Sir/Madam,

With reference to the above subject and DC Conference held w.e.f 15.05.2023 to
17.05.2023, I would like to inform you that National Education Policy 2020 emphasized
on greater involvement of all stakeholders from community in overall development of
government schools. It has also recommends involvement of alumni in volunteer efforts
for enhancing children's learning by providing one-on-one tutoring; teaching literacy and
numeracy by holding extra-help sessions; career guidance and mentoring to students;
etc. Many schools in our state have already started working in this direction. In Gunotsav
2023, these schools showcased their work with Alumni as best practices. Moreover,
initiatives of such schools were acknowledged in various platforms.

Considering the above, all government/provincialized schools may encourage greater


involvement of alumni in their schools in volunteer efforts. Alumni can offer a number of
ways to give back, including gifts, endowments, membership and fees, and volunteer
opportunities. They may contribute to mitigate the infrastructure gap of their alma ma.
Alumni can also contribute to their schools in scholastic as well as co-scholastic areas
for brighter future of upcoming generation of their locality. Alumnus / alumna can give
one to one mentoring support to the children learning in the school. They can take
session on carrier counselling. Alumni member who is a professional in the field of music
/ dance / art / acting / sports etc. can take sessions on their expertise at regular intervals.

It is obvious that how alumni will contribute to their school is fully depends on them. Last
mile innovation is always encouraged for this purpose. However, while engaging with
alumni, schools may consider the following suggestive action points-

Database of all educated and established alumni may be created in all schools.

All schools will constitute an alumni committee in their school. The committee will consist of
both general body as well as executive body. All alumni will be the member of general body.
The executive body of the alumni committee will be constituted with minimum 10 to
maximum 15 members from the general body and one teacher and one SMC member
representative from the school. The committee will have one president; one convener and
executive members. The president and convener of the committee will work both for general
as well as executive body. The executive body members including president and convener
should be selected in a general meeting. Teacher representative will be recommended by
the Head Teacher of the school and SMC representative will be recommended by the SMC
President. The tenure of any executive body will be two years.

The committee will take all decisions by convening either an executive body meeting or a
general body meeting. All decisions taken in these meeting must be recorded in the school
for future references.

Annual alumni day will be celebrated every year in the school. All expenditure for the
celebration of annual alumni day may be borne by Alumni committee.

School may display a list of important alumni in the school premises and can also honoured
them during annual alumni day.

School Management Committee will share the resource / infrastructure gap of the school as
per School Development plan. Alumni members can contribute in mitigating the resource gap
of their school in the form of donation, gift, and infrastructure development in volunteer effort.

Educated alumni can also be encouraged to support the teacher in academic areas in the
form of one to one volunteering with the children to enhance learning.

Alumni can support their school in co-scholastic areas through organizing various sessions
on music, dance, sports, art, storytelling etc. Alumni member who is a professional in these
fields (if any) may invited to school for taking sessions on their expertise at regular intervals.

School management should give proper weightage to the opinion of alumni committee while
making any important decisions for overall development of the school.

School will invite alumni committee president and convener formally during celebration of
any special day in the school.

In most cases the established alumnus / alumna of any school is the role model of that
school community. Their service can be sought in motivating any dropout child or his/her
parents.

You are therefore requested to instruct all schools under your jurisdiction to constitute a
functional alumni committee in their school. District / Block / Cluster level officials may be
instructed to supervise the process. You are further requested to submit a status report
on formation of alumni (Google link will be provided) with some best practices to the
office of the undersigned within June 30, 2023.
