery. It makes


one’s speech boring even if the subject matter is interesting.

Aural punctuation: it refers to the insertion of “err” and “ahh” or “emm” at the
end of each sentence.

Hesitation: it is something presenters need to avoid. It shows the person’s lack


of knowledge and then decreases your credibility. Hesitation is caused by
uncertainty. Make sure you are familiar with the topic first.

Verification: most presenters tend to use right? Okay? At the end of each idea to
make sure their audience are following and grasping what they are saying.
However, it becomes tiresome. Instead, keep making eye contact with your
audience to make sure they are following or ask questions and involve them in
the discussion.

2.2 Body language:

Body language is very an important part of any presentation.

Personal space: it refers to the area surrounding the individual presenting to


which others should not venture uninvited. One should avoid standing too close
to the audience.

 Four things to consider:


 What to do with your eyes: eye contact should involve everyone, vary who
you look at. Through eye contact, you could get a feedback on what the
audience thin of you.
 What your facial expressions indicate: keep a friendly smile, this boosts
the creation of a friendlier atmosphere that reduces stress.
 The positioning, movement of your body and hand gestures: the ideal
stance is with your feet close to each other and your weight evenly
distributed on them.
Two stances to be avoided:
-The negative passive stance: adopting an unbalanced position, leaning on
one leg with arms crossed. This implies lack of eye contact, a nervous vocal
style, and lack of confidence.
- The negative aggressive: involves standing uncomfortably close to the
audience, with hands on hips, it is associated with an arrogant and close-
minded attitude. It is an intimidating style, often used by authority figures.

2.3 Rehearsing:

- Continual practice, criticism and revision. It could be self-criticism or at a


later stage performing before colleagues and asking them to evaluate your
performance.
- Rehearsing could be done by individually. One can video his or her delivery
to review the performance and then modify the delivery.

- Rehearsing could also be done within a group of people, who give feedback
through criticism and evaluation.

2.4 Reading the audience:

-Reading the audience’s body language can help you to modify the pace of
your delivery to keep as many people on board as possible.

- It can help you find out who is in agreement with you, who is opposing
your point of you, and who has yet to decide.

2.5 Retaining control:


 One of the best ways to make sure you retain control is to getting prepared to
questions.
 If any disruption occurs, there three options to follow:
o Simply reiterate your position as firmly and confidently as possible.
o Acknowledge the question, saying that there is insufficient time to
answer it properly now.
o Respond directly to the challenge with some sort of counter argument.
Never allow yourself to drawn into an argument and avoid appearing
arrogant or unconcerned.
o Plan well to the question and answer session so to leave a good
impression and avoid loosing your credibility in front of your
audience.

Key points:
 A persuasive delivery style involves a mastery of voice, body language,
and eye contact.
 Make effort to eradicate any verbal mannerisms one may have. These
include droning, aural punctuation, hesitation, and verification.
 Try to avoid becoming rooted to the spot. Move a little bit around to
keep peoples’ attention.
 Make plenty of eye contact.
 Make sure that your overall tone is appropriate with the message.
 Read your audience’s body language to generate feedback about your
performance.
 Remember that a good and answer question session leaves a lasting
impression that the presentation was important and relevant.
 Importance of the venue: get familiarized with the setting in which you
are delivering the presentation before performing it before your
audiences.
