Implementation of a New Information System

Explain how leveraging an IS solution can help Soleil Panel Distribution achieve operational

efficiency.

Implementing an Information Systems (IS) solution such as SolDistHR will greatly

improve operational efficiency inside Soleil Panel Distribution. A system like this can help you

streamline numerous elements of your organization, resulting in better production and cost

savings.

To begin, an IS solution centralizes data and procedures, allowing employees throughout

the organization to access information in real time (Hearn & Rix, 2019). This accessibility

speeds up operations like management of inventory and processing of company’s urgent orders.

It also allows for projects to be clinically scheduled by reducing individual data entry and the

possibility of errors during data uploads. As a result, daily company tasks and activities will

improve significantly.

Explain how business process management (BPM) can help the IT department in the development

of SolDistHR.

During the development of SolDistHR, Business Process Management (BPM) may greatly

assist the IT department by providing a dependable framework for managing and optimizing the

software's development lifecycle (Ghelani, 2022). BPM aids in the definition of detailed and

necessary processes, workflows, and documentation, ensuring that the IT staff strictly follows the

right and the outright best practices all while being aligned with the company's goals. It allows

IT professionals, stakeholders, and end users to coexist and work together in a rather

collaborative manner, improving communication and shortening development time. BPM also

enables the company’s processes to be effectively monitored and improved in the long run,

resulting in a more flexible and adaptive approach and, eventually, successful and timely
delivery of the SolDistHR software with reduced and insignificant risks coupled with increased

quality.

Explain how each of the five steps of change management could be applied to this project.

Examining the need for change- Soleil Panel Distribution is seeking more efficiency and coherence in

the management process of hiring new employees. This new software enables recruitment work to be

done at a faster rate. Furthermore, it allows for more workload than before to be completed with

efficiency and precision. Lastly, it allows for improved security and offers more customer support.

Managing change- By implementing a new software, it enables the company set new timelines, the

necessary objectives to be achieved by every member of the company so as to easily achieve the required

target of the company as a whole.

Implementing Change- With implementation of the new software, it is prudent to train all employees on

how to utilize the new concepts so as to allow for efficient and improvement in all sectors of operations in

the company.

Dealing with resistance- As it might happen, some employees may not be well conversant with the new

techniques being implemented. Company heads will need to address the main concerns and outline the

benefits that come with the new changes.

Evaluate progress- After installation of new software, it is required that the company follows up with

employees, stakeholders and customers by seeking their feedback. This follow up enables the company to

adjust accordingly to demands of the users internally and externally.

Explain the individual responsibilities of four key contributors (individuals or groups) that would

be directly involved in the project.

Organizational Heads- The executives of Soleil Panel Distribution have a say on whether or not to pursue

the installation of the new software. Essentially, they give the go ahead for the adoption of the new

software.
IT Personnel- With their endless experience in the field of IT, they are responsible for the implementation

of the new software and its configuration into the company’s systems of operations.

End Users- They are the majority of employees from various departments in the company. They serve to

test the new software and identify if and when it meets their specific needs. They also provide feedback

on where it needs improvement.

Training Coordinators- Ideally, they are tasked with providing basic training to employers and anyone

else who uses the company’s facilities on how the software works and its operational requirements.

Select one system development method to be used in the implementation of SolDistHR and justify

your selection of the system development method, providing the strengths and weaknesses of the

method.

One method could be the Waterfall methodology.

Strengths of the Waterfall Methodology

Proper structure and predictability- Waterfall is noted for its systematic and very clear approach

(Heriyanti & Ishak, 2020). This is beneficial to a project with a clear and solid set of requirements. In

the instance of SolDistHR, the Waterfall methodology has the ability to provide a predictable duration

and budget if the software's requirements are stated clearly and unlikely to alter at any time.

Defined milestones- Waterfall divides a project into indifferent phases with clearly defined and specified

milestones. This makes tracking progress and ensuring that each phase is finished before going on to the

next easier, offering a sense of success as each phase is finished.

Document oriented- Waterfall emphasizes on full and well-defined documentation at every stage of the

project. This enables full documentation of requirements of each project, testing methods, and various

design intricacies needed which is necessary for regulatory compliance or auditing in the solar panel

business.

Weaknesses of the Waterfall methodology

Longer delivery time- In the case of Soleil Panel Distribution that wants to cater for the needs of clients at

a faster rate, adopting the Waterfall methodology might be a bad idea as it takes longer than others to

respond to market demands and needs of clients. This is so due to its sequential structure of functioning.

Inflexible- When coordinating projects, the waterfall methodology becomes very hard to adapt to changes

and various needs of a project. At times, instilling new ideas into a project might require tearing up the

initial proposed plan.

Explain how each milestone within your selected system development method would be executed

during the implementation of SolDistHR.

In the Waterfall system development technique used to create SolDistHR, each milestone unfolds

in a proper sequence that contains several stages labelled with individual objectives for each stage. The

project is initiated by stakeholders analyzing the company's HR needs and establish the budgetary

requirements, timeline and objectives for the entire project. Following that, extensive documentation is

done to encompass the full details of the project operation, ideally stating the sequential specifications for

SolDistHR.

With these criteria in hand, the system design phase begins, during which architects and

designers come up with a blueprint for the system that encompasses database structures and user

interfaces. The development team then builds the HR system in concurrent with the requested design

specifications, performing detailed testing to ensure that the system works properly and meets the set

requirements. Following successful testing, deployment occurs, which involves the training of the various

users from individual departments in the entire company.

The final stage is where the company ensures that the new software meets the competency and

demands of the market and customer needs. Ideally, to ensure it complies and performs at peak, the

system is subjected to regular bug fixes and updates.

Describe the potential internal and external security threats that could exist after the

implementation of SolDistHR.

Inside Security Threats

Data leaks- Unauthorized sharing of information (Tabrizchi & Kuchaki Rafsanjani, 2020) by

employees and users might lead to exposure of private data being leaked to unfamiliar personnel and

strangers off the internet.

Substandard security measures- Weak security measures like weak passwords and not securing sensitive

data may as well lead to compromising the security of very sensitive data which leads to violation of

individual privacy.

Insider threats- Employees who may not be familiar with the use of the new software and its applications

may inadvertently create loopholes and vulnerability to the system.

External Threats

Data hacks- Potent and experienced hackers may exploit the systems and acquire access to sensitive data

which may be liable to demean the operations and efficiency of the system.

Phishing- At certain times, employees who are not familiar with system and online phishing scams are

scammed through phishing emails from external hackers.

Regulatory compliance- Not adhering to the relevant authority regulations might at times put the firm

under the microscope of legal authorities.

Explain how to protect against digital and physical threats to SolDistHR that could exist after

implementation.

Implement strong cybersecurity measures such as firewalls, intrusion detection systems, and

regular security updates safeguards SolDistHR from digital threats. To counteract phishing activity

assaults, the company will implement complex access controls, using encrypted data, and conducting

training to the users and employees. Essentially, the company can also employ high end physical security

structures that allows SolDistHR to have access restrictions, surveillance, and restricted entrance points in

the event of a physical threat. In the case of reducing data loss instances, it can also create recovery and

backup strategies. Lastly, maintaining a detailed inventory allows them to manage and protect physical

assets, and ensure that servers are placed in secure locations.

Describe the approach you would take to troubleshoot and restore SolDistHR after system failures.
After system failure, I would employ a well-structured method to troubleshoot and restore

SolDistHR. I would them determine the main cause of the failure, whether it is a hardware problem, a

software bug, or a network issue (Caporuscio et al., 2020). Consequentially, I would establish a plan to

return the system back to its normal state before relapse. In the event that data is lost, I can restore it from

backups. Lastly, I would analyze the possible future causes of the same problem and deal with them

immediately to avoid future complications.

Explain the importance and function of problem management in supporting SolDistHR once it is

implemented.

Problem management is essential for the continuity and sustainability of SolDistHR after

installation into new operations. Its major job is to systematically identify and fix recurring and possible

issues that may impact the efficiency and reliability of the software and system at large (Ghelani, 2022).

Problem management reduces system downtime, improves user experience, and assures SolDistHR's

longevity and reliability by proactively addressing these issues. It also aids in the identification of

prevalent issues that cause system failure regularly, preventing the recurrence of similar issues in the

future. Finally, problem resolution is critical for maintaining reliability of the system and ensuring that

SolDistHR continues to handle the company's HR demands efficiently and effectively.

Describe how you would apply the steps of incident management to address issues and mitigate

future issues related to SolDistHR.

Incident management is crucial in addressing and reducing SolDistHR-related difficulties. The

procedure starts with identifying occurrences, which can be identified by users or sited by monitoring

systems (Pradhan et al., 2020). It is critical to log full event information and give unique episode IDs for

tracking. Prioritization ensues, with an emphasis on assessing the effect and immediacy of each

occurrence, ensuring that major issues that affect HR activities are addressed as soon as possible.

When an incident report is received, the IT team begins an urgent reaction that seeks to reduce

imminent risks, segregate affected systems, and alert key stakeholders. Following that, a complete
examination and diagnostic are carried out to determine the main problem. Technical assessment, log

reviews, and consultation with subject-matter specialists may all be part of this step. Following that,

resolution efforts are designed and implemented, which may include applying patches, adjusting settings,

or fixing hardware issues. Clear contact with partners is maintained throughout the process to oversee

expectation and offer frequent updates on incident progress.

After a satisfactory resolution, the event record is closed and preserved. A post-incident

assessment is carried out to thoroughly comprehend the fundamental cause and find chances for

prevention. Corrective actions are taken to prevent similar events in the future.

Conclusion

In conclusion, implementing a Database Systems (IS) solution such as SolDistHR in a solar panel

company opens up potential for operational effectiveness and growth. Using IS solutions streamlines

operations, improves cooperation, and strengthens security measures. However, choosing the correct

development approach, such as Agile or Waterfall, is critical, as each has advantages and disadvantages.

It is critical to incorporate key contributors, handle security issues, and utilize change management

practices to assure success. By carefully managing these areas, the company may fully realize

SolDistHR’s potential, ultimately promoting its growth while contributing to its long-term success.
